The Atlassian Jira Align (formerly AgileCraft) tools help keep our scrum teams moving in the right direction. It gives Sr. Executives visibility into the progress of our digital transformation efforts. It provides information to our program manager to create the necessary artifacts to justify continued funding of our initiatives. It also supports the SAFe framework, along with some others. And the Atlassian Jira Align (formerly AgileCraft) tools provide integration to other tools that we use in our portfolio.

I've been an AdaptiveWork (Clarizen) admin for the past 14 years, so I've seen much improvement since I started working with the product. I'm very happy we can utilize the hybrid mode by using the cards, I think this was long overdue but it works very well.

Projector PSA
We think Projector PSA is a great tool to track and manage people in a professional service environment like management consulting. This system is easy to set up, easy to understand and should easily suit the needs of smaller and medium sized firms. It may be less appropriate for firms that rely very heavily on project management through another system (like MS Project) or firms that rely very heavily on a sales pipeline tracking system. While still very much possible to use, you would (I believe) have to do some re-keying between systems

Pros
Atlassian
  • Effective Sprint planning : Sprint planning can be done using Planning Poker in AgileCraft by clicking Team > Manage > Other > Estimation Games very effectively for distributed teams.
  • Team Capacity Allocation Report: After tasks are created at team or program level, the report from AgileCraft cab be pulled and can be verified that no team member is under or over allocated. A report can be generated by navigating to Team > Manage > Assign Tasks.
  • Effective Requirement trace-ability: To maintain requirements trace-ability follow the steps below:
  • Upload test cases against the story/requirement. once uploaded test cases will be visible under that story
  • Execute Test cases in AgileCraft and mark them as Pass/Fail based on the actual outcome
  • Based on test results, The acceptance criterion's can be marked as “Pass” or “Fail” & if marked failed corresponding defect can be logged & can be attached with the story
  • So against each story we can easily see whether all test cases been executed or not & which acceptance criterion's are failed & how many defects are in open or close state.
  • Daily Scrum: In AgileCraft, the option to run a daily stand-up is available from Team > Manage > Daily Standups. Selecting the sprint number opens the daily stand-up meeting window in which each team member's tasks are visible and hours can be burned against them. Conduct Scrum meetings in AgileCraft, and burn each associate hour against the tasks created during the meeting. The burn-down chart can be generated & viewed during the stand-up to check whether the team is on track.

  • Many ways to acclimate to the system; documentation, videos, community, and contacts.

  • Offers flexibility to adapt to existing systems and align with organizational workflows and processes. There are multiple ways to customize each part of the system to meet our needs.

Projector PSA
  • Projector is a very well designed tool for project management. It has allowed us to eliminate a number of auxiliary tools for project timelines and WBS for the vast majority of our projects.
  • Time and expense entry is intuitive and quick for our staff.
  • Our forecasting and resource management capability has improved greatly with Projector and allows us to grow our team efficiently with minimal additional administrative burden.
  • Reporting is extremely robust. It does require some time to really get a handle on the full functionality of the reporting tool, but once you do, you can get almost any kind of report you want out of the system!

Cons
Atlassian
  • The initial ticket creation screen lacks some important features, such as assigning "point values" (a measure of effort needed for the ticket).
  • The browser needs to be manually refreshed to see new tickets, which can make things confusing when several people in a meeting are simultaneously creating tickets.
  • The interface on some smaller portions of the software are sometimes difficult to understand.

  • When it comes to reports, it would be great if there was an easy way to roll-up the results instead of having to create configurations to summarize data.
  • The consultant experience has not been great when it comes to more advanced needs for configurations. The consultants are in a different timezone which limits hours to work together and it seems hours are spent trying to determine what the requirement is and when the initial thought is that the configuration is possible, it may result in not being able to assist.
  • Charts in the reports section are not able to be exported
  • When pulling a report together, you need to make sure you pull from the right "item" or level. If you decide you need data that resides in another "item" or level, you need to re-do the report from the beginning.
  • Because the system is so configurable and I imagine different clients use the system differently, when you need something automated in your account, where you need to pull a consultant or SME in, the person doesn't necessarily understand your configurations and how things work so they are unable to give recommendations on how to solve problems that don't impact other configurations you already have set up in the system.
  • Templates cannot be updated unless they are pulled into a project and then re-saved. In the templates module, you are not able to open a template and edit to re-save. Therefore, making updates to a template can be very time consuming having to find a project to use to pull it in, make updates, re-save and then pull out. It would be great if the templates module allowed you to edit the templates and re-save.

