Considered Both Products

Chose monday.com
Smartsheet does more than we needed it to do for our simple project management. JIRA is the same way. Asana and Trello are probably the closest comparisons for our needs. Both of these others are great, and I don't have any real complaints to compare on any of these. Monday.com …
Chose monday.com
Candidly, we still use both as monday.com and Smartsheet, as monday.com only recently added dependencies, and that was integral to our proposal and pricing process.
Chose monday.com
Both are very powerful project management software solutions. Smartsheet has a small advantage, specifically in that area, but has none of the other features we use it for in regards to creating forms for external facing parties, automation within our group, and basic visible …
Chose monday.com
Monday.com has a lot of functionality and visibility that the other tech we've used did not. the notifications and ease of adding new tasks and projects are also better than the other tech we have used.
Chose monday.com
I feel monday is more intuitive and easy to use compared to the others. Otherwise they pretty much do the same function. Assignments are significantly less liable to be overlooked. It causes us to consider each other responsible. I exceptionally prescribe it for groups that …
Smartsheet
Chose Smartsheet
Our design and dev team really enjoyed the look, feel, and flow of monday. However, from a project management and timeline approach I found it to be overwhelming and cumbersome. I needed a tool that could easily be replicable and client facing.
Chose Smartsheet
Asana and monday.com are typical project management tools where resources can be tracked based on the tasks, etc. Smartsheet does exactly the same but additionally allows people outside of PM to automate their data collaboration with other employees. The solutions that …
Chose Smartsheet
Jira is better on user interface and task tracking. However the dashboard isn't as versatile as on Smartsheet. That being said, it takes maintenance to keep the Smartsheet dashboard updated regularly (not automated).
Chose Smartsheet
It has been my favorite alternative; I can control Smartsheet from my mobile device since, as a manager, it allows me to visualize the files made through it, with the convenience of any time and space.
Chose Smartsheet
All the products seemed to perform the project and task management function adequately. The following factors were the keys to our selection:
  1. Ease of use - so similar to Excel everyone can figure it out.
  2. Flexible architecture lends itself to many different use cases beyond …
Chose Smartsheet
Smartsheet is a unique data and project management collaboration tool that sets itself apart from its competitors. Teams have the ability to create extremely customized dashboards that have data flowing to and from multiple worksheets and workspaces. Smartsheet has the ability …
Chose Smartsheet
We selected Smartsheet because we needed something between Excel and MS Project. We have a group of staff members who were not Project Managers by trade, but yet managed teams and staff who are supporting smaller efforts with task management. They were looking for a simple tool …
Chose Smartsheet
Smartsheet is very robust, and allows much more customization. It is not as user friendly, and takes more time to understand and get used to. Smartsheet integrates with just about all of these other tools. One of the best things about Smartsheet is that it can integrate with …
Chose Smartsheet
I was familiar with it, but no one else at my organization had it installed. I had to print to PDF and just send PDF files to everyone. I was the only person who could create or update and that was burdening my time and workload.

Monday.com and Smartsheet are team project management applications designed to help co-workers plan projects, assign tasks, track progress, and share information. Both products offer multiple ways of viewing projects and tasks, including Gantt charts, calendar views, and kanban boards. However, Smartsheet uses spreadsheets as the fundamental building blocks of projects, while monday.com has a custom UI with only a passing resemblance to tables or spreadsheets. monday.com is used primarily by small businesses, likely because it is slightly cheaper and its feature set is aimed at smaller-scale projects and teams. Smartsheet is primarily used by mid-sized companies and has a significant enterprise-level user base, likely because its spreadsheet-based design lends itself to larger-scale teams and projects.

Features

Both monday.com and Smartsheet offer core project management functionality, but they each offer unique benefits to their users.

monday.com is designed to be quick and easy to pick up and use. The software offers a single board for each project, giving managers and team members a quick overview of the project’s status. Each project board can be customized to display the most relevant data for that project. Users appreciate the automation tools to create tasks, move tasks through workflow processes, and automatically assign tasks to specific users. Integration with calendar applications, thread-based communication, and quick sharing of notes and to-dos help make monday.com a slick, intuitive way for teams to communicate and keep their projects moving.

