Overall Satisfaction with WebPT

We use WebPT for all our patient files. The EMR is used to collect patient information, track treatment notes, submit follow ups to doctors, etc. We use the billing side to submit to insurance companies, track patient payments, run reports on our clinics, etc. The product helps keep all our information in one system and allows us to easily access the information we need. There is an analytics portal that allows to to track our trends from new patients, cancellations, no shows, etc. We can see what doctors have referred and see when they drop off for a while so we can reach out to them. WebPT is a full service system that allows us to stay on top of our business.

Pros

  • Integrates patient information across platforms of intake, care, and billing
  • Provides easy access to home exercise programs that can be sent directly to patients
  • Provides reminders for patients via multiple avenues such as text, email, and phone calls
  • Gives detailed reports by providers/clinicians, by location, by the company to track business trends
  • Analytics to compare trends easily to previous months and or years.

Cons

  • Online payments for patients without going through a third party affiliate
  • Allow for changes in online intake information at the clinic level rather than going through the company and waiting for their design team to do it.
  • Provide more transparent status of patients in the collections stage allowing for reports to be run as to when those are paid/status of contact
  • Better "tasking" process that allows tasks to be easily cleared once complete on the clinic end. Now if the clinic marks "complete" the task goes away when in reality there may still be work to be done on the WebPT end.
  • Have a better system for adding modifiers to patient billing
  • Negative - is when a claim sits for over 90 days and isn't worked to get reimbursement. We have had to push for those to be taken care of.
  • The cost for WebPT is expensive, and we pay to have access to a lot of information in one place.
  • We do have improved therapeutic outcomes because of WebPT as we can see what codes are paying better than others and treat them accordingly and appropriately.
We have been using WebPT since I have worked for the company, so I can not comment on this.

WebPT is a well-equipped system to manage a PT business. The main area that needs work is when a patient calls in to talk to billing with a question regarding their statement. Often information is misrepresented which then makes the clinic look bad. Specifically, in the past, a patient has been told they will receive a refund that week. When in reality, the refund list isn't provided to the clinic that quickly so by the time we get the request for refund and process the check on our end, it is well over a week or more which then frustrates the patients. The patient billing department has improved greatly over the past few months. It is a work in progress for them.

4 - This represents our admin staff. They are knowledgeable in patient needs such as scheduling, billing follow up, coordination of benefits, and insurance verification. The skills most needed are high attention to detail, persistence in follow up, high level of accuracy in their work, and a friendly disposition to engage with our patients.

We have been unhappy with WebPT for the past three years. The innovation has fallen behind other EMRs. There have been significant outages creating downtime for our practice. We have had multiple issues with billing that typically come back late so we then have untimely filing denials. Only one has WebPT actually taken ownership for and that was because our account rep had to fight for us. The billing department doesn't catch issues so our staff has to stay on top of every detail to make sure our claims that fall behind are processed in a timely manner. The advertising of WebPT regarding reduced time in billing along with accuracy of clean claims is a joke when we have to do the work in house.

Evaluating WebPT and Competitors

They bought BMS/RevFlow so we just became WebPT members. We didn't pick them upfront.
We would not pick WebPT based on our current experience as was mentioned in the previous section of survey. WebPT is not innovative, does not provide the billing service as expected or touted, has too many days of downtime, and overall our clinicians are not happy with the product.

WebPT Support

Contacting support is just a general email which is hard to know when it is seen or addressed. We have a fantastic account rep that if we contact directly, is willing to help with anything possible. That is usually the route we go. Previously we had a team associated to our account which was far more effective in handling anything that came up. Too bad that went away.

Yes - Eventually. Sometimes it can take a long time. Sometimes it doesn't get addressed. Just depends of if WebPT decides it worth looking into.
Our account rep always provides exception support and will go the extra mile for us. She has worked at WebPT long before it became what it is today. Thankfully we have a strong contact as otherwise it seems support is just a generic email of a black hole.

Using WebPT

Our clinicians say overall the documentation isn't difficult to fill out. The reporting is easy enough to navigate, yet it would be nice to be able to modify or create reports that suit our practice better.
