Jedox Planning BI Suite - a powerful spreadsheet style solution that's as easy as 1-2-3

Rating: 9 out of 10
August 11, 2016
Within our own organisation, we use Jedox across the board for all planning purposes and operational reporting. This includes financial, sales and project management. We predominantly use Jedox with our clients across a large proposition of our client portfolio, ranging from performance management in the automotive manufacturer sector; through promotions management in the retail and FMCG sector, through service line reporting and patient level costing in the health sector to business intelligence reporting on an international scale in the public sector.
  • Self Service BI. With its familiar front end - both the Excel add-in and its web based spreadsheet portal - it is easy for new users to be up and running very quickly, writing reports and answering questions of their data.
  • Budgeting and Planning. At the core to Jedox is its In-Memory OLAP database that can be written to. The Excel like front end is then able to write back to this central database to take advantage of the ease of use of a spreadsheet system, but combine the power of a central database application.
  • Modelling. Jedox has very powerful but easy to use tools to model any business requirement, from simple KPI calculations, through inter- and intra- business unit cost allocations to complex Activity Based Costing and Budgeting.
  • Data Integration. Jedox has a a powerful and easy to use ETL for both reading from and writing to databases, ERP's, Salesforce and Qlikview applications, for example.
Cons
  • Diversity. Jedox can be applied to many different use cases from small to large deployments and from budgeting to enterprise class BI solutions. But rarely is one tool able to fulfill all of these requirements in one organisation. This value proposition can be complicated for prospective users.
  • Awareness. Jedox punches above its weight in capability and scalability, but not enough people have heard about it and therefore procurement processes can be drawn out as a result.
Jedox is really good when being applied to a specific use case or scenario (such as a budget or planning process). Once embedded, users then start to really understand how it can be used in other, less well defined, areas of their business.

It is therefore not as easy to apply it on an enterprise-wide deployment from a "Big Bang" perspective. But very few tools / projects ever meet this goal.

Be happy, use Jedox for BI & performance management

Celcus is a specialized consultancy company that helps companies and non-profit organizations meet their information challenges in 2 ways: we help to design, build and maintain applications to meet the needs for intelligence and steering within an organization and; we secure self-proficiency in the business by leveraging in-house capabilities in the area of business intelligence and performance management. We have used Jedox technology as a BI/EPM platform for over 20 customers: large multi-nationals, medium sized businesses, family firms, municipalities, universities and so forth. Most projects start with a focus on creating financial insight and steering. Often it is rolled out throughout the organization to meet all BI and EPM requirements like human resources, sales, procurement and risk. All our Jedox implementations are still being used; have led to 100% satisfaction, more users and more applications to address various common and specific business needs. In general, Jedox is accessible in terms of price, speed of implementation and ease of maintenance. It offers high quality and rich functionality for a reasonable price.
  • By now everybody has business intelligence, a logical starting point. However, traditional BI tools do not allow for write back functionality. Sharing expectations among each other in terms of budgets, forecasts, planning and associated comments including workflow and audit trail is not facilitated in BI tools. Jedox offers both BI functionality and such performance management functionality in one integrated platform.
  • It is easy. For many reasons. At the end of the day the proof of the pudding is in the eating. After an initial implementation and some training many of our Jedox customers have started to build their own BI and EPM applications. Be it reporting, dashboards or more complicated applications like cost allocations. Of course one has to keep in mind that this is all relative. Some solutions require a very high technical and business know-how & experience but compared to other tools Jedox is definitely easy.
  • It is fast. To implement but also in terms of (query) performance.
  • Quality/ price ratio is excellent.
Cons
  • Jedox has made an important step toward corporate disclosure management functionality but this could be improved/ extended.
  • In terms of visualization Jedox is up there with most well-known BI vendors. However, Jedox lacks the visualization data discovery features that some of these tools offer. Having said that, an analyst will not regard it as a showstopper.
As with any selection process I would advise to talk to references and perform a proof of concept.

