ContractZen is perfect for small and medium business where the use case is to manage contracts, get alerts, and track details about contract. ContractZen has other features such as meeting management, eSignatures etc. We focus primarily on contract management and are pleased with it. ContractZen has a lot of competition and many competitors have a full contract lifecycle, which is desirable in large companies. ContractZen does not have a full contract lifecycle process. Full contract lifecycle will have request for comments/proposals, NDA, quotes, implementation proposals etc. go through multiple people, multiple layers of approval etc. and different triggers in the contract would generate different tasks for staff to manage the contract till the contract expires. Large and complex companies have needs that ContractZen may not be suitable for
DocuSign is useful for collecting electronic signatures on isolated documents and packets that are administered separately or integrated into another system. DocuSign is integrated into our onboarding system, Paylocity, which is where the employee completes all onboarding tasks required for employment. Integrating DocuSign with Paylocity allows us to send documents that require more than one signature along with other onboarding tasks, which makes for a less confusing onboarding experience for the worker. DocuSign also allows us to automatically run E-Verify from the integrated Form I-9 Document, which saves us lots of time onboarding each employee.
If you have a highly bureaucratic organization that is heavily focused on procurement, Emptoris can provide some value. It seemed to be very good at linking the contract information to procurement for better spend control. If you are trying to implement a standalone contract management solution that allows you to easily create contracts and store them in a central location, this isn't the tool for you. There doesn't appear to be a simplified implementation. In general, when a SaaS solution has a complicated and expensive implementation, I am very skeptical. This does not show that the vendor is trying to move customers forward on a single code base. If that many things need to be done during implementation, you are starting to customize the solution for every customer. This hurts the vendor's ability to scale and make improvements in the future.
The easy storage of contracts is important. Easier than a shared hard drive folder or a jointly administered Excel sheet, both of which we tried to use in the past.
The alerts of key contract dates is crucial. Knowing what needs to be terminated or at least considered has saved us money.
Simple signing of contracts electronically has saved us money in getting from an agreed to contract to a signed one in minutes.
Document protection - the Check Out contract feature is a great way to allow external parties to make modifications to contract language without the ability to accept those changes. Those redlines can then be imported back into Emptoris and reviewed or further modified as needed.
Notifications & reminders - you can trigger an email manually from within the system, or you can configure automated notifications andreminders to alert users when a new task is received or has aged a given amount of days, etc.
Interview wizard - there is a lot of value in the interview wizard. Administrators can configure screens with selecting options via check boxes, radio buttons, or typed-in values. Variables and conditions can be used to selectively populate fields within the contract or apply other options, making for a quick and convenient method to generate contracts conforming to corporate standards.
Field customization - administrators can customize a list of options for various fields including contract substatus, address type, and user created business term variables.
Approvals - many different options are available to configure approvals to trigger automatically upon presenting and/or executing the contract including specific individuals, one or more approver groups, or based upon various criteria including terms within the contract, type of contract, or the contract's owning organization.
When correcting a document, no new email is sent for notification of an update. The clients have to go back to the old document, and it feels uncomfortable for them.
Reporting, Emptoris comes with standard reports which can not always can be fit into our business. This needs to be improved. I hope Emptoris is addressing this issue in their latest releases.
Though the feature of editing language in MS word is excellent, loading MS word takes time.
Before we started using DocuSign, getting contracts actually signed by new clients was one more barrier to new business and to begin work. Once we started using DocuSign, it eliminated that barrier and has become a much less cumbersome process for us and our clients
There are a lot of new, exciting products coming out in every field and I believe that there is always something better right over the horizon. If it was my choice, I would review my usage of Emptoris and other software periodically to make sure I'm using the most efficient software possible.
The best part about ContractZen is that I needed no support. I had a couple questions in the last 2 years which were answered accurately within hours. Everything has worked as expected.
The above rating for the overall support from Emptoris is for their product / product support, roll out training and refresher training / ongoing training, which is not only good but superior. There is no major or reconizable bad review that can be given to Emptoris at this point in time, from where is stands.
The capture of the new contracts is more important than the old contracts, somewhat counterintuitively. Once you start saving time using the electronic signing and retrieval, adding old material is easier. Old material additions fit our annual schedule as we've done them during periods of less administrative work.
DocuSign CLM has a much improved user experience compared to similar products we have used. The streamlining of templates and traceability through the signing process are huge benefits, and better than competitors. The ability to set up designated templates for different use-case scenarios, and roll out efficient documents for signing, is invaluable, as well as other functions like Bulk Send and PowerForms.
I am a fan of Ariba to be used for the entire lifecycle of Sourcing. From RFX's to cutting PO's. I feel Emptoris misses the boat on the idea of a "One Stop Shop" for all of your Sourcing/Purchasing needs
Positive - has helped us track renewals which allows us to get out of "bad" contracts or renew "good" ones.
Negative - we had hoped for it to help us determine which terms and conditions we have agreed to in other contracts. This has made contract review remain a lengthy process.
Positive - We are now able to find all of our contracts which has helped us get out of unnecessary contracts (which positively impacts finances).
