Overall Satisfaction with Paylocity

We use Paylocity to track employees time, process payroll, assist in recruiting and onboarding and are in process to roll out new functionalities with open enrollment and benefits coordination.
  • Ease of use
  • Availability of reports
  • Good customer service and support
  • Does not interface with our 403 (b) provider, an API would be useful
  • Does not interface with our current Financial software, again an API would be useful
  • Reduced overall time to process and monitor payroll
  • Eliminated manual steps in the payroll and HR processes
  • Improved management visibility into metrics related to staffing and retention
Tracking of open jobs, including candidates, has improved. The real time org chart preparation is very helpful. Being about to house related documents in the employee's profile is also very helpful.
We are able to broadcast policy updates and changes to employees in real time, requesting that they review and sign off. This used to be done manually through email and pen and paper, so this change has been very helpful!
Paylocity's responsiveness and ease of use far outpaces both other solutions!

Would you buy Paylocity again?

Yes

We have given out a bonus to employees for the last 3 years; this year I used Paylocity's net to gross feature to calculate the amounts and used the firm to print the employee checks. Something that used to take half a day was completed in about an hour.

Evaluating Paylocity and Competitors

  • Ease of Use
Ease of use for admins AND employees was the biggest key for us.
Likely would not have changed the process - it yielded good results!

Paylocity Implementation

The scripted process was executed very well by the staff members and made adoption very easily.
Change management was minimal - It's best to have policies and procedures well documented before implementing; that way you only need to adjust your documentation to what the system can or can't do. It's also key to be flexible and try to use the system as it's designed for as much as possible.
  • Some of our time off policies were not native to Paylocity but were able to be navigated pretty simply

Paylocity Training

The rigor of the process and the multiple touch points made adoption very easy to adopt and use. We had good trainers who had knowledge within their scope as well as "upstream" and "downstream".

Configuring Paylocity

It seems to be just about right, the challenge is making sure that you're maximizing what you can do with configuration versus out of the box functionalities.
Nothing specific, however touch points with an account manager to discuss what's been working/not working with the system 3-6 months after implementation would be helpful. The AM is available on call, but having that set up, similar to implementation, would be helpful.
No - we have not done any customization to the interface
Some - we have added small pieces of custom code - We had to add codes for unique PTO policies that we have; configuration was relatively easy, but it led to manual steps on the back end of the process.

Paylocity Support

I like that I don't have to get "my" account manager to get solid information in a timely fashion. It definitely makes a difference!
ProsCons
Quick Resolution
Good followup
Knowledgeable team
Problems get solved
Kept well informed
No escalation required
Immediate help available
Support understands my problem
Support cares about my success
Quick Initial Response
None
No, I don't believe that we did. We wanted to see how the basic function / set up would work with the option to add the premium support later if necessary.
Needed to run a bonus payroll at year end with employees expected to receive a flat amount ($100, $500, $1,000). Paylocity's net to gross spreadsheet made this EXTREMELY easy. Something that previously took hours was done in minutes. And this was all discovered by a support call to Paylocity!

Using Paylocity

Logical set up, simple menus and a good rollout training made the difference.
ProsCons
Like to use
Relatively simple
Easy to use
Technical support not required
Well integrated
Consistent
Quick to learn
Convenient
Feel confident using
Familiar
None
  • Payroll processing
  • Timecard correction / approval
  • Expense management is easy to use for both users and admin
Yes - Most staff only use the mobile interface, and it appears to work very well for them.

Paylocity Reliability

We are a smaller agency that only uses limited amounts of the functionality, but there are tools that I would have used at previous and larger entities where I was employed. The only limit to scale is how much time the business is willing invest.
Only one time in over 2 years of use where the system became unavailable during a key time. The issue was also resolved quickly, limiting any downstream complications.
It is one of the quickest loading cloud based programs that I use and there are limited drops in coverage/availability.

Integrating Paylocity

We have only done limited integration at this point.
  • Previously, attempted to integrate with GL; have upgraded GL but have not yet integrated
No deep yet - we have updated other systems and will be looking to tie Paylocity in to them, yet it has not been done at present.
  • General Ledger
  • EHR
  • 403 (b) system (Pen Serv)
  • MS Power BI
Not certain of the top 2, but I know that there is not an available API for our 403 (b) program, which IS a limitation in our use of the Paylocity system.
  • File import/export
  • API (e.g. SOAP or REST)
None that I know of.
Uncertain - our exposure at present is only limited in scope.

Relationship with Paylocity

Knowledgeable and very candid, which is appreciated AND refreshing
The fact that our salesperson remains attached to the account is key, in my opinion. It keeps continuity and allows for better customer experience.
Limited usage of professional services.
Not much negotiation - the standard contract worked well for our needs.
The system is priced well, especially given that it is almost always "up". We have other solutions for which we pay more that have less "up" time and longer lead to resolution of "bugs" or issues.
The salesperson makes all the difference. The one with which we worked was top notch and ensured that we made it through implementation to full usage well.
