Overall Satisfaction with UltiPro

We use UltiPro as our employee management tool. It is the one stop shop for our managers to manage their employees.
  • One place to go for everything- The employee self serve tool makes everything available in one spot
  • User Experience fits everyone-All employees use Ultipro, even if it is something as easy as checking your pays stub or W2.
  • Customer Service- Response times are great for first level issues (which cover 90% of any issues), but if you have to have your problem escalated to another team, you may have to wait a few days.
  • Integrations with outside Learning Management Systems- We use BLR and Skillsoft and have to manually run reports, create new training class codes and import training classes taken each month.
  • Mobile Access for smart phone /tablet users across all products- Older version of Recruitment is not mobile friendly at all and we have experienced delays getting upgraded to R14
  • Business Flow Customization- It would be really nice if we could direct business flow based on certain responses.
We used Silk Road for our onboarding process at one time. They were great at first but they began to nickel and dime us with addition of new forms and making minor changes. Also, as they began to upgrade their systems, things we liked about the system began to no longer be available without extra costs and when we finally decided to leave them for Ultipro, they held our data records hostage until we paid them an additional fee to convert to a format we could read.
UltiPro is a great product for large companies (over 500) and especially if there are multiple locations. It makes management of employees a seamless process.

Using UltiPro

1500 - All of our employees use Ultipro. Employees use it to access their pay stubs, sign up for benefits and access their w-2's. Managers use it to make job changes, payroll changes and we are starting to add performance management to this as well.
6 - The Recruiters and Admin in HR and the payroll department all have access to support Ultipro (password resets, administrative changes, etc).
  • Employee Access to Pay information
  • Manager Access for any employee changes
  • Onboarding for new employees
  • Recruitment of new employees
  • While not unexpected or innovative, the biggest impact for our company was making everything available in one spot (manager self-serve). Before we made that change there were numerous sites a manager had to visit for different things.
  • Setting up training imports to add ALL training classes to employees records. The only downside to this is having to add new training class codes each month for any new classes.
  • Performance Management and Employee Counseling, Write Ups and Accomodations
  • Linking our main training sites with automated downloads to Ultipro
  • Adding some customized fields to termination process to cut down on company property not being turned in.

Evaluating UltiPro and Competitors

Yes - Back in 2002, Ultipro replaced ADP. Not sure of the reasons why.
In 2013, Ultipro replaced SilkRoad Onboarding. SilkRoad onboarding had become burdensome to use and it was easier on our managers to have everything in one place as opposed to going back and forth between two systems.
  • Price
  • Product Features
  • Product Usability
  • Third-party Reviews
Probably the product features. Ultipro is so easy to use, even our most technically challenged employees understand how to use it.
Definitely would contact other companies to see if they had any issues with the integration.

UltiPro Implementation

I think there were a lot of things that could have been set up differently to make system more efficient. as it is now, we have a crumbling foundation for a great system.
Not sure - Our implementation took place back in 2002. I think the lesson learned would be to have Ultipro more involved. We had a non-Ultimate approved outside contractor helping us with out implementation and he did not fully understand how Ultipro worked so there are a lot of things that were not set up for maximum efficiency.
  • Ultipro not set up to its best efficiency
  • Having an outside contractor that was not Ultimate approved assisting with implementation
  • Professional services company
It was an individual contractor who was not Ultimate approved.

UltiPro Training

  • Online training
  • In-person training
  • Self-taught
There are often technical issues in accessing the learning labs. I did experience the new training platform a few weeks ago and there was considerable improvement in ease of access. My score on this should increase when that platform is available for all classes.

Also- There are extremely long waiting lists for beginner Ultipro classes, especially onboarding and recruitment. It would be nice if the classes could be opened up to more attendees with the newer platform.
I was not with the company when the in-person training was received back in 2002

UltiPro Support

First level response is impressive, however, if your issue gets escalated to another team, it sometimes gets lost and their is considerable delay in getting your issue solved. I find more often than not that I have to escalate the issue manually to get someone to address.
ProsCons
Quick Resolution
Good followup
Knowledgeable team
Problems get solved
Kept well informed
Immediate help available
Support understands my problem
Support cares about my success
Quick Initial Response
None
Yes - We get a faster response time, especially on service requests for changes.
Whenever we have basic needs, the first level response team is extremely timely in their ability to resolve the issue in a timely manner. The issues we have is if the first level team cannot resolve and they have to escalate it to another team. This is where our service requests tend to end up in a black hole and the only way to get them resolved is to continually manually request escalations and sometimes even sending emails to service supervisors.

Using UltiPro

I find that even the most technically challenged of our employees are able to access the system.
ProsCons
Like to use
Relatively simple
Easy to use
Technical support not required
Well integrated
Consistent
Quick to learn
Convenient
Feel confident using
Familiar
None
  • Checking pay stubs
  • Changing personal or job information
  • Signing up for benefits
  • E-Recruitment (Older Version)
  • Performance Management (no training offered)
  • Setting up Open Enrollment
Yes - It works well but it is not offered in the E-Recruitment system which can sometimes lead to loss of qualified candidates.
