Well-suited for companies with 10 or more employees. The more employees the more efficient ADP is for all aspects. Less appropriate for small companies where payroll and reporting is very manageable.

Great for managing medium sized teams of people spread over geographically dispersed offices. Not so good for small teams (less than 15). Requires a degree of time and effort to set up correctly to provide useful data for management and a good experience for staff members, but once that effort has been made the results are great.

Pros

  • Tax and governmental reporting. For a small business these reports are cumbersome, and time consuming
  • Direct deposit - no more printing out checks and distributing to all employees.

Cons

  • Some of the fields are not intuitive, meaning that when filling out things like phone #s and SSN's, the cursor does not automatically move to the next field once it is completed.
  • The performance management section doesn't fit our needs like we had hoped. We do not use a rating system for reviews and the ADP system is set up to be more advanced than what we are as a company. There's no way that we can change this so far and that's unfortunate.
  • Because ADP is such a huge program it runs a lot on cookies/cache. Because of that we have employees who really struggle with their passwords and the fact that we have them punch in and out on a public computer. Previous users and multiple tries with passwords seems to impact the next person who logs in.

  • Need to include a signature line or checkbox where the employee can acknowledge receipt and review of the final document as submitted by the manager (and the date of same). This would be very helpful so there is no viable argument about the content of the document especially if an employee dispute and/or lawsuit regarding performance issues arises in the future.
  • A feature enabling employees to print out the final document. Right now, only the manager has a print command button on the screen. The employee can attempt this by using the browser’s menu option (i.e. mouse right click > print command) but the resulting hard copy is incomplete and poorly formatted. The word processor within Piiq has somewhat limited features compared to what is available in MS Word or even the more basic Windows Wordpad. But the interface is improved from the earlier version.
  • The final print out doesn’t match the screen output. Ratings that are displayed graphically on the screen are Instead displayed as text. The end result is wordy and, at best, awkward to read.
  • A 360-degree review that can be sent to parties outside the company would be helpful, especially for rating senior managers and executives who have extensive vendor or third-party relationships contributing to the overall performance rating.

It's not that CSB isn't a decent performance management system, but we have decided to go with just one vendor (Workday) for an HRIS/performance management/payroll system so we can directly relate pay to performance. We are more interested in having just one system that "talks" to the other pieces instead of having to work with several vendors. It reduces the hassle of having to communicate with different support teams, having different contracts, and so on.

Usability

Because most of the payroll piece is self explanatory. Some training may be required to learn the lingo, but they also have "help" screens available on each section. I use this function if I don't understand what is going on. The time and attendance piece is fairly easy for the employee to learn with very little training.

The saving process slows it down. It doesn’t auto save. If you leave a page, it will sometimes warn you, but not always. When you hit the save button, a window pops up that says creating/saving packets. It feels very archaic.

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

I think we could have done a better job of rolling out the tool to our managers. We were under a tight timeline. In the training, we showed them everything and said go do it by this date. Looking back, I would have done it in pieces: for example, 2 weeks to write goals, 2 weeks to get sign-off from direct reports. I just let them go at it. Since then we’ve moved to agile development environment and are applying the technique to everything. In future would only do through change sprint. It is a big change I didn’t take it seriously enough.

I had a team of 3 project managing. You need a champion from every department to make sure you’re getting it right and to make sure what’s happening is communicated. It’s not something you can do without input from department heads

Alternatives Considered

The previous system I used was an old version of PeopleSoft that was so far past needing to be updated that we were not able to make the modifications that we needed. It's not really a fair comparisson because the systems are so dramatically different. ADP has an all in one opportuntiy where there was only the HR portion in PeopleSoft. We did not have any recruiting or payroll opportunties in the system. When it's available, I highly suggest you go after it and have it all in one

Success Factors: we thought they were good too, but were very expensive and overkill for what we wanted. It was not overly complicated but just too expensive.

Taleo - We were in the midst of being acquired when we selected this tool. Our acquirer was at the time was on Taleo. We looked at that tool but it had a lot more functionality and complexity than we were looking for.

Fairsail, British company. We looked at it as had integration with Salesforce. It seemed like a really good company, but did not have a lot of American companies as clients

Return on Investment

  • I handle all payroll aspects and the administration of our benefits, ESOP and 401k. Before ADP, I had an assistance who would key hours into our old system. Had so many key errors and we no longer have that since the employees clock in and out on their computer. Payroll is completed so quickly that I have more time to focus on other issues.

  • Overall PiiQ has had a positive impact on the company to provide the necessary training for the construction area and harassment risks.
  • A specific ROI is unknown; however, I have heard feedback that the employees feel the company values them and their career.
  • Employee engagement and satisfaction did not change on the annual company survey. However, on the 2017 survey, the employees specifically requested training as a company improvement and there no request for improvement in this area on the 2018 survey. Therefore, I believe this tool helped the company to provide the training gap necessary.
