Asana

Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

Smartsheet

Smartsheets is very well suited for building and managing project plans, no matter how simple or complex they are. Budgets are easily managed and maintained, as are scheduling dates and assigning users 'action items' and permissions, with cell-level security features available out of the box. Smartsheets is well suited for collaboration. Multiple users, if given admin or editor privileges have the ability to make changes at once, avoiding issues that often can materialize regarding versioning errors typical, as a result of multiple authors or editors. For project managers, smartsheets has multiple 'views' available, which can come in handy depending on your specific purpose. For those interested in seeing all of the details, the standard view is a table/spreadsheet type of view. For a more agile approach, or a simplified user view, their 'task-list' type view can help to easily view in a card-type of format and classify those tasks that have been 'completed' versus 'in-progress' , 'in qa' or other relevant category / classification. Other views include the Gannt chart view, which is helpful for seeing things in a calendar-like view, helpful in showcasing things like dependencies.

Pros

  • Cross-team communication is always a challenge, but Asana helps make information transparent and accessible to all members of the team.
  • It's easy to share with individuals outside of the organization and still control the flow of information.
  • Being able to link in other design resources like InVision prototypes is a huge time saver.
  • Integrating with Slack makes much of our necessary communication automatic.

Cons

  • I personally have not found anything that I would recommend at this time. However, I have noticed that the older generation of employees struggle with its style where the computer savvy and younger generation thrive. I have no idea how Asana could overcome that obstacle.

  • Better linking between Smartsheets
  • Integration with Google Forms where submissions can go straight to a Smartsheet.
  • Allow for card creation at all levels (when view is changed from grid mode that has nested rows)

Asana is adding more useful features and it makes the work of their entire team more organized and more efficient. It really helps us in achieving greater achievements as a team. It helps us to earn more revenue since we have more satisfied clients, simply because we are able to finish their project on time or even before the due date.

Smartsheet is very easy to learn. However, while I have been able to pick it easily, Microsoft Excel and Project super users that I have trained on Smartsheet get bogged down in the differences and can find it frustrating. Explaining the differences ahead of time and why Smartsheet is being chosen instead of a different software seems to counteract those reactions

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

I usually get a response within a few hours. I even followed up with a tech support specialist that I met while at the Smartsheet headquarters and he was able to help me out with another (very complex) formula.

It's absolutely paramount to take a few minutes to actually play with the software. It's nearly impossible to do anything wrong or make a mistake which cannot be fixed easily. Under the help menu is Live Training option. After you familiarize yourself with the commands, watch the live training for some in depth understanding of how to make the software fit your needs perfectly.

Alternatives Considered

Asana Board is really awesome and assigning tasks is ultra easy. I can manage multiple projects without headaches.

Not everyone has a Gmail account or Microsoft Access, with Smatsheet you do not have to worry about that! They are cloud based and all you need to do is share your spreadsheet with another user if you wish. We currently are testing Smartsheet because it has many elements we seek to utilize and the live collaboration is great! I may not have used many other tools thus far, but Smartsheet is definitely a top leader for project management tools.

  • There have not been ANY negative impacts to using Smartsheet - not one! It has completely changed the way we do business. we are able to offer high-tech, cloud-based solutions to our clients at a low cost that are user-friendly regardless of the user's comfort level with technology. It also improves employee efficiency as it relates to output as well as communication. I can't say enough about how much easier it has made everyone's jobs.
