It's great that it is very easy to add documents, such as receipts, in different document formats, including PDF and Word. I use the system throughout the month, and add the expense line into the claim when it happens, rather than doing it all at the same time at the end of the month - this helps me to keep track of expenses owed and miles driven throughout the month. It would be great if I were able to save regular locations when adding mileage.

easy of use for the end users as well as to manage. The option to add new categories (expenses) and have the end users use them immediately is wonderful. The ease of creating a new user as well as customer support has been great. The customer support while having issues has been quick to resolve any issues

Pros
Webexpenses
  • imports credit card transactions from our corporate card program without issue
  • allows for easy set up of new users
  • is a very intuitive, easy to learn tool
  • has a very responsive support and customer service team
  • Set up and configuration was thorough, and they were able to work through our unique issues, such as custom segments in NetSuite.
  • It is a very inexpensive product. Well worth the cost.

  • The program will notify users if they have entered a duplicate charge.
  • Once the end-users understood that receipts were mandatory, attaching those receipts has become second-nature. The app makes it very easy to do so.

Cons
Webexpenses
  • Would be nice if claims could be organised into certain chronological orders i.e. ordered by date so I don't have to copy and delete claims when adding a claim in that has an earlier date
  • Would be ideal to have an option to save full routes rather than just addresses maybe?

  • Could have more default options. Instead of making my users select payment method, allow us to default it to one of the options.
  • More room for customization by department. My service department needs different categories of expenses then my sales department.

There doesn't seem to be anything in the market at the same price point that is better, however if there is an interrupter in the market that provides better value, then we would heavily assess the cost of change to see if we should move on to the alternative offering.

Usability
Webexpenses
It is simple to use. Things are intuitive even for a first time user. UI can be improved to make it have a more modern feel. But the current UI is simple and elegant. Different sections for claims, reports and receipts make it easy to get things sorted and quickly access them when needed.

Ease of use for the simple basic options. I wish the there was an option for reimbursement to be marked separately. Example for all corporate credit expense reports with $0 reimbursements still have to be marked as reimbursed in order to be removed from pending reimbursement section. For the cost the features offer benefits

Reliability and Availability
Webexpenses
The soft ware is reliable. The phone app works well and allows you to upload evidence, receipts, log mileage and log expenses. It works well and is rarely locked or there are very few times the app is down. The laptop based software is easy to access and again is always available

Support Rating
Webexpenses
The support for the initial setup was great, but since then we have only had to contact support once when we had problems uploading credit card files. The help we received at this time was not good and we ended up trying various things until we resolved the problem ourselves. The online support tutorials are good, but searching for a specific issue is difficult.

The only reason I give Zoho a 9 is because of the issue with the Chart of Accounts skewing every time I export/import. I believe this is due to the fact that I use sub-accounts and Zoho cannot differentiate. Still hoping. :)

Online Training

It was difficult to train multiple people via video, as they learned at different speeds, and most of the user champions were not as capable with systems and finance processes as our dept.

As long as you have people that are fully aware of the setup steps to get users into the software then I would see no issues arising for any company.

Alternatives Considered
Webexpenses
I would have to say that Webexpenses does not stack up well in comparison to Expensify. If given a choice, I would choose Expensify for the best user experience and mobile / desktop being more seamless. It accomplishes the same thing but has a more modern, minimal, and streamlined feel to it.

We selected (switched) to Zoho Expense because it had similar features at a lower price and we were able to receive a discount through our partner relationship with another software company. We have considered moving from Zoho Expense to something else recently due to continued issues with being able to accurately import credit card charges and organize them correctly be team member. Creating some confusion among users.

Everyone uses the app to log details, upload receipts and to claim allowable expenses. having spoken to everyone within my team and wider directorate, i do not know of anyone who has had issues with the app

Return on Investment
Webexpenses
  • Easy integration with your existing finance / accounting software.
  • Lot of time is being saved in maintaining records and now going completely online.
  • Love the option of Scan receipts with Google-vision-powered optical character. This also resulted in less use of paper in our office.

  • We have had some issues with the credit card reconciliation process which has made our monthly accounting / close process. This has been a negative
  • Positive ROI is that team members spend less time on expense reports due to the ease of reporting
  • Positive ROI is that substantial training and onboarding is not needed due to the features and simplicity.
