Webexpenses
Chose Webexpenses
We are still currently using Xero but not for their expense management system anymore.

Xero was okay but lacked any real control, workflow or company policy compliance in their basic package.
Chose Webexpenses
I have used Xero previously and to be honest it featured the same level of functionality and more, but I believe it was most expensive and more geared towards the accounts department rather than the end user.
Chose Webexpenses
Cost. Platform design and staff.
Chose Webexpenses
PPW had a more extensive project offering but Webexpenses is more suitable for the activities required.
Chose Webexpenses
Webexpenses has a lot more options and is easier to navigate around.
Chose Webexpenses
Overall, Webexpenses is clearly the better and easier one to use in my opinion. I think it is more suited to us as a business as well. All of the features I use and or require to do my job, for example, user management, admin work and also submitting expense claims are much …
Chose Webexpenses
Expensify is more friendly but does not have the extensive functionality or integration included in Webexpenses.
Xero
Chose Xero
For the purpose of which we use Xero, I have not used any alternative systems. However, for certain aspects of it such as expense management, we decided to go with Webexpenses to replace the expense management features of Xero. This was because Xero lacked the automation, …

Webexpenses
I think Webexpenses is great for smaller organizations but maybe not for larger ones. It's also a good fit for positions that require travel that employees track and are reimbursed for mileage or personal expenses. I definitely would not depend on the mobile app if you can't also use Webexpenses on desktop. Sometimes it's glitchy and requires you to use both

Xero
Xero is a 10-point software since it streamlines accounting and financial processes with great agility, generating immediate productivity. I recommend using all its features since, from creating reports to paying bills, the whole process is easy and does not require much knowledge. We can use it remotely with our phones and still build fluidity, plus it can be integrated with Salesforce, building even more power for short-term results.

Pros
Webexpenses
  • imports credit card transactions from our corporate card program without issue
  • allows for easy set up of new users
  • is a very intuitive, easy to learn tool
  • has a very responsive support and customer service team
  • Set up and configuration was thorough, and they were able to work through our unique issues, such as custom segments in NetSuite.
  • It is a very inexpensive product. Well worth the cost.

  • Reporting (customizing look and contents and the ability to add multiple comparative periods is brilliant and not found in many other competitors.
  • Bank feeds. The way they organize bank feed and subsequent matching or coding is very user-friendly for non-accountants and fast for accountants.
  • Can file VAT returns and is MTD compliant in UK.
  • Customer support has been helpful (at least in my experience).

Cons
Webexpenses
  • Expense claim feature when it comes to travel and when we have to create in terms of KMS driven it should auto-capture the dates. This can be improved and there is the scope for improvement.
  • More tabs can be provided in petty cash expense so you need not type.

  • Overall it is a great platform and quite comprehensive for US based users.
  • However, if we focus on multinational companies that want to integrate the information of different companies in several countries within the same solution, we find the need to carry out reports outside the platform to provide the accounting structure and compliance necessary in countries outside the US.

I would see no issues in renewing the Webexpenses software, and this has improved the way we process expenses.

In addition to the matters covered in this review, my reason for renewing this product is that Xero's functionality and the constant updates that the company provides, makes the software even more business friendly. The software therefore builds a brand loyalty among customers.

Usability
Webexpenses
its a very easy to use system that allows me to enter what I need and not have to worry if i've entered it correctly. It guides you through the process very easily and ensures that very detail you need is entered. Its streamlined and well thought out a must have for any business.

It has deep functionality, and it's easy to use for invoicing, quoting, financial reporting, and customer management. This product manages financial information for small business owners in a unique way. The phone interface is really good as well-meaning I can keep on top of the finances on my phone and feel confident about the financial decisions I'm making.

Reliability and Availability
Webexpenses
There was an unexpected system issue that caused us to have to postpone a user training session at the last minute. Our Webexpenses trainer was not aware that it was going to occur.

Xero
We have been actively using and 100% Xero based for our ecommerce accounting practice for over 4 years. There has on been one real outage for more than 5 minutes. Xero was open and transparent about the outage, what they were doing to resolve the issue, and provided 15 minute updates. Showing how they care about their customers and partners. Plus, showing that their customers care too, were understanding, and went surfing or in our case took a nap. Couldn't run our business without Xero as a partner.

Performance
Webexpenses
The performance is great. Pages and reports load quickly. The data export/import from Webexpenses to our financial software, ACS, is not user friendly, mainly due to ACS import steps

Xero
Pages generally load quickly, but it's a fairly common occurrence to have pages taking a bit longer than I'd like to load (as in, 4+ seconds). Occasionally I have to refresh a page to get it to work. Bank feed and integrations tend to be slow in general, but that could easily be due to API latency on the side of the other parties. Most of the time, though, the bank feeds refresh before I login so it's not a huge problem. Not necessarily good performance compared to a local app like QuickBooks desktop, but definitely good performance for a cloud application. Room for growth? yes.

Support Rating
Webexpenses
The support for the initial setup was great, but since then we have only had to contact support once when we had problems uploading credit card files. The help we received at this time was not good and we ended up trying various things until we resolved the problem ourselves. The online support tutorials are good, but searching for a specific issue is difficult.

Support has always been responsive and quickly resolved any questions I have. The only reason I don't give full points is because there's no way to call for immediate help. I'm fine with this because I don't need it badly enough to pay for it

Online Training
Webexpenses
Our trainer spoke very quickly and went through the training material quickly. Since this process was new to us, we missed some important information. We would have benefitted from further training with report generation as well. She did provide a recording of the training, but again, she went through the material very quickly

If it can be done, time the implementation near a new fiscal year so you can start clean. Otherwise, you have to go back and do historical data from the beginning of the fiscal year, which can be brain draining.

Alternatives Considered
Webexpenses
Fortunately, I have not used any other alternative before so I am afraid I am not in a position to establish any sort of comparative analysis between Webexpenses and any of its competitors. However, when asking people in other organisations Webexpenses was always the recommended option instead of other providers.

Solely the ease of use. This has saved me so much time on day-to-day tracking it is astonishing. Not only does it make it super easy to send invoices, but it also makes it easy to print invoices off, eases the process of partial payments, and keeps good track of all notes made to the account.

I have yet to fully stress test the product given the size of the company where I am using it. I am sure as we scale to more customers, more vendors and more reporting requirements, I will have a better understanding of what it is capable of in terms of bandwidth and processing

  • Previously you would have to manually scan expenses using a photocopier and have them signed and then put them in an envelope! Big time saving so Consultants can focus on selling.
  • Accounts departments require less capacity as its all automated.
  • Good tracking of expenses through the dashboard for managers.