Implementing BI and EPM applications based on Jedox for other clients.
  • Integration with Excel (Import from Excel, Export to Excel, Excel Add-in etc.)
  • Rapid Time-To-Market because of flexible and effective excel-like development environment (surpassing other vendors by far) -> one can develop a fully functioning application in weeks if a good concept is ready.
  • You can install and run Jedox on your server in literally less than 1 hour (hands down, no competition!)
  • Powerful ETL (extract, transform, load data) incl. UI for developer
  • Auditing out-of-the-box (see who changed what & when)
  • Supervision Server (create own custom silent processes behind the scenes)
  • Use PHP to develop own custom functions, if required (comparable to VBA in excel)
  • Embed any custom HTML & javascript widgets
  • Write your own custom ETL routines with groovy or javascript
  • Automated routines (e.g. "Backup database daily" or "Send a PDF of this report to a group of persons" etc.)
Cons
  • No CCU ratio licencing (anymore)
  • No integrated out-of-the-box debugging capabilities when developing applications (especially when developing specific functions with php macros)
  • Complex and not straightforward setup when working with two-tier architecture (separate backend and frontend servers) -> as this setup is very common in web development, this should be standardised and made more straightforward in Jedox
  • Security is (was) not a strength of Jedox and should be improved to the current standards (XSS, HTML injections etc.) (pentested in 2018!)
  • Comparably weak scaling capabilities when an application gets big (>100 CCU) - Jedox is not suitable for big Enterprise applications / BI!
  • It's not an actual disadvantage of Jedox, but just something to be aware of - Jedox is not a solution - it's a set of tools which empower you (or a developer) to build a desired CPM solution; so do not compare Jedox with solution providers like unit4 prevero (which is already an actual solution for planning and budgeting!)
  • No integrated version control
Best suited for financial consolidation and / or as a highly customized and compact EPM / BI solution (up to 100 CCU) with individual workflows, planning and reporting functionalities, with moderate number of users (no restrictions for any industry, all industries are covered well). It also has advanced reporting & data analysis requirements and provides an integration and reporting layer of imported data from different external systems (via ETL). It can help with migrating your legacy Excel-based business models to the Web.

It is not well suited for Enterprise BI applications with expecting >500 CCU (users at the same time working with the system) - this may cause serious performance issues, as all data is kept in RAM. Jedox is also less suited for applications with heavy document management requirements (document management is not an out of the box functionality in Jedox and rather requires custom development through custom widgets etc.).

That was easy! Jedox tranforms our reporting experience.

Currenty we use Jedox within our finance team to simplify the effort of monthly management reporting and our budgeting cycle. Jedox as a tool has given us the flexibility to update and quickly analyse at a high level our general ledger data on an ad-hoc basis as well as in more structured ways. Jedox was selected when our previous GL reporting tool went end of life. We haven't looked back since.
  • Using the Excel add-in means that our team was almost instantly productive, being able to use a familiar interface to present and manipulate data.
  • Allows us to quickly do analysis and comparison of current and historic data.
  • Really good to produce meaningful management reporting that can be adapted responsively to business requirements.
  • Implementing Jedox in our budget cycle dramatically reduced the time and complexity of the process, while making it more transparent.
Cons
  • As a business user, it's hard to "discover" functionality so a bit like Excel we probably miss out on maximising capability.
  • The online knowledge base is not as informative as it could be to help explorers learn about functionality/use cases.
  • Marketplace is still maturing and it's not quite plug and play for some of the models available. This would be a huge gain.
We've found Jedox's strength for us has been in our general ledger reporting and budgeting. We are starting to explore more areas where we can leverage the power of Jedox. Without a dedicated development team inhouse we have struggled to set up new reporting cubes, where some competing products are easier to do this with. Jedox is great for data that isn't needing to be "real time" in our experience. We haven't yet leveraged the prospective capabilities of Jedox. Most importantly maximising the use of the models that we have has been the standout as we haven't had to materially upskill the team to leverage the reporting capabilities of Jedox given the familiar spreadsheet interface.

Great BI tool for a variety of usage beyond FP&A