Although Smartsheet uses spreadsheets to drive project management, it also offers many ways to view, sort, and filter the information in each sheet, helping individual users and managers navigate and understand project information. Its customizable reminder system can send reminders and warnings directly to e-mail accounts, helping users stay on track and avoid missed deadlines. Smartsheet also offers generous sharing permissions and guest access, making it easy for teams to collaborate with freelancers and contractors within the software. And since the interface is based on spreadsheets, users familiar with Excel or other spreadsheet software can get up and running quickly.

Limitations

However, each product has unique limitations as well. Before choosing monday.com or Smartsheet, be sure to consider their drawbacks.

monday.com can lack the depth desired by some users, especially on lower pricing tiers. Features like automation, guest access, and recurring tasks are locked behind higher tiers, meaning that some businesses will have to upgrade their license for access to necessary tools. Additionally, monday.com doesn’t offer a free version, and their licensing system isn’t very granular: if your five-person team adds a sixth member, you’ll need to upgrade to the ten-user plan. Finally, the system overall is geared towards small- and medium-scale projects and teams. Enterprise-level users might have difficulty scaling the system to work well for their needs.

Smartsheet may be familiar to Excel users, but that can also be a drawback. Smartsheet doesn’t have all of the advanced features offered by a dedicated spreadsheet system like Excel, leaving some users wishing for more complicated formulas or formatting options. Importing sheets to and from Excel files can be clunky and frustrating, with conditional formatting and other customizations getting lost in the process. For some users, Smartsheet did not explain its features properly, leaving them frustrated at the apparent lack of features such as Dropbox integration or the ability to save a copy of a sheet to a new file. If you choose Smartsheet, you may need to implement a robust training program to avoid these sorts of problems.

Pricing

Both monday.com and Smartsheet offer tiered subscription plans for pricing.

monday.com starts with the Basic tier at $8.00 per user per month and includes the core product functionality with 5 GB of storage, one project board per dashboard, and a Kanban view option. The Standard tier is $10 per user per month and adds automation features, Timeline and Calendar viewing options, up to 3 project boards per dashboard, and 50 GB of storage. The Pro tier is $16 per user per month and adds more automation capabilities, a Chart view option, up to 10 boards per project dashboard, and 100 GB of storage. The Enterprise tier is priced by quote and adds more automation and integration options, up to 50 boards per dashboard, and priority customer support.

Smartsheet’s pricing is divided into Standard and Enterprise plans. Standard plans begin at the Individual tier, which is $14 per month for a single user and allows up to 10 sheets with automation and Gantt, calendar, and kanban views. The Business tier is $25 per user per month and adds reporting, progress tracking, user management, and custom branding features, with up to 100 sheets per user. Enterprise plans are priced by quote and allow unlimited sheets per user and add features such as SSO and integration with user directory systems. Finally, the Premium tier is priced by quote and adds features like dedicated calendar applications, connectors for CRM products, and high-priority customer support.

For content marketers, I would 100% recommend Monday.com. Applications like Trello are OK for basic tasks, but I think Monday is superior when you're running campaigns alongside regular content plus ad-hoc tasks (or have more than one product to market). I can see it working well for different scenarios, like sales, customer service, and finance, but I can only speak for my industry.

For teams and users who are very familiar with Excel and its mode of operation, Smartsheet will feel like a walkover. If you have a number of users who use Excel or Google Sheets for their personal project management then you will find this tool to be very useful and somewhat familiar.
Teams that may be used to other project management suites or styles would find Smartsheet a bit challenging to adapt to, as formulas and formatting can be challenging to adapt to.

