Microsoft To Do (formerly Wunderlist)

It's such a simple and effective tool! If you need an app to safely store your To-do's and make sure you stay on top of things, this is it. You can divide tasks lists into folders (like "home" and "business"), share the lists with co-workers, set notifications, even mark items as a priority. It's great for smaller, day-to-day tasks but if you need something to manage a bigger project or a team, you should look into more robust project management tools. Although this is a great app, it cannot replace tools like TeamWork, Basecamp etc. But they work great together

Trello

Trello is great for tracking the progress of projects that have specific completion dates or tasks that must be finished in specific orders. We've used it for fundraising projects and event planning, not to mention planning of specific work projects. Trello's flexibility makes it so easy to set up and share new boards with interested parties.

Pros

Microsoft To Do (formerly Wunderlist)

  • Wunderlist is what you need for your to do lists. It's really simple to use.
  • Allows you to set due date to your lists, share them with your team and/or create a folder to divide and organize all your list set
  • Also, Wunderlist is compatible with all platform and devices. So you can always be updated on your list or work on them from wherever you are and with all the devices you have.

Trello

  • Easy color categorization of the "Cards" (which can represent anything from projects to tasks)
  • Ease of use overall - you can divide work into columns and move it from column to column depending on status
  • You can create multiple boards, which are spaces to store tasks (for different work contexts, or even private boards)
  • You can easily share boards with another person
  • You can easily assign tasks (Cards) to persons
  • You can store information in cards, like files and short format text

Cons

Microsoft To Do (formerly Wunderlist)

  • Viewing more than one task at a time.
  • Email forwarding tasks - sometimes can be buggy and not always smooth.
  • Option to show more detail on a task without clicking task - example: being able to see attachment without clicking on task to view.

Trello

  • Swim Lanes - they are nonexistent. There is a third-party tool to add them but it's buggy as all get out
  • View - I am not sure how to do it but I really wish I didn't have to pick between viewing all cards with no detail or one with all detail. Maybe the ability to collapse and expand?
  • Integrations - It would be amazing if I could easily pop action items from Gmail over to Trello, but right now I can only copy text or upload screenshot attachments.

It's working, and doing precisely what we selected it for. The only hesitation is if Microsoft suddenly drops the platform.

I am very likely to renew Trello, because it doesn't cost anything to do so. I am also very likely to use Trello's upgraded features in the future because a lot of my team's data is stored on there and they have already gotten used to the platform. Trello is very easy for new team members to pick up, making the onboarding and usability very streamlined.

Overall, Trello is a great tool to use. It's very user-friendly, very powerful and we've set it up to work well for our team. I've recommended it to others who need something free or very cheap and it's worked well for them too. If you're wanting something with more muscle, then I'd suggest looking at either monday.com or Airtable.

We never had a problem that I recall, but also never used support. The biggest issue now is that it's being discontinued, so any Wunderlist users must migrate to Microsoft To-do or some competing platform by May. Not a problem if the new offering was more similar, but To-do is much more complicated, so it may be hard to jump in for less dedicated users.

I have never needed to contact Trello's customer support team. For the most part, the app is pretty self-explanatory. I have used their help center and find it really useful, particularly their Getting Started guides, which cover everything from general information to feature deep dives and best practices. The help center is available in six different languages and the Trello Community is there to answer questions along with Trello Support.

For our small business, getting a few of us started well on Trello was the key, I think. As long as a couple of us were really comfortable with the interface, we could lead others and help them with any questions. From now on, anyone who works with us just naturally uses Trello for information sharing - it's just part of what we do.

Alternatives Considered

Microsoft To Do (formerly Wunderlist)

Wunderlist is the cleanest of all these products, and also the most functional. It performs exactly like you would expect a to-do app to work, and you can make it as simple or as complex as you want. Trello boards were too much for my employees to comprehend and they could never get the hang of it. Microsoft TO-DO is just a stripped down remake of Wunderlist and will be a while before it catches up (if it ever does). Todoist is the most similar to me, and it was mostly an aesthetic choice that made me choose Wunderlist.

Trello

I would say Trello is very well suited for my team's needs as we are relatively small in size but frequently scale up based on the project's size and needs. We tend to use it at a basic level for organizing internal tasks and to-dos, but also develop large complicated boards when need be. It doesn't seem like other systems (like Basecamp) scale very well and really require a more consistent type of workload to make the best use of them.

Return on Investment

Microsoft To Do (formerly Wunderlist)

  • Wunderlist has ensured that I never miss a small detail which has meant that I have had a system in place through which to double check each element in my work—only increasing the quality of it. This is a subtle but integral element for ROI.
  • It has helped the team work quicker and more efficiently through tasks ensuring that nothing gets left undone.

Trello

  • More streamlined team communication. Rather than spending time and effort getting lost in emails or instant messages, we have a shared knowledge bank of ideas and tasks within Trello that free us up to focus on other parts of our job.
  • Better team collaboration. With the sharing structure of Trello, there is an easy pathway for the transmission of ideas without having to even think about it.
  • A more open dialog between team members. Trello provides a forum where our team members can share ideas that they may not have felt comfortable doing otherwise.
