Laserfiche is perfect for businesses that need a place to appropriately store their documents digitally and want an environment to grow from. Adding Laserfiche Forms helps grow a business' ability to process their work and reach their customers easier. Laserfiche could be used for all sizes of businesses but may not be as worth it for very small businesses.

OnBase by Hyland

Hyland Onbase is simple, effective, and just works for when it comes to content management systems. Many companies rely on static folder structures for storing information or Excel/Access tables which can easily become a mess whereas with Onbase every document is unique and access can be restricted/audited depending on user permissions. It allows for a company to easily take control of their information and be more productive.

Pros

  • Electronic content management- it provides backup, versioning, access controls, retention policies, powerful search, metadata, and routing. It provides several facilities for importing scanning documents including OCR.
  • Business Process Automation via workflow. Built on Microsoft WWF technology, Laserfiche provides a developer studio (designer) for rapid, visual development. It contains dozens of pre-built objects to accomplish numerous tasks, including document routing, rules, and web API integrations.
  • Electronic Forms- an easy to use interface for creating input forms which can be routed, saved to the repository, and integrated into a workflow.
  • Robotic Process Automation- Laserfiche has put an emphasis on developing their RPA solution to be a serious player in this space. Their RPA bots can be easily integrated into business process automation (BPAs).

Cons

Laserfiche

  • Quick Fields, the tool for automatically importing and processing scans by Zone OCR, is primitive and out of date. The user interface is terrible, and the program can behave in unexpected ways. The OCR module from Nuance has a high error rate.
  • Security and access rights are finely grained, and quite powerful, but there isn't a way to get a report of access rights and where they've been set. If a document repository is very large, and was not properly planned out and documented, untangling user rights issues can be a real mess.
  • Most of the modules are intuitive and easy to use. This is a double-edged sword. Forms and workflows are quick and easy to create, but it's possible for a non-programmer to create a workflow or forms process with hundreds of copy-pastes of the same activities where someone with some practical programming experience will create a loop of a dozen activities.

  • Printing multiple drawings from a hit list.
  • We are currently working with our Value Added Reseller and Hyland to enable a print button that would allow us to print multiple drawings from a hit list. Our users might need entire sets of electrical one line diagrams or piping and instrument diagrams for plant operations or project work. The disabled option stems from the fact that some engineering drawings are created with external drawings (XRefs or external references) that are referenced inside a drawing. Because 99% of our drawings are simple drawings that do not use external references, the disable print button is a handicap. If not resolved in this issue, which is still our hope, Hyland is aware that the issue needs to be fixed in the future.

We plan on renewing Laserfiche for the coming year but also have been considering a scanning and document management solution that can be purchased from our new accounting system company, we are implementing the accounting system this year. It will be a couple years before we make a decision to stay with Laserfiche or change.

In addition to ease-of-use of Hyland's Unity and Web clients, modules like Application Enabler allow us to read information from any app in order to serve-up OnBase content to the end-user

I am very satisfied with Laserfiche. I have found that certain larger jobs may are slow. This may also be related to our infrastructure environment. We have been able to tune Laserfiche to increase performance on larger jobs.

Performance, of course, is largely dependent on the underlying environment. Laserfiche does its part with multi-threading, taking advantage of multi-core servers on scanning, workflows, and bots. A SQL-Server back-end is suitable for small to medium-sized company, but may not scale to large, where Oracle would be the better choice. Workflows can be poorly written and perform recursive work slowing down the system. It's better to run batch type workflows at night when possible.

I have never had to wait for help from Laserfiche. If I cannot find the answer online, I can easily send an email to a customer support representative. I have always been helped the same day and my questions have always been resolved. The Empower conference is always a great learning opportunity and the online resources and webinars are top-notch.

In my experience with the customer support of OnBase, the issues that have been submitted were all addressed and fixed in a timely manner. There are also several ways to submit a ticket such as creating one online or calling the phone number provided on their site. An account manager, success advisor, and support team are all assigned to helping you with any questions or issues that arise and phone numbers and email addresses for each of those areas are provided as well.

Laserfiche is the leader in the ECM industry, and I believe will stand toe to toe with any competitor on the market. Not only is it on of the most advanced systems for an enterprise wide solution, but the cost is also very competitive. I also do not believe there is any competitor with an integrated forms module.

We switched off of Perceptive Content because their support was absolutely horrendous and the company just completely stopped innovating. Their platform didn't provide the ability to integrate like OnBase does today. There are no limits to what we can achieve within OnBase. whereas we were very limited in what could be automated within Perceptive.
DocFinity (Evaluated)
We evaluated DocFinity at the same time as OnBase. They had similar capabilities in terms of integrations but severely lacked the infrastructure and team to implement it well. We were overwhelmed with their lack of knowledge around their system and their inability to listen to their customers.

  • Better customer service- if it's in laserfiche you can reproduce a document immediately.
  • Better use of office space as my old fashioned file cabinets that used to take up wall space have decreased in size as I use my Laserfiche filing system instead. Only when necessary is a 'hard copy' kept in a file cabinet such as legal documents, original certificates, permits, etc.
  • Employee empowerment- staff can research a particular subject by reviewing the files in laserfiche. Reading/skimming several pages is easier and you don't clutter your desk with old, dusty manila folders!
