Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

Zoho CRM is a great CRM for organizations of all sizes. It's best used as a tool to organize and communicate with clients and prospective clients. Our sales staff uses it on a daily basis to continuously keep notes on their communication with clients during the sales process.At times, it feels like Zoho CRM is trying to offer too much and it can be overwhelming if trying to use all features and capabilities. It's better to focus on a handful of features and get your organization using those features on a consistent basis than trying to incorporate everything that Zoho can do

  • Asana allows you to organize your task through a list or through boards.
  • Asana has a great user interface so it's easy for you to locate the projects and the pieces of tasks under each project.
  • Asana's "My Tasks" feature allows you to see all the tasks assigned to you and you can re-arrange them according to priority level.
  • Asana allows me to attach files to each task which allows us to see the progress of the project. It allows you to comment on the current files and the owner of the task can revise it then according to your instructions.

  • Links all companies to their Parent Companies, which for our industry, is a big deal.
  • We like how we can customize any report, field, smart rule, dashboard, etc.
  • It is extremely simple to export any information we need.

Cons

  • It's not that easy to change or update the name of the title. You need to click the arrow down button beside the title to edit. I believe it should be easier like just click on the current title and change it.
  • I would like Asana to put a feature like Facebook and LinkedIn where you know who's online and who's not online. Because if the person-in-charge is online you can communicate with him real time rather than waiting for him to respond later on.
  • I would be glad too if they add a voice call or video call feature so that if you have concerns and the person you would like to talk to is online you can speak with him right away. Some comments or revisions just needs to be explained through a call to eliminate misunderstandings.

  • I do wish it was a bit "smarter" that it could sense duplicate entries and simply update fields when it recognizes a dupe.
  • I wish it had an easier integration with our marketing platform, Hubspot.
  • I wish there was a way to mass update information, via spreadsheet upload, WITHOUT having the Zoho ID.

I just can't see us getting it off of Asana any time soon, despite the many headaches it has caused us. We have too much data in there, too much time & training invested into it, too much at stake to move. If we were just starting out today, fresh, I don't know for certain that I would absolutely go the same direction, but I *think* I still would. I just haven't seen anything better yet. Maybe if Podio's support staff hadn't treated me like a worthless nuisance to them, I might feel differently, but the fact is that their task management is simply inferior to Asana's. That can't be denied, and in fact Podio said it themselves: "Tasks are a simple function. They cannot be customized. Tasks in Podio can be used for quick to-do's for you and your team members." In our operation, however, prompt task completion is a big deal; one task can't be completed until another one is done first, and closing the gaps between those tasks is critical in meeting deadlines and servicing our customers. Asana gets us there, the others don't.

We went through an exhaustive process doing this evaluation and in the process took the time to really understand the objectives and requirements of all groups within the organization. Now that the system is in place it needs to be used and refined over a long period to time in order to get the full value. As a result you need to consider the long-term and renewal knowing that the system will get better the more you use it.

Zoho CRM is extremely intuitive and allows users complete visibility of sales data through reports/analytics. The platform has wide native integration with other cloud-based business solutions. But, it's fairly simple to write scripts with their publicly available API.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

Trello is a very simple board based project management tool. It lacks clear display and organization. On the other hand, Asana provides a much better layout on all devices including mobile phones. It is cross platform and has much more advanced features than Trello. Asana is also better because of the comments, likes and inter-communication options.

In all cases Zoho came out on top for it's ease of use and ability to be customized. The other solutions all required additional consulting to adapt them to the needs of our business. In addition Zoho was also the least expensive platform we evaluated

  • I think Zoho has helped keep our pipeline in check and let us more accurately forecast close dates and expected revenue. Because of this we can accurately allocate the proper resources for projects.
  • I think Zoho has made our sales reps own their accounts and potentials more as they are required to keep Zoho updated and are called for specific information. This ensures that all reps are operating in Zoho the same which means the reports we run have legitimate data we can analyze.
  • Zoho is a good repository to keep our deals organized and assign priority and complexity which, again, helps our organization allocate resources in advanced so we are prepared to begin development once the deal is "Closed Won".
