Asana

Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

Insightly

One obvious answer is that it can be used as a basic contact management system. Another obvious answer is that it is pretty well suited for CRM purposes: tracking leads, opportunities, and sales through a sales funnel. It's easy to setup sales pipelines. However, the pipeline capability can be used to track any type of step-by-step work-low processes. For example, we use it to track the sales processes for speaking and seminars, which is different from tracking consulting, and both of which are different from tracking retail sales. Once the pipelines were set up, all I have to do is select the appropriate product or service type and Insightly hides the way from there. For some rudimentary email blasts, Insightly allows you to send and track message responses from customer groups. Insightly can also be used as a basic project and task tracking system. Regular and ongoing task sets can be used with pipelines. For example, once a speaking engagement is booked, there are normally associated tasks that must be completed to make the event happen and Insightly allows a pipeline to be set up to track that task set.

Pros

  • Project management and workflow
  • Create customized lists of tasks and reminders.
  • Employee activity tracking
  • One-time solution for project tracking
Jestin Sebastian profile photo
  • Task Sync to Google Calendar. This is especially strong and helps to keep a daily agenda on point for me.
  • Task notifications. This helps me keep on point as it keeps me locked into my timeline of development. I'm extremely busy, so having this reminder system on my phone and in emails is helpful.
  • Notes: I love the notes feature, which helps keep my projects well organized for others that might step into them. I stopped using Google Keep once I got a handle on Notes in Insightly.

Cons

  • If you don't have a champion, the tool won't be used. Just like a shared drive, it has to be kept clean and organized or no one will use it.
  • No Gantt chart functionality.
  • Printing customization doesn't exist - i.e. doesn't show sub-tasks.

Asana is great for how I end up using it. When a new project launches and I get busy, I can easily pick it up and begin using it again and as I get more time (or the project completes) I can drop it again. It seems to morph better than any other application to exactly what project I'm working on, what I need to track, etc. It simply fits into my life extremely well and I'll end up using it again every time I start a new project.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

The online videos and FAQ are very helpful for a general working knowledge of the product. More detailed questions have been submitted to the support staff and they've always been timely in their reply. They don't always give the desired answer but they do get back quickly.

I've used Insightly's online training &/ or learned as I went. I've found the blogs and online written material helpful. I've also attended a few webinars, which can be useful if you use a J-I-T approach so as not to overwhelm you (or your staff) with functionality that you are using just yet. The fact that it's all available on their website and you can learn at your own pace is invaluable

You always need to be clear on your basic needs, but if it meets that, use it. This thing is a winner.

This program is by far the best CRM experience I have had, ever, and I have used many programs from the very simple to the very complex. In my book this program is a winner.

Alternatives Considered

Asana was developed with a very specific function in mind. Assigning and tracking tasks and projects. It does this very very well and doesn't really do a whole lot yes, which is perfectly fine. The only alternatives I could think of would be some sort of Dropbox or Google Drive document keeping track of task assignment. While, this might work, it's definitely not as feature-packed as Asana. And you'll still use either Dropbox or Google Drive for document collaboration.

Basecamp and Salesforce were expensive when compared with Insightly, for the same quality. Zoho was frustrating to use because the pieces don't communicate with each other, which is just stupid. Insightly is both cost effective and practical - so WIN.

Return on Investment

  • The investment can be a bit expensive depending on the number of team members.
  • It reduces some costs since we do not have the need to have project managers.
  • By being able to better manage our projects we can have a better delivery time.
  • We avoid costs in project delays.
Patricia Pineda profile photo
  • We have a better follow up process. (Some of that is just from the act of updating an old process, but Insightly facilitated that and the tools made the transition easy.) Now the sales pipeline is much more easily visualized by management and the automated tasks make following a prospect from initial contact through sale or abandonment with clear information about the outcome of each interaction.
  • Our client notes are much easier to search on than in our past system. This gives the sales and marketing teams a much clearer insight to what clients and prospects feel about our products and our company as a whole.
  • Marketing, sales, administration and technical support now all use the same system. Every aspect of the business use this tool and gather their own data into and out of it to great benefit.
