What is OnPay?

OnPay's payroll and HR is designed for people who want to spend more time running their business, and less on back-office tasks. The application aims to enable users to:

• Run payroll

• Automate taxes

• Let employees do more themselves

• Simplify HR processes

• Offer benefits in any state

OnPay starts at $49 plus $6 per person each month. The monthly fee includes integrations with QuickBooks, Xero, and time-tracking software, as well as all quarterly and year-end tax filings, and a set of HR tools. OnPay’s team helps users get set up by adding prior wages and employee information. Users can add on integrated benefits, a 401(k) plan, or pay-as-you-go workers' comp.

  • Interface is good.
  • Help desk is great.
  • Forms are filed in timely manner.

Cons

  • Ease of use for small companies.
  • Help desk on weekends.

Return on Investment

  • less expensive than the group I used to use.
  • Interface is better than my previous group.

Use Cases and Deployment Scope

We use OnPay to run payroll for our organization, including setting up employees and processing regular payroll runs. As a small organization, we needed a reliable, easy-to-use system with strong support, especially since this was our first time managing payroll internally.

Pros

  • The OnPay team has provided timely, clear, and proactive communication. They anticipated the next steps and helped us move forward, especially in getting our first payroll processed correctly.
  • As someone new to running payroll, the step-by-step guidance and explanations OnPay provides were incredibly helpful.
  • OnPay didn’t leave us to figure things out on our own. Support reached out early to ensure our account was configured correctly, helped verify key details, and checked in to make sure our first payroll went smoothly.

Cons

  • The mobile experience is functional but not as robust as the desktop version.

Return on Investment

  • OnPay has had a meaningful impact on our organization’s efficiency, confidence, and payroll compliance — especially given that this was our first time managing payroll internally.

Use Cases and Deployment Scope

We use OnPay for Payroll processing and automatic tax filing. The account was very easy and fast to set up. The help articles walked me through each step for setting up the accounts with each state department - so that was a nice savings as it was very clear what steps to take. Having a dedicated onboarding specialist thru the first payroll processing was great - she was friendly and always answered my questions quickly. I feel like I know where to find everything I need in OnPay's system going forward.

Pros

  • Help Articles are detailed and clear
  • Support tickets are easy to submit and team is responsive
  • Great value for money

Cons

  • Wish I could set payroll to run more than 30 days out
  • Onboarding checklist within the interface

Return on Investment

  • Saves time as files automatically
  • Can email employees links so they can add info directly
