Asana

I think the best part about Asana is how we can use it seamlessly across the company within all departments and have separate spaces for each department as well. We are all remote so when we aren't able to have a standup meeting it is easy to pop in there and see where everyone is on a specific project

Notion

  • Turning a basic spreadsheet (I have countless of those scattered around when researching subjects) into a database with views and filters, in a clean layout.
  • Embedding interactive tables inside a document (no duplication of information required)
  • Clean and friendly minimalistic styling
  • No additional steps required: everything you write is "live". You only have to decide whether to make a doc public or not

Pros

Asana

  • Easy to use by any user (good UX and no installation needed)
  • Easy to create a simple project, add tasks and sub tasks.
  • Different display options, according to the project/tasks type
  • Works great using a web browser, you don't have to install the application

Notion

  • Team Collaboration. In Notion's software is the ability to see precisely who is working on a project and where. This eliminates any confusion when on calls or when working on the same project simultaneously. It is easy to tag co-workers to precise moments and build conversation streams.
  • Text Coding. When transitioning text from our Notion ideation and drafting boards to our website backends, the coding holds on all of the text.
  • Organization. Whether it's utilizing a "pin board" set up or nestling pages within pages, it is possible to keep everything organized and easy to find for every member of your team.

Cons

Asana

  • Some users might find the user interface a bit dull and un inspired
  • We found the way to use multiple workspaces a bit confusing
  • It takes quite a bit of planning to build a well organized workspace in order not to have way too many projects and tasks all over the place
Louis Schietekat | TrustRadius Reviewer

Notion

  • The search in Notion leaves something to be desired. It can be hard to find a page unless you know exactly what it is titled.
  • The sidebar and groupings of pages on the side bar can be a bit tricky to navigate.

It is very user-friendly. Takes a new employee an hour to start figuring out how the system works. That's an important factor. You don't want to encounter the issue where employees need a week to understand how the system works. For example, JIRA, I tried using it for a week and I still don't understand the complicated layout. Asana has a simple interface. Once you see it, you get it type of program.

I haven't had to use their support so I can't rate it. The fact that I haven't needed them reflects the ease of use of the product. I would recommend that any new users schedule a complete demo of the product to ensure that they are using it to it's fullest (there's a lot of useful features).

Alternatives Considered

Asana

Asana compared to Jira is certainly better in terms of user experience, since most of the people can start using it basically without having any kind of training or previous explanation, which makes it really useful not only for people already used to project management but also for people new in the matter and with a need of a tool that provides all that value in the quickest and better way

Notion

Trello only has the Kanban board feature and is great for task management, while Notion has a vast array of features, is easier to use, and has a more visually-appealing interface. I choose to use Notion over Trello due to its increased versatility and greater customization capabilities.

Return on Investment

Asana

  • Productivity - Most of all, it allows me to be more productive and have a good sense of where I am with projects and deadlines.
  • Easy to use - I can make the most of my time to get up (and stay) up and running.
  • Project coordination - Allows me to assign tasks to my interns and communicate directly within the platform to keep the work train moving.

Notion

  • Being able to have insight into personal OKRs feeding into companywide OKRs
  • Creating a home base for all of our different departments' internal documents for items where Google Drive doesn't make sense to house them
  • It's super great to have my task list to keep myself moving forward to my OKRs
