Google Drive

Google Drive is perfect for team projects and as a cloud if you want to access your files from any computer or device. You do have to make sure to sign in to your account to access if the device you're on doesn't have the app downloaded to it. I wouldn't suggest using Google Drive if you're not on one of your main devices (i.e. on a public computer).

OneNote

It is well suited for capturing weekly departmental task lists. For example, each week we create a new page in a shared departmental notebook. In this new page, each department member enters his/her top 3 accomplishments for the week and the top 3 things which the member will attempt to accomplish in the coming week. We then use this page during our Monday morning stand-up meeting and it helps provide an agenda, structure, and discussion points for the meeting.

Pros

Google Drive

  • Google Drive allows you to upload files in different types of formats
  • This software offers a large storage space and its developers work continuously in order to expand it even more
  • I can access my information from any platform (smartphone, tablet, laptop or desktop computer)

OneNote

  • Because of its flexibility and ability to hold different types of content (text, images, tables), it is a great tool for collecting content from different resources and organizing it in one place.
  • Technical support analysts are using sections for their support case analysis; they paste pieces of logs, screen-shots, document their steps in troubleshooting etc., all in one section, to get the full picture yet stay organized.
  • The logic of content structure; Notebook>Section>Page>Paragraph, allows you to manage and collect all needed information by the areas of the user's responsibility. For example; each of my projects has its own section, in which each page is a task.

Cons

Google Drive

  • There is a big problem when you share a document within a group of people and that is that anyone who have accces to the document can erase without any warning to the other members of the group, this can be very dangerous if you have problems in your teamwork and someone wants to sabotage the job.
  • Google Drive unlike gmail and another apps has no opportunity to use without internet connection, that means that you do not have the opportunity to work or consult a document if your internet connection it is down or it is unstable.
  • Google Drive only offers a limited number of free gygabytes of storage, if you manage big files like music or videos you can have some trouble because if you do not want to pay for the premium version, you have to constantly erase your files every time you need to put new ones on the app.

OneNote

  • It is not always clear where your OneNote files are kept. I prefer to keep all my OneNote files in the cloud, but the actual location of those files in OneDrive can sometimes be a mystery. If I install OneNote on my home computer, I have to open up my work OneNote in the browser and then sync it to my PC. I'm not able to find and open the file in OneDrive through File Explorer.
  • The ability to find notebooks that are shared with you is getting better, but it can sometimes be difficult to locate the right one. I often see duplicate notebooks and end up opening up the wrong one. Would be great if Microsoft only showed you links to notebooks that were actually available to you.
  • Microsoft is shifting away from OneNote 2016 and moving people on to OneNote that comes native with Windows 10. The interface is different enough that I don't like it. I am staying with OneNote 2016 because of the ease of seeing multiple notebooks open at the same time and being able to get to the exact information I need quickly. If you don't like the native OneNote built into Windows 10, you won't like the future of OneNote.

For its compatibility, easiness, quick responses, user interface, storage capacity, files management and file listings. These are some of the reasons for giving higher ratings and Google Drive has become an integral part of my professional life. We use this software on daily basis and most of the time saving lot of time.

As this is not a compulsory tool in our organization, I would say all depends on the decision makers, however since this is a part of MS Office, I am sure we will have it for as long as we will possibly need it. However, I would not be so sure, if it was a separate product

While I might feel like the phone is too small to use to create content, they have done a great job in creating a UI / UX that doesn't prohibit you from creating that content on your phone. On a full blown desktop they have done a great job in creating a suite of office tools that can compete with Microsofts' Office suite. While saying that I do think it's fair to point out that Excel will still knock the socks off of a Google Sheet, due to the fact that it's running in a browser.

I find OneNote incredibly usable. I'm fairly middle of the road when it comes to tech savvy-ness. The platform was very easy to learn and explore. I like that OneNote is no clunky and offers a clean interface. This is important when it comes to deciding if a tool is usable for multiple people.

Its surprising features always amaze me and make me use Google Drive. There is one [benefit] that is more of a neat feature than a benefit, but it’s still worth mentioning. Google Drive’s image recognition technology can easily recognize the content of my pictures. For instance, if I have visited a famous landmark on a recent vacation and upload my photo in front of it, the picture comes up when one searches for that landmark using Google Drive’s search.

I find OneNote to perform very well. I experience quick load times and automatic updates which are two things that are very important to our organization. I personally do not integrate OneNote with other software or systems but I do like that it can generate a sharing link for other people to view.

It takes a few days for customer support to get back to you. Although, I have not had to use support too often. Once you get an email back, they are very thorough and work hard to fix the problem quickly. It is a really great resource and a great way to get the help you need if you're stuck. A phone call also works quickly but you have to call during specific times.

Microsoft does an alright enough job supporting issues in OneNote and updated as of late have brought welcome features. Several years ago they were not as supportive, but current rating reflects updates as Microsoft has seemed to consolidate around the Microsoft Store app. I haven't had many issues where I directly needed to call support.

It's an extremely easy software to implement, once you sign up for a google account you automatically have access to google drive with a set amount of storage space. The business or Google Suite accounts have more storage space than a regular free account, but setting up and accessing google drive is very easy in both cases

Having the ability to create, edit, and collaborate in a real time environment is hands down what set Google Drive above all the competitors for my business. I have stored files in Box, Dropbox, OneDrive, Copy, and even MediaFire. Once I was set on Google Drive, I increased my storage plan and migrated all files into one source and it has been so efficient!

OneNote

The only real product that I can directly hold in juxtaposition to OneNote is Evernote. OneNote ultimately wins that battle because of its zero cost. It compares like for like in most other ways to Evernote, with the exception of its organizational system. If you intend to organize items into more than 10 topics of interest, Evernote may be better suited to your needs, as it's tagging system is more robust for larger categories of organization. If, however, like most users, you're limiting your categorization into 10 or fewer categories, OneNote is excellent, and it excels at helping you find information that falls into a smaller number of buckets than Evernote. Both applications have excellent mobile apps that will handle document scanning, pictures, and the like for you, so it's largely the same there. Overall, I'll continue to use OneNote because it is free.

Return on Investment

Google Drive

  • I would definitely say Google drive has been crucial for many of the businesses I’ve been a part of. There’s no other collaboration system that works quite as well or is as easy to learn and use as Google drive. Plus, it helps that Google is an empire when it comes to platforms such as this; it makes syncing a breeze.

OneNote

  • OneNote makes me more productive because I'm always able to remember discussion points and next steps for any meeting
  • OneNote makes me less reliant on my laptop, when I'm having an informal coffee meeting, for example, which can be freeing
  • OneNote can sometimes be a little slow to use, which can be frustrating when I'm trying to type fast and make notes
