Moving from the Paper Age to the Digital AgeWe utilized PolicyTech to manage all of the policies and procedures for our entire Behavioral Health System. We've been able to utilize Policy Tech to manage many other aspects of our agency as well including contracts, program plans, and meeting minutes. The system has allowed us to cross-reference our published policies, procedures, and other required documentation to our accreditation, licensing and regulatory requirements for ease in auditing and responding to the inquiry. We have eliminated the burden and expense of travel and time delay in being able to get policies and procedures reviewed by the committee electronically and documents updates/reviewed and published more quickly.,Ease of use and ability to modify documents. Versatility/Adaptability to utilize for other document management processes Ability to assign documents to groups of users to make policy review and notification more job/role specific,The multiple steps to add users and assign roles in the system could be simplified The ability to be utilized with all browsers would assist in decreasing user issues and troubleshooting The ability to write ad hoc reports to meet the agency needs would be great.,10,We've been able to decrease the staff time and travel expense to review documents via committee The staff has access to the most up to date version of policies, procedures, and forms. It has decreased the utilization of dated forms. Everyone has the same policies at their fingertips so compliance and knowledge are at the forefront of patient care and employee relations.,Organization- Ability to organize the software according to your structure which enables staff to locate the documents that essential to the success of the individual and the organization. As a new healthcare worker you can readily find out how to complete patient care and have a quick reference for those low volume, high risk events Accessibility- In the past we used 4 different software programs across our organization. PolicyTech has everyone across 8 states reading the same document, without fear of a region having the wrong version. All is the same no matter where you work. Collaboration and Sharing- As a large organization, you can now see other's policies and determine if you need a policy on the topic or if we should have an Enterprise policy on the topic so everyone is standardized and following the same proven policy.,Searching- Ability to search using more than one search attribute, but not all attributes, or just one attribute. For example, it would be nice to search for title and keywords.,10,Legal cases- Ability to find and provide documents for legal cases, decreasing liability. It has greatly simplified our policy and procedure management process and eliminated the need for manual tracking and logging of changes to meet regulatory requirements. Well suited to manage documents of all types and provide documentation of edits, updates, and review. Not well suited to publish editable PDF forms for staff to utilize.

PolicyTech is used by the entire organization for any policy. It is also being used by the entire organization for Center for Medicaid and Medicare contact evaluation requirements. The software is perfect for any document that you want to have collaborations on from a group- with the software being completely electronic, everyone can chime in when they are available instead a scheduled time for the group to meet.
