Overall Satisfaction with Paylocity
We use Paylocity as our HR record system, to track time & labor, request PTO, do payroll, enroll in and track benefits, and for performance management. We use it as a repository for company policies and documents, and to communicate with our employees. Our HSA/FSA plans are through Paylocity, as is COBRA management. We're currently exploring adding the Learning module as well, so we can create, assign, and track our own trainings. All onboarding and new hire "paperwork" is done in Paylocity now - we've eliminated all paper from HR. Paylocity created custom job-costing reports for us to upload to our accounting system. Our OSHA log is in Paylocity, my EEO-1 filing took about 5 minutes because of their reporting, and Data Insights helps us track and manage overtime expenses and find employees who may be at risk for turnover. "You can find that in Paylocity" is probably the most common sentence I utter at work!
Pros
- The Self Service Portal is very easy to customize and provides a central place for everything our employees need.
- Our customer service representative is very responsive and helpful.
- Paylocity really listens to feedback from their customers, and uses it to drive updates to their product.
Cons
- I'd like to be able to customize more of the look of Paylocity - use our company colors and logos more, especially on the employee-facing pages.
- You can create your own performance reviews, but can't format the text within the review pages. It would be nice to be able to have bullet points or numbered lists, bold type, etc.
- In Community, it would be really helpful to be able to add multiple pictures to a post, or a file and a picture. Right now you can only add one picture, video, or file. Sharing pictures from an event requires a post for each picture.
- Running open enrollment through Paylocity rather than paper forms saved more than 40 hours of manual processing in HR.
- Moving our HSA/FSA plans to Paylocity saved us more than $2,000 compared to previous vendor, plus it reduces the number of logins and apps employees have to use.
- I can't stress enough how valuable it is to be able to eliminate all paper from HR. Plus, managers can quickly drag and drop documents and files directly to an employee's record, rather than sending to HR to be filed.
We don't currently use the Recruiting module, so I can't speak to that, but the time tracking works well for our employees. Most use the mobile app to punch in or fill in their time sheet, as they are field service technicians scattered around the country who travel to different job sites each day. The mobile punch records their GPS location when they punch and puts it right on the timecard, so supervisors can easily verify that they were at a job site when they punched in. We were able to add a custom cost center where employees can enter the job number they are working on, which has greatly simplified job costing and helps us make accurate bids for service contracts.
I send all announcements through Community now - I like that I can choose to send a notification or not, and even mark it as urgent. When our building was closed due to a snowstorm and power outage, everyone got an urgent push notification on their phones letting them know to stay home and stay safe, where an email may have been missed, especially for employees who don't have access to their work accounts from home.
Impressions have been great for increasing engagement, because employee recognition is shared with everybody. It's great to see people commenting and offering additional congratulations or encouragement for a job well done, and then those pull into employee reviews, ensuring that good work early in the year is not forgotten.
Surveys are so customizable! We have open surveys set up to anonymously report IT or HR concerns. Employees are automatically sent 30-day check-ins, which are shared with their managers so they can address concerns. When an offer letter goes out, managers fill out a survey to request IT equipment, key cards, and corporate credit cards. They are so easy to set up and there are so many ways you can use them!

We're a smaller company, and UKG is really designed more for the enterprise level. It can do a lot, but it's a bit unwieldy and expensive for what we needed. Paylocity allows us to do almost all the same things for a fraction of the cost.
We had ADP before, and we left because of customer service. Paylocity has been a huge step up in that department.
I used Vibe HCM at a previous company, and we switched to Paylocity there too before I left. Paylocity offered increased functionality, especially in the ability to store documents and HR records, and improved reporting.
