Adobe Sign

When working often with contracts and the need to keep track of a lot of different clients, Adobe Sign is really helpful. Early in my business when I didn't have a large number of clients and I did most everything in person, it would have been a more unnecessary luxury for me. Now that I do a lot of work online and my clients are reaching farther and farther and more regularly hire me from over an hour drive away and sometimes out of state, I've found it extremely helpful when I can't meet in person. I've even moved to doing all contracts through Adobe Sign, even if we are meeting in person

HelloSign

It's great for small businesses that don't require a sophisticated contract builder and want to get documents out fast for signature and back quickly. It's a stand-alone solution with the option to integrate with Salesforce if you purchase the highest-end custom solution.

Pros

  • Adobe EchoSign enables us to quickly and easily reach our client base of over 5,000 independent contractors across the country. Because our clients are located all across the United States it would be an inefficient use of time and resources to maintain their agreements and service contracts any other way than EchoSign. I am the admin for our EchoSign account with six subgroups that I manage a variety of documents for. I am easily able to locate a document, find its current status and see all who have shared it. This makes managing a large amount of documents very simple.
  • EchoSign is very user friendly in that every tab is easily recognizable as to its functionality and use. Being the one that trains our company on how to use and maximize EchoSign it is very easy for new employees to grasp because of how user friendly it is.
  • Getting a document uploaded into EchoSign and available for immediate use is very simple. I utilize Adobe Acrobat X Pro to create all the custom fields and the overall look of the document and then simply add the document to my EchoSign library with the appropriate signature fields.
  • Adobe EchoSign makes signing and filling out our contracts/agreements a simply process for the client. EchoSign walks clients through each field on a document in which information is required.

  • It's really easy to create a contract or contract template. Simply upload your Word document and identify which areas each party should sign. The templates work great because you can modify and reuse standard contracts.
  • e-Signature is great. You can choose an e-signature or use your finger (or e-pen/stylus if your computer has one) to sign your signature. The signature can be saved and reused on future contracts.
  • The notifications are great. You get a notification once the other party has signed and everyone gets a notification with a copy of the contract once all required parties have signed the document. You don't have to worry about final distribution. It's great.
  • If you're low volume the free version of HelloSign allows you to send 3 documents per month.

Cons

  • I do a lot of widgets within EchoSign and as far as I can tell there is no way to go back and edit the document if a change needs to be made without being required to redo the whole widget. Unlike uploading a document and having the capability of editing it once it is saved, widgets are a one time save and hope it is 100% correct. This gets particularly annoying when I am turning a 20 page document with lots of required and non required fields into a widget, one mistake means redoing the whole thing.
  • It seems there would be an easier process for archiving documents. A one or two click process would be nice and much easier for people I train to remember and grasp.
  • It may be due to my skill level but seems having more than one signer where one is optional gets a little tedious and difficult when it spans a large number of documents.

  • I wish you could customize the sender address. I always send the HelloSign sender info in advance to prospects to whitelist before I send the contracts. I'm always worried that the emails will get caught in spam filters -- hasn't happened yet. It would be nice if I could set up some sort of email relay.
  • It would be nice to be able to set up folders to organize documents in HelloSign. My workaround is to store and organize the final signed documents elsewhere.

This would be a 9 or 10 except towards the end of 2012, there were several outages, one that was significant. EchoSign has taken steps to rectify this but they really should have handled both the outage and the subsequent communication better

EchoSign is extremely easy to use through the entire signature cycle, from sending to signing to administration with a very guided approach. The only way this could be more usable is if it auto-detected the fields but you can get there for the end users by using smart tags in just one extra admin step

I haven't had to ask for support more then a handful of times and each time I do interact with the support team I have felt important. They get back to me quickly and I am able to get them answers/help I was seeking

Online Training

The best types of training are well integrated into the product and Echosign does this well. As mentioned earlier in my review - there are some areas of functionality that can be difficult to understand ("only I sign") for the novice user.Other areas such as macro usage, bulk signature and so on were easily learned and understood via the online tools.

We opted not to use the Salesforce.com integration however that was our internal business decision and it was the wrong one but that was our issue, not the vendor. Whether you implement using just the web interface or both the web interface and the Salesforce.com integration, they are both easily done

Alternatives Considered

Docusign. We perceived that Docusign was strongest in the real estate market and might have more professional services. By contrast Echo sign doesn’t have any. However, I felt that Docusign makes people adopt their signature online out of the gate and creates a very different user experience. I think this makes the user uncomfortable. I also think their set-up a is a lot more confusing. It looks very legalistic in comparison to Echosign. By contrast, Echosign seems more user friendly. The style feels lighter like Mac vs. Windows

Return on Investment

  • Higher quality orders are being submitted. Previously, we had a lot of problems with missing pages on contracts and clients writing on contracts, both of which could cause orders to be rejected. In general document integrity is really important. It helps assure to a sales rep that their order will be accepted.
  • No lost revenue. It reduces the risk of a contract being rejected in a quarter. Previously, we had a 1-2% contract rejection rate and now it’s practically zero.
  • There is a staff time benefit of not having to check documents that come through Echosign. You don’t have to count pages etc. For my staff, it probably saved her 10% of the time.

  • I have the version that isn't integrated to Salesforce (cannot access while in an Opportunity to send) but I do use Gmail integration. I just attach the email with the document to the opportunity via Gmail for Lightning. No extra work since I'm logging the email anyway. It saves a ton of time re: attaching documents to the right records without having to be Salesforce.
