Well-suited for companies with 10 or more employees. The more employees the more efficient ADP is for all aspects. Less appropriate for small companies where payroll and reporting is very manageable.

The security guard services industry is very fluid and always changing. Our company is growing at rapid pace and it's comforting to know that I have a program in ClearCompany that allows me to customize my requisitions to fit our new accounts across the country. I'm able to target specific areas based on zip code that will post to sites such as Indeed, Glassdoor, LinkUp, ZipRecruiter, Monster, and our Facebook page. These mediums allow us to cast a wider net and attract qualified candidates in specific areas. It gives our company the edge over competitors who have historically failed at attracting top quality talent. I absolutely love using ClearCompany!

Pros

  • The interface is extremely straightforward, and our employees love the simplicity involved in requesting time off, changing direct deposit information, using various calculators, and viewing pay statements.
  • The support is excellent with knowledgeable representatives.
  • Payroll Processing is quick and accurate, easy to preview, with exception reporting capabilities that support our benefit transmittal, reconciliations, and G/L interfacing.

  • Scheduling Interviews. My favorite thing about ClearCompany is the ability to schedule interviews, and send candidates a list of times that I am available and have them select the most convenient option. It eliminates a lot of back and forth correspondence, and automatically puts appointments on my calendar.
  • We love the option to have candidates complete a video interview portion. You can customize the questions and it makes it a more personal experience.

Cons

  • Implementation - as an administrator, make sure that you know what's happening at every point of implementation! This process can be disjointed.
  • Training - the learning curve is steep when adapting to this system. Be prepared to spend hours formally training, staying on the phone with customer service, and surfing the "Bridge" (a peer support system). Every minute you invest will be worth your time!

  • One of our biggest struggles is managing duplicate applications within ClearCompany, which is very common.
  • We also have lots of applicants struggle with technical difficulties with completing the videos if they have multiple applications.

ADP has gone back to the designated "team support" module for clients on the newer versions of WFN, and the introduction of "The Bridge" has just added additional resources for problem resolution. It is a blog of current users who can share ideas/solutions in real time. And open case numbers are relatively east to track, and will allow the clients to view status of specific cases in the near future. We currently have no open items!

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Implementation

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

I've also used ADP Pay Expert, and I really see Workforce Now as the logical continuation of Pay Expert. Workforce Now has better integration capabilities, streamlined processes, and fewer technical glitches. That said, if your company has a relatively simple payroll setup, Workforce Now doesn't really offer anything that Pay Expert doesn't.

Return on Investment

  • ADP Workforce Now has really moved our organization into a self-service model. We utilize mobile access, iPay, employee engagement via the Portal, etc.
  • The complete separate between HR and Payroll is very challenging and, to be honest, unacceptable. We have learned to work with it but it is a very poor model for Corporate America. But, ADP knows this and will no longer sell this product. Anyone converting to ADP now will have the latest and greatest which hopefully will meet the reporting/functionality of their biggest competitors.
  • The most positive area of WFN is Benefit Administration. It does it all and is very easy to use.

  • My goodness, the ROI on the product is astronomical. We wouldn't be in business if it weren't for ClearCompany. Our old way of doing things, through Indeed ads and Craigslist Jobs was not attracting the volume and quality that we were looking for. Communication was a mess and HR generalists were stepping on each other's toes by offering the same position to multiple candidates. ClearCompany has streamlined the process and has helped our company grow by 34% in the last 18 months!
