I think it all depends on what the client is looking for. I mean we have been using Vantage for the last 6 years and it has come a long way from where it started. The nice thing is we have been able to grow with it and configure things to how we need them to be for our business. So each business needs are going to be different and ADP Vantage can keep up with those needs.

Small business and self-employed users with a few employees is best. It is focused on offering tools to make the requirements of running a business very friction free. No need to hire someone to manage payroll and benefits when you can just set things up quickly and Gusto was there from the start. The one thing I would say is they were immediate with their call. I signed up and as I was completing the steps, someone called my phone to ask if I ran into any issues or had any questions during my signup process.

Pros

  • ADP Vantage is great because all the data is in one location, there is no exporting or importing employee data. For employees this is also a benefit as it's one place to go for everything they need, to record time, update tax withholding, setup direct deposit, update contact information etc.
  • I absolutely love the report writing, especially the new tools that ADP has introduced such as the "Field Grabber". It makes it so easy to create and run a quick report as needed. Even our least experienced users have commented how easy it has become to use reporting in ADP.
  • The New User Experience, (MyADP) although is new and not yet completely rolled, out will be a great benefit for employees and for managers who have 5 or less direct reports. The design is so user friendly where there are no instructions needed.
  • Its so easy to manage the user access, and make changes as you need it. The security gives you lots of flexibility. Just today I had a Practitioner who was going to take over the responsibility of a second location's payroll. To give her the correct access to the second location took less than 2 minutes to set up and apply to her profile.

  • It is extremely inexpensive for what you get, especially compared to some other options. Their pricing model of monthly instead of per-pay run makes it great for companies who run many ad-hoc payrolls instead of a standard monthly or bi-weekly payroll
  • It is very easy and intuitive to set up
  • It integrates easily with both Xero and QuickBooks Online
  • Their support and onboarding team is extremely responsive and helpful

Cons

  • When ADP releases updates, it sometimes causes issues with our current setup - mainly in terms of security access profiles. If they add a new feature or update an old one, sometimes those profiles will default to having access, which can cause a problem in terms of segregation of duties.
  • The initial support we received when we first went live from a payroll perspective was not the best. Our implementation team rolled off and we were informed that a new group would support us. Unfortunately, they did not know our entire set up, so they were, at times, as lost as we were. (This has improved over the last year.)

  • There is a 4-day lead time required for direct deposit which doesn't always work well for smaller companies who don't have a lot of cash flow and would prefer to keep the money in the bank until much closer to pay day. Also, if there is a bank holiday during that 4-day period then you have to run it 5 days ahead of time. I've had several clients who simply refused to consider Gusto as an option due to this as they can have a 2-day lead time with many other payroll companies.
  • There have been several occasions when they have made a mistake in the payroll tax filings. When I first signed up with Gusto on behalf of a client (several years ago)they filed their local payroll taxes incorrectly for several periods in a row and I was told by the local tax agency that they did this not only with my client but several other companies as well. It took a long time to straighten this out, and they were not always prompt in their customer service response. Most recently they paid the state unemployment taxes a day late due to a "technical issue" - they say they are working to resolve the issue and will either get all penalties forgiven or cover them themselves - since this happened very recently I don't yet know the result of this one but they have been very pro-active on it so far.
  • The payroll reporting could be a little more robust and accurate, especially the YTD reports. For example when running a payroll we always want a report that covers only that payroll as well as reports that cover the entire year to date, however, if you try to print the YTD report on the same day that you run the payroll, it does NOT include the payroll that you just ran because it hasn't happened yet, so you actually have to log back in 4 days later in order to get an accurate YTD report. Also, you can't run a report for only one employee - you have to cover all of them even if you only need the information on one of them.

While Gusto does have a few flaws on the whole it is a very user-friendly software that does a great job of making a very complicated and mundane task quite easy and it is also very cost-effective. But I find that it is not a great fit for everyone and there have been a few mistakes in the payroll tax filings that have caused me and my clients some concern

A lot of set ups vary from company to company so parts of our training we found it difficult to relate it to our processes. They have TONS of training modules available and a streamlined process for what you should complete and when. Would have been helpful to have onsite training for how much one pays for the system.

Alternatives Considered

PayForce did everything we needed with less dependence on ADP and at lower cost - Vantage cost more, delivers less and makes us more dependent on ADP - if we had an option we would have stayed on that platform.
