Kantata (Kimble + Mavenlink)
It is appropriate and even exceeds expectations 90% of the time. It makes project tracking very easy and visually accessible for most cases. The only occasion where Mavenlink came slightly short was for a special project that required more interaction options among project members. I am certain there are ways to work around that issue, but we did not find them.

It is well suited for a quick prototype of product/development planning to show relationships amongst the APIs used. This helps developers understand the impact of the product changes and identifies the need to update integration components to avoid erroneous deployments. I have not personally experienced a less appropriate scenario at the moment.

PPMPro is well suited for tracking new product introduction projects, as well as process changes. It serves to reliably track ongoing action items, issues, resource allocations for projects. Areas where PPMPro is less appropriate for use: Project to project dependencies, automating action item notifications on multiple platforms, integrations of PPMPro into other platforms PMO typically uses (like MS Projects, Teams, ppt, etc)

Pros
Kantata (Kimble + Mavenlink)
  • With Mavenlink when starting to assign tasks to people, set deadlines and milestones, and add files to our projects we can look at it all from a variety of perspectives, including a task tracker view and a Gantt chart view
  • Through Mavenlink each project also includes an activity stream where we can view all project details as they come up, as well as an activity feed for all the projects it is linked to.

  • New request workflow/kanban board helps visualize where new requests are in the process of the quote to cash/request to completion
  • The time tracking tool is tied directly to project tasks for seamless integration of time tracking, estimates, and actuals
  • The reporting capabilities and ease of use has allowed us visibility to data that we never had before
  • The tool is easily configurable by Administrators. We can add fields, change reports, add new dashboards within hours vs. days of trying to track things manually

Cons
Kantata (Kimble + Mavenlink)
  • The Gantt chart does not allow for baselines to be stored
  • There is no means to upload an excel task tracker and build a plan using an upload
  • The schedule does not allow for planning of holidays
  • The status report functionality needs to be improved

  • There should be some more functionality in the Notes window, such as a "Paste Special " Icon in the notes area to maintain format control.
  • Although I create many of my own Web export templates, an add-on for web export design would be great, as I regularly create Interactive Electronic Technical Publications (IETP) in HTML export format.
  • The ability to sync Map shortcuts between devices would also be welcome. I use MM on three devices, and I have to add or amend the Map list individually. My maps are on OneDrive, so using them should not be that hard if they are cloud-based.

  • The base API is not a REST based interface and is difficult to use for integration with other systems in the enterprise.
  • The UI for the maintenance of the task schedule for projects can be a bit cumbersome , although the spreadsheet style editor helps somewhat. The Gantt view is not interactive.
  • The workflow engine is designed only for initial project intake, and does not allow for an integration of the work flow with the project from start to end, so it can't be used for routing artifacts like change requests, ancillary project approvals, etc.

Although the company I currently work for does not use the product I have recommended that we do switch to Mavenlink. We will be opening some new sites internationally this year and I can see that Mavenlink would be a great product for us to use

I feel the main issues of the old Mindjet seem to be gone with the
Corel purchase. With the huge advance of sharing via browser HTML even 1
user can affect many. And, actually, using MM kind of forced my rigid
brain to rethink how I categorize and classify information/projects.
The
idea of paying $69USD for an annual cost is more than fair and a great
model for Corel/Mindjet to keep rolling out improvements!

Because I never evaluated other tools, I would be open to considering others. Given our establishment with Innotas and the value it has provided us, separating from it would cause some organizational discomfort. However, if a tool existed with a more intuitive interface for manipulating the data and factors of projects and resources, I would be very interested.

Usability
Kantata (Kimble + Mavenlink)
I think Kantata is one of the most robust and best project management tools out there for an organization like ours. However, some of our staff feel like it isn't as user-friendly as it could be. From a Director point of view or a Project Manager point of view, Kantata is exceptional. From the point of view of a task-doer, it could be more visually appealing. Also, the mobile version isn't great.

MindManager is very intuitive. The user interface is not cluttered and the ribbon icons are easy to understand. Several excellent "how-to" videos are available on the MindManager site as well as on YouTube. MindManager starts quickly and the user interface is very responsive. Launching other programs from MindManager such as Excel is very fast and issue free. The browsing feature is lightning fast. The drag-and-drop capability is also very fast and reliable.

Very good integration with Google apps. Some complexity is called however in the synchronization between Google Tasks and Maven links tasks. This can sometimes lead to duplicate records in Google Tasks. It has been dissolvable that becomes cumbersome if not properly curated.

Support Rating
Kantata (Kimble + Mavenlink)
Kantata support is fantastic! Any issues that arise are always handled quickly and efficiently. Granted, we haven't had many issues to report. Typically, my team tends to only reach out to support if they need assistance remembering how to do something or asking about an improvement. We had Kantata build an integration when we first started using the software, and the support team worked hard to listen and improve the integration.

Their ability to assist and answer questions when needed is incredible. They create innovative ways to share information and help customers trouble shoot. I didn't give it a ten because I believe they could do a better job of personally reaching out to customers and providing improvement guidance based on where the customer is at and their needs at the time

Alternatives Considered
Kantata (Kimble + Mavenlink)
We have since switched over to JIRA and let me tell you, it was probably the best decision we have made as a company. We chose Mavenlink based on promises from the sales team about future roadmap work that really never happened. We thought Mavenlink would easily integrate with our billing software but we couldn't have been more wrong. We ended up never utilizing Mavenlink invoices as they don't even allow you to fully customize your invoices that go out to clients!

MindManager stands out for its wide range of export options, customization and how they have enriched the format over time. As a constantly evolving tool, and having tried others, I consider it superior for the abovementioned reasons. Its cross-platform nature has been decisive, and although there are many alternatives in the form of web applications or the like, MindManager presents itself as a more complete and robust option.

  • For a single person business presentation it is a plus.
  • Project difficulty is well assessed using the map.
  • Giving away a paper version of a map is a positive gesture. People like the map, the look, and what it says, and it may also be a way to promote MindManager to them.
  • Keep the PDF or JPEG saving capabilities for small customers like me. It's important.
