Integration with Microsoft Access - We use Access for a lot of different Queries, such as for our bar back to know the specifics of each bar. Caterease allows Access to pull data directly so all we have to do is run the report instead of entering all the information manually. Same with diagramming, having software like Placez that pulls from Caterease allows for such things as table and chair counts to be pulled directly from Caterease instead of having to place each individual table.
The system is great for registering for your event, including session add-ons, taxes, and more. It can manage different access and visibility to different sessions or prices based on the reg type. For smaller events, it is just too pricey and does not make sense to use.
It’s a great program, but it’s missing some aspects that would be incredibly useful. It has the ability to store venues and locations that you’ve used in the past, but it doesn’t allow you to associate a tax rate with the saved venue. As our company handles events all throughout Southern California and tax rates are constantly changing, it would be nice to be able to assign certain tax rates to certain zip codes and venues.
It can be a little finicky sometimes with its equipment conflict algorithm. There will be events In the system that have been marked as cancelled, yet it will insist that an event I am working on has an equipment conflict with it (even though that event is not going through). It will not let you save out of your event and, sometimes, will end up deleting all your changes and progress, which is incredibly frustrating.
I wish there was a way to export PDFs of your proposals without re-saving your entire proposal. Sometimes, clients will ask for two versions of the same proposal with just slight changes, and it’s annoying to have to go in and completely re-do and save the proposal and have to adjust it back to the original.
It would be nice if there was a way to see a history of all of the changes that had been made in a proposal, that would be great. Because we often have many hands on each event we do, having a comprehensive list of all the changes made to each proposal and the date and times, and users who made these changes would be an incredible asset.
Emails - you can't pre-schedule emails, and it's very complicated to target a specific group.
Testing - You have to clear your cache in between testing, or go incognito mode. Makes for a very lengthy testing process. Wish you could just see live updates as you went!
Gameifcation in the App - I have not had the best luck with this section of the app. It doesn't ALWAYS work. They have some improvements to be made on that front.
We are very pleased with the features that Cvent gives us. The ease of use and the immediate support when something does stump us. Cvent provides us with everything that we need to run a successful event. The only reason I did not Rate Cvent as a 10 is the cost
The Cvent Event Management is very user friendly and intuitive. It's easy to use. Initially it's a bit of a learning curve because it is such a robust system with so many features. Whoever is using it really needs to take time and dig into it to learn the platform because if you go through it only on a surface level you can miss a lot of key features that can be beneficial to use.
Cvent does go down pretty frequently. And while it often doesn't impact day to day use usually, if it does go down at the wrong time, you may not be able to access very important event information when you need it. Usually outages do not last very long, but it could still be a very bad situation if this happens at the wrong moment
I have not had to use the support in my over 3 years of using Caterease. This is why I gave it a 9 rating because even though I haven't had to interact with support, the fact that I haven't had to use support speaks volumes to how good the software is and how it is user friendly.

Additionally, the platform has a comprehensive help center and knowledge base, including user guides, tutorials, and FAQs, which help us troubleshoot issues on our own. Cvent also provides training and support resources, including onboarding assistance, live training sessions, and webinars, which help us get the most out of the platform. Overall, Cvent appears to be committed to providing excellent customer support and resources to its users, which can help ensure a positive user experience and successful events.
Our on-site trainer was very knowledgeable in the product and gave us very important pointers on best practices and how to perform tasks in the simplest manner
It would have been nice during implementation if we had received more pointers on how to organize our parked report folders, libraries, etc. to avoid the mess we find ourselves in today. If we had known ahead of time the limitations we could have planned better.
I haven’t used too many other events programs in the past – at a former company, we used the back end of our website in order to create events, but Caterease is a lot more user-friendly. Our website wasn’t particularly fancy – it didn’t allow us to conflict check or see if there was another event at the same time. It was used for the sole purpose of posting the information to our system – not for creating full proposals. Caterease is much more effective for what we need to use it for in this context.
Cvent was the only events software that could meet our needs at a price that was palatable. We have been with Cvent for over a decade and I shop around every time we come up for contract renewal just to see what's out there. Cvent hands-down is able to handle so much more complex needs than anything else out there. The value for what you get is exceptional.
