Why you should use Exclaimer
Overall Satisfaction with Exclaimer
Managing banners for users has always been a headache, exclaimer removes this and allows you to centrally manage your users, create different groups with different banner formats and individual customisations. Any updates to user data only needs to be updated in Office 365 and the data will auto update in exclaimer. Setting up new users is really easy and straight forward. Overall this has allowed us to effortlessly maintain all our email banners regardless of the method used to access emails be it outlook, Web browser, mobile/tablet app so it always looks the same. Over the months this saves the IT Team quite a lot of time too.
Pros
- Easy to connect to Office 365
- Easy to force sync user data changes
- Centralised management of all email signatures
- Different levels of user access so you can define what each user can do.
Cons
- Template editor can be a bit frustrating to get used to and some options are only available when you setup the fields intiataly it would be much more user friendly is these options/menue were always available.
- List of all users using exclaimed service has to be requested from Support, I would like to see this info in the portal as we pay per email and we review this monthly to ensure we keep our costs controlled.
- Huge amount of time saved updating signatures
- Signature is always applied irrespective of the device/app being used. Which also means disclaimers are always included.
- User data is managed in Office 365 so one source of truth, no need to maintain data on yet another system.
- Data is encrypted when using the service so no security concerns.
- Every user group signature will look exactly the same, we enforce the exclaimer option not to allow users to edit their signature. Brand consistency is always maintained.
Yes, we use different banners for different departments and these contain different pieces of user info, especially when setting up a new user or updating an existing user, we create or update in office 365 set a user group and let it work its magic. We have some email accounts which don't require a signature, as we pay per email address we are able to save on the cost by not including them in the user group/s which have a signature being applied.
We wouldn't have used the service if it wasn't secure, this is non negotiable aspect, data can be very sensitive and we take all steps to ensure our systems and services are secure as possible. We would have had to find another secure service if exclaimer wasnt as secure as it is.
When we were looking around for a signature manager we looked at 2 other services. Exclaimer was by far the easiest to setup and use which is why we decided to go ahead with it.

Using Exclaimer
5 - The marketing team will collaborate with the design team to come up with a new banner. In the past the IT team would email it out and help those who were unable to update their banner, today after the initial setup/config the IT team only get involved if theirs any tech issues. Once a banner has been approved by the marketing team the design team will upload it directly to exclaimer and the changes will then sync automatically across the organisation within an hour or so.
We don't need anyone in-house to support exclaimer we do everything ourself from the dashboard which is very easy to use. If we have a tech or billing issue we open a chat with exclaimer and we are usually able to resolve the issue very quickly. I would say if you want to update the banners which have already been created then you could be a noice user and very minimal training (say 5min) and you will be able to change the banners effortlessly. If you want to create new rules, do more complex rules or design features then you will need to be on an intermediate IT knowledge level. An understating of how office 365 works and its features is definetly a plus.
- Everyone has the same signature with the same info and banner and disclaimer. In the past some users liked to customizer their banners and this didn't always look professional. Users are now unable to make edits to their signature strip as we have deployed this policy, to ensure uniformity.
- Time saved not having to send out new banners then checking and chasing up people who haven't applied the banner. setup new users signatures
- Central management of signatures as well as the connection to Office 365 data allows us to pull data from one source and display it in the required formats with little maintaince required from our end. If a user got a new mobile number all we have to do is update office 365 the change syncs to exclaimer and the signature auto updates within an hour.
- Ease of use, anyone can learn to manage the banners with short amount of training.
- We have been able to include more personal data like phone numbers and working hours for users which are on the road which are office based staff don't have. Other than that we use Exclaimer for its main use.
- I believe we could use it to track clicks on banners and see how people respond to differ t prompts on the banners.
Evaluating Exclaimer and Competitors
- Product Features
- Product Usability
Ease of setup and use.
I wouldn't, we tried 2 other services they were far more complicated to setup so we didn't bother to progress it further. Exclaimer has all the functionality we need and is very easy to use, we have every reason to stay and no reason to leave.
Exclaimer Implementation
- Implemented in-house
Yes - First we implemented the signature on two emails, once we had that working perfectly we then installed the updater on all the pc and devices that required it. Then we moved all the emails into the required office groups and the rest took care of itself.
Change management was minimal - Explain to users beforehand what was happening and the time table for change helped them know what to expect and who to turn to if they had any issues. Training the design team was really straight forward and they were able to grasp the info in little to no time.
- Office 365 sync
Exclaimer Support
Pros | Cons |
---|---|
Quick Resolution Good followup Knowledgeable team Problems get solved Kept well informed No escalation required Support understands my problem Quick Initial Response | None |
We did not purchase premium support, I don't believe their is a premium package you can pay for. As a user if a premium package was offered I wouldn't take it and the current support is more than adequate.
We haven't had to use support so that speaks a lot for the quality build of the service they provide.
Using Exclaimer
Pros | Cons |
---|---|
Relatively simple Easy to use Technical support not required Well integrated Consistent Quick to learn Convenient Feel confident using Familiar | None |
- Set up groups for different signatures
- Signature updates
- Setting up some of the design/graphic aspects using the on screen editor were not easy, however I wouldn't say the system is difficult or cumbersome to use.
