Apple iCloud

It is great if you are a die-hard Apple user. It integrates virtually every aspect of Apple products among different devices, making it super easy to share things. It fails pretty hard when tasked with other product types (such as Microsoft), and I have found it rather difficult to manage since it seems to take over so forcefully.

OneNote

It is well suited for capturing weekly departmental task lists. For example, each week we create a new page in a shared departmental notebook. In this new page, each department member enters his/her top 3 accomplishments for the week and the top 3 things which the member will attempt to accomplish in the coming week. We then use this page during our Monday morning stand-up meeting and it helps provide an agenda, structure, and discussion points for the meeting.

Pros

Apple iCloud

  • Apple iCloud integrates beautifully with the entire Apple ecosystem. Whether you are using a MacBook, iPhone, and/or iPad they will all sync at a moments notice through iCloud.
  • As a company, Apple has a strong reputation for security. Many cloud storage providers share huge amounts of user data, however, Apple prides themselves on avoiding that.
  • Even though Apple iCloud is optimized for Apple devices, data stored on the cloud can be accessed through a web browser on a computer running essentially any operating system.

OneNote

  • Because of its flexibility and ability to hold different types of content (text, images, tables), it is a great tool for collecting content from different resources and organizing it in one place.
  • Technical support analysts are using sections for their support case analysis; they paste pieces of logs, screen-shots, document their steps in troubleshooting etc., all in one section, to get the full picture yet stay organized.
  • The logic of content structure; Notebook>Section>Page>Paragraph, allows you to manage and collect all needed information by the areas of the user's responsibility. For example; each of my projects has its own section, in which each page is a task.

Cons

Apple iCloud

  • You will constantly run into issues where iCloud is optimized or available only for Apple's own product line. That's frustrating.
  • Apple's Mail app and service are just beleaguered by the likes of Gmail. Perhaps even Zoho does better than them on the web.
  • iCloud seems optimized more for a mobile user, so desktop apps & services feel a bit force-fitted.

OneNote

  • It is not always clear where your OneNote files are kept. I prefer to keep all my OneNote files in the cloud, but the actual location of those files in OneDrive can sometimes be a mystery. If I install OneNote on my home computer, I have to open up my work OneNote in the browser and then sync it to my PC. I'm not able to find and open the file in OneDrive through File Explorer.
  • The ability to find notebooks that are shared with you is getting better, but it can sometimes be difficult to locate the right one. I often see duplicate notebooks and end up opening up the wrong one. Would be great if Microsoft only showed you links to notebooks that were actually available to you.
  • Microsoft is shifting away from OneNote 2016 and moving people on to OneNote that comes native with Windows 10. The interface is different enough that I don't like it. I am staying with OneNote 2016 because of the ease of seeing multiple notebooks open at the same time and being able to get to the exact information I need quickly. If you don't like the native OneNote built into Windows 10, you won't like the future of OneNote.

It's so seamless that I can't imagine another product doing a better job synchronizing all of my devices. I simply do not think about it at all. Everything happens behind the scenes and I'm confident that Apple keeps my data safe and secure. I'm a happy customer as far as this is concerned. I have not had a bad experience with this service.

As this is not a compulsory tool in our organization, I would say all depends on the decision makers, however since this is a part of MS Office, I am sure we will have it for as long as we will possibly need it. However, I would not be so sure, if it was a separate product

Apple iCloud overall performs well for me. Obviously, it is more suited for the pure Apple/Mac environment (as I believe OneDrive is for the pure Windows environment). However, it has worked well for me as I added Windows-based systems to my business. Since I initially had only Apple/Mac devices and computers I give Apple a high-five for making the service available to Windows-based and multi-based environments so that I didn't have to migrate my files.

I find OneNote incredibly usable. I'm fairly middle of the road when it comes to tech savvy-ness. The platform was very easy to learn and explore. I like that OneNote is no clunky and offers a clean interface. This is important when it comes to deciding if a tool is usable for multiple people.

Occasionally, large files that haven't yet been synced require a few minutes to pull down but I've rarely noticed delays. It does a good job of keeping data cached on my local machines while updating them with changes from other machines transparently.

Overall, I rate OneNote's performance highly. In general, notebooks, sections and pages load quickly. OneNote integrates with other apps and info ca easily be shared/copied to and from the tool to other tools. Moreover, Notebooks tend to sync quickly meaning shared notebooks are up to date almost immediately provided there are no syncing issues.

Apple gives pretty miserable support unless you pay a lot to have the support packages. Usually, it is more helpful to do a Google search of the issue, but at that point, it isn't product support, it's just me doing the job myself. Other programs seem to have much better, and free, support.

Since it is part of Microsoft Office and used across the globe there are a lot of support options available. It's quickest to just do a google search which will have plenty of articles to help you since there are so many OneNote users but as an Office customer you also have access to Microsoft support and I have had good experiences with their support (probably because I'm with a large company who is a large customer to them).

Alternatives Considered

Apple iCloud

NCommand was awful. It didn't work well for us, things went missing and tended to be clunky. iCloud has been great with a cleaner interface, more options to collaborate on a document within a single URL, and just being all around simpler. iCloud also hasn't gone down and been inaccessible as often as NCommand would.

OneNote

The only real product that I can directly hold in juxtaposition to OneNote is Evernote. OneNote ultimately wins that battle because of its zero cost. It compares like for like in most other ways to Evernote, with the exception of its organizational system. If you intend to organize items into more than 10 topics of interest, Evernote may be better suited to your needs, as it's tagging system is more robust for larger categories of organization. If, however, like most users, you're limiting your categorization into 10 or fewer categories, OneNote is excellent, and it excels at helping you find information that falls into a smaller number of buckets than Evernote. Both applications have excellent mobile apps that will handle document scanning, pictures, and the like for you, so it's largely the same there. Overall, I'll continue to use OneNote because it is free.

Return on Investment

Apple iCloud

  • Awesome for when I get a new device and just want to set it up like I had it before
  • Great for keeping data synced between all devices
  • Forces me to stay in the Apple ecosystem and use their apps even if there are better alternatives

OneNote

  • OneNote makes me more productive because I'm always able to remember discussion points and next steps for any meeting
  • OneNote makes me less reliant on my laptop, when I'm having an informal coffee meeting, for example, which can be freeing
  • OneNote can sometimes be a little slow to use, which can be frustrating when I'm trying to type fast and make notes
