Overall Satisfaction with ClickUp

We use ClickUp for our program management within Marketing. Serves almost 50 people right now, we are looking to expand it to share with the full company but need to have it approved by Mastercard (our parent company). We use it to manage global and regional campaigns and share workstreams within the company using the guest functionalities.

Pros

  • Tasks with deadlines - that show up in assigned dashboard
  • Ability to assign tasks and comments
  • Nested tasks to keep projects together
  • Calendar function - allows us to share events/tradeshows with the full team real time

Cons

  • Deadlines on checklists - too manual
  • Notification defaults are intense. They should be limited to user-created tasks or ones you are watcher/own. Getting a flag for every new card should never be where you start.
  • The ability to keep work all in one place has saved a ton of time. It would be hard to quantify as I had limited experience in the previous tool, but we save time trying to find documents, comments, deadlines, etc.
  • We have complexities that do not allow us to use all the functionality of the tool. Once we jump our internal compliance hoops I hope to utilize them more fully.
  • The only negative I can think is that we are not currently able to integrate with other tools as completely as I'd like - for example, it would be good to connect to Teams.
We are able to get in and look at each other's work, which is amazing for collaboration. Transparency is great. Everyone knows where to look for materials - and with a link they are directed exactly where they need to go. More training would be good for our team on how we need to work so that everyone is more consistent with their usage, but that's us. Campaign management has become very organized and fewer things are missed (the templates are great).
We've used it more as a place to consolidate a project's information and processes for now, as we are not able to fully integrate into our Teams instance (due to security concerns). However, in a company with fewer regulations or access to PII this would not be an issue.
Monday did not have as many levels (nests) in order to keep everything together, so we ended up recreating things separately and they would sometimes get lost.
Ability to switch between views as easily wasn't there. Once the structure was set that was it, tough to change.
Old interface. Seemed messy and took longer to get used to it.

ClickUp works wonderfully for our team. I love that I can add someone in as a guest for free as this allows them to see specific tasks as pertains to their role. -I wonder about SSO in the future; I believe it's a capability but we are blocked by internal regulations. -Basic use is very intuitive - and then you can make it as complicated as you want/need. We limited the use of nesting with our team as things become too hidden for a large group, but I personally love the complexity.