  • Release management process needs to be improved. Currently no facility is provided to test the impact of new releases in a sand-box. This introduces business risk if there are interfaces into Projector PSA as part of it's use in the business.

I give my renewal of this product a 9. It's only because we never know what product may come out next and how other factors in our office political environment may cause impact upon this. If I always had my way, this is what we'd settle on as our de facto project management system.

We have been using this tool for a year now and find our use of it continually evolves and broadens. We are also very excited about the overhaul that's under way and feel many of the improvements being put in place will help make us that much more effective and efficient. The Projector team is also very responsive and collaborative in terms of user feedback and improvement suggestions, which helps us know they will work hard to help us get what we need out of the tool.

Usability
Atlassian
As I have mentioned, some older, less tech savvy, team members have not found it as intuitive. I found it the same when I started using it although it quickly made sense. I think this is because there are lots of features we do not use so this can get in the way of what we do use

It is easy to configure, intuitive. The customization process is in some ways better than Salesforce.com. It has a great UI. It does however depend on how it's implemented.

The design of it is generally fine, however the ability to data upload people from a spreadsheet is an obvious miss.

Overall support from Jira team is good. It comes at an additional price but it is very efficient. There are no long wait times, you get a dedicated team to look into your issues. The support is available throughout the year and they keep a record of your issues. Overall we are very satisfied with the support they have provided us over the years, it has been very effective for the price that we pay.

It's a good experience overall. Clarizen was useful when needed. It's mostly needed for advice on how to do more sophisticated actions or how to change something that was set up administratively. It's seldom used otherwise. The product consistently works, the documentation is acceptable, and the generally intuitive product is easy enough for most staff to pick up without much issue.

• We worked with a Project Manager on their side. He was very good about developing a project plan to hit our goal. I think we had weekly or twice weekly calls – very steady cadence over 3 month period.
• Their PM skills were great – kept us on task. For the last week, they sent 2 people on site and they did training for power users. After that a couple of them revisited here

Microsoft Azure Devops won't have the major functionality of software management like Jira. The customization provided by Jira is having a cutting edge over any project management tool. Adds-on and Plugins feature in the Jira Tool make it as perfect as desired task management tool for any company. One of the best Agile based Project Management Tools.

We did pursue Quick Arrow another tool that was similar. We found that be in inflexible in use. Projector allows a lot of flexibility in setup. Our organization has very specific business processes and we were able to set up Projector to work with those processes. Several other systems we tried were not as flexible in allowing set up to our needs.

  • It has positively impacted our tech teams, allowing them to better organize the tasks and items they are working on and has greatly improved their ability to communicate & review these tasks with other teams.
  • I believe it negatively impacted other departments as lengthy training was required by many associates to attempt using the tool, only to find out it didn't meet our needs, therefore much time was wasted.

  • By implementing Planview AdaptiveWork on a company-wide level, we have been able to remove the other project management tools we have been using and consolidate our costs for technology down to a single tool
  • The ability to incorporate cross-departmental work and communication has streamlined our project management processes to a point where we can work seamlessly together without interruption trying to consider the gaps between tools
  • Reporting capabilities from the unified tool has given our leadership insight and the ability to make strategic business decisions more effectively than ever

  • Even in the small time that I stayed to see Projector PSA reporting I saw ROI projections become more realistic. There was real data to analyze that proved we were spending way too much and charging way too less on some projects.
  • Although employees were not used at entering their hours, this single reporting improved operations management and validated employees concerns that more people were needed to manage workload
  • Project proposals were more realistic because they were driven by real data.
  • Decision making overall for the department became more efficient and effective
