Chose ClickUp
ClickUp’s task management first approach, gives it a leg up on tools like notion and Coda. Microsoft struggles to offer one centralized tool that can do all of this in one tool.
Chose ClickUp
We only looked at platforms with an existing contract with Mayo. ClickUp compared to Aha! was an interesting comparison. At face value, they appeared to do very similar things. However, Aha! was much more technical in its look and feel and seemed about as "user-friendly" as MS …

ClickUp is so far the best project management software when compared to Asana and Aha!. It has the best visual reporting features. Also, its mobile app makes it easy to track projects. It also has a fantastic user interface. It is a great tool to invest in.

Aha!
It is great for organizations that want to ensure that the work they focus on is the work that will have the most impact on value and drive them toward their strategic objectives. I consider it to be a real Product Management tool. If all you are looking for is a tool to hold your product backlog or collect customer feedback, then Aha! is probably going to be overkill for your needs

ClickUp
ClickUp is well-suited for small organizations looking to grow and scale with their software. It's a robust, all-in-one program. Its multiple view options allow teams and individuals to utilize whichever type of view (boards, lists, tables, calendar, Gantt) works best for the information it holds. Because of all the options available, ClickUp may be overwhelming for a solo entrepreneur. Even with pre-made templates, setting up spaces to promote the most effective productivity may be daunting.

Pros
Aha!
  • Aha! is an all around product management suite. It is great for breaking product plans into initiatives, features, and user stories. This helps the organization understand the product plan and what is driving individual work items. Unlike Jira and project management tools, it helps you prioritize by major themes, features, and releases. Once you start to use it, you can't go back to a project management tool because the views for organizing and prioritizing features just isn't there.
  • Aha! also excels at idea management. You can create a portal for users to submit ideas and manage them through a workflow. Users can submit ideas through a variety of channels, including email, ZenDesk, and SalesForce. You can even attach account values to an idea submitted through SalesForce, though the UI in SalesForce is a little kludgy. This is a great feature for those that have the capacity to manage feedback this way, but be aware that it takes time to manage.
  • Aha! works pretty well with Jira so that project managers can have their backlog that is understandable to the business and engineering can break down those work items however they want.
  • Aha! also has a lot of useful integrations: Slack, ZenDesk, Zapier, etc. It also integrates with every major software project management tool on the market: Jira, Pivotal, Rally, Redmine, and TFS.

Cons
Aha!
  • The roadmap feature presentation web page could use some better visuals. It's a little bland and grey.
  • The mobile app only shows you what you are assigned. I am not able to manage through the mobile app--I need to use the web page.

  • UI: A lot of our clients find it overly confusing to use
  • Resource planning: It's very difficult to resource plan within the app without mapping 100s of dependancies for when something goes over estimate or the timeline moves
  • Separate client facing and internal comments. We have to maintain two boards for each client due to this

It has been a game-changer in terms of project tracking, as animation is a demanding product that requires multiple layers of analysis, revisions, tracking, scheduling, etc. ClickUp simplifies many approvals as anyone can easily add items, and you can tag the people who need to look at them.

Aha!
If you have the time and resources there really isn't anything you can't get Aha! to do for you in regards to managing workflow and releases. Far easier to use than any other PM tool. ClickUp is incredibly intuitive and had us saving time and energy within the first week of implementation. In my opinion, PM software should make it easier to focus on the deliverables - it shouldn't take all your time and energy to learn how to use the tool in the first place. ClickUp is a user-friendly tool that actually helps us focus on what's important.

For over a year ClickUp was unavailable to us just twice for a couple of hours. I would say for a system this big and working globally that was a minor issue. They managed to fix all the issues within a couple hours and then it was back up and running perfectly fine.

The speed of ClickUp is average to be honest. This is one of the biggest flaws of the system, sometimes it's also lagging a little bit but we also have a lot of documents, lists etc. on our workspace. However, with the next version of ClickUp I've seen they are planning to increase the speed by almost 500%, probably by changing the technology, so I am more than looking forward to it.

I started using ClickUp when it was what most would consider a baby company. There were the occasional bugs that made working in ClickUp a little bit of a headache, but the support feature allowed me to chat with a real persona and communicate my issues. I would always get prompt support and someone willing to really help me, not just point me to FAQ pages. Not feeling like a number really makes a difference.

Though the problems were noticeable, they didn't make it impossible to use the software. Thankfully, the notification overload came as a signal that people were receiving updates when needed, and having more notifications meant that the software worked. Now, the solution was to tag the appropriate team members instead of having everyone see everything.

In terms of outright features, a lot of roadmapping tools have the same feature set. We chose Aha! based on look-and-feel, the easy learning curve, and the reviews it has. Between collaboration, milestone tracking, comment threads, and content importing and exporting, we had every feature in Aha! that we were looking for.

The subscription price offers a very complete package compared to other similar products, so in terms of value for money, it is, in my opinion, the best deal. Even the free version is very complete, allowing you to get an excellent idea of how it would impact a person's workflow before investing in it.

Aha!
  • It has helped us improve our product lifecycle communication. We have less wasted time spent figuring out where the project is and what it's waiting on. This has helped departments further down the project better use their time so they're already aligned with what's happening rather than waiting for a handoff.
  • Aha! has helped include our customers more in our product planning and especially in our bug fixes and new feature roadmaps.
  • Aha! has improved our strategy meetings or roundup discussions by storing everything in one place. They're shorter and more focused.