Pros
monday.com
  • I love that I can color-code sections/folders (I love color-coding!)
  • I love that I can automate the majority of things on Monday
  • I love the support I'm able to get when I don't know how to do something specific, I set up a call and get tips/tricks on how to accomplish what I'm wanting

Cons
monday.com
  • The billing model is awful for small businesses! monday.com makes you feel like they are doing you a favour. You literally pay for seats you don't use. The billing model should be a per seat model!
  • There are too many addons from monday.com and 3rd party vendors that you have to pay for. The value of those addons is debatable are often rebuildable outside of monday.com in a single use spreadsheet (which pay monthly for an addon that you only need to use once in a while?) or organisations are already using something else in their tech stack for that addon.

  • Smartsheet set up is similar to Excel, yet when you upload an Excel file, things like conditional formatting are lost. Smartsheet has its own conditional formatting, and you have to reinstate the rules. It would be great if those would apply automatically once a file is uploaded
  • Some Smartsheet management and access rules can take some tweaking to work properly. This may be a case of offering more info to admins so they can apply these better and with more efficiency

Teams involved in content creation, such as marketing or editorial teams, could use monday.com to manage the entire content lifecycle. Boards might track content ideas, assignments, drafts, reviews, approvals, and publication schedules, helping teams collaborate and keep content production on track.

It definitely meets our needs as far as organizing and archiving our tasks and files. As we train more staff to view it, I see opportunities for more improvement, which I am sure this program can handle. I look forward to seeing continued improvement from Smartsheet on their capabilities and functionality.

Usability
monday.com
monday.com enables quick creation of a basic project plan. In our office, we don't need a big, expensive Project Management System. We need a simpler, human-usable Work Management System. Most recently, monday.com added the four Predecessor Types to their Dependency feature. FS, SF, SS, FF are now part of monday.com's Dependency offering. This was my most-needed update, and monday.com provided it! I appreciate monday.com's rich library of Templates. However, my preference is to duplicate a useful project/board, then update it for my next project.

Smartsheet is very easy to learn. However, while I have been able to pick it easily, Microsoft Excel and Project super users that I have trained on Smartsheet get bogged down in the differences and can find it frustrating. Explaining the differences ahead of time and why Smartsheet is being chosen instead of a different software seems to counteract those reactions

Everything performs fairly well. Every now and then there are user errors where an employee will not click "ok" on a note they've created and simply exit out (I do wish that something was in place to prevent this, such as a pop "are you finished?")

I give this rating because it fills a niche in the market. MS Project scares many away from proper task management but there are limited tools our there, especially cloud-based that are mobile-friendly. Smartsheet fills this market gap, especially for small to medium-sized businesses. IT is not fair to compare it to MS Project, but fairer to see what gaps it fills.

We signed up for the accounts. Created the accounts. Ran the trial version and tested it live while we were running multiple projects and found that it was fitting our needs perfectly. When the trial ended and we were asked to purchase the full version, we did. We have found other ways to use it and it's a breeze.

Under the help menu is Live Training option. After you familiarize yourself with the commands, watch the live training for some in depth understanding of how to make the software fit your needs perfectly.

We used an excel spreadsheet to track our month end close process previously which created a lot of issues around only one person being able to be in the checklist at any given time. Additionally, we were unable to have excel notify us when a task we need to have completed was done, but Monday.com has completely changed that for us!

Jira and Redmine are much more robust and technologically advanced project management solutions. I enjoy using either when managing a very large project. However, I prefer to use Smartsheet for my smaller to medium sized projects. As for Google Drive - I would say that Google sheets and Smartsheet are almost identical in my opinion when it comes to functionality. Personally I prefer to manage smaller projects via Google Drive, but it is a personal preference!

Return on Investment
monday.com
  • My favourite example? We used it to take a failed start-up, one where the prime investor was considering pulling out - to being a listed business (EURONEXT) within 18 months. That business now has a market cap at around $200m.
  • Turnaround of a struggling health tech venture that was buried under endless spreadsheets by its investors - from loss-making to £2M EBITDA in two -years.
  • Offshoring - Through the adoption of Monday as a key workstream management tool (moving off JIRA) we were able to reduce resource costs by over £2m per annum, without any change in efficiency or quality.

  • It hasn't fully replaced any one tool so it means having to go to another place. Hopefully, we can eliminate a tool or two in the next six months.
