We use Mavenlink to manage all of our solutions delivery processes, project management and client communications. It helps us maintain transparent communication in real time in regards to project work, deliverables and timelines. It's accessible and provides visibility across the company and to client stakeholders. We are also able to create reporting and analysis for our project work and identify areas for improvement.
  • Client Communication
  • Project Plan and timeline setup/Deliverables tracking
  • Documentation repository
  • Reporting
  • Resource management
  • Project status and health visibility
Kantata PS Cloud is great for project management where clients can maintain communication in one centralized location. Project members receive all notifications and can communicate in chains, upload documentation without size limits, link deliverables to tasks in the task tracker, and view project plan updates in real time. I can't think of any scenarios where is wouldn't be appropriate because the tool is really versatile and can be helpful in a range of different scenarios.

we use it's Dashboard to review all submitted, resubmitted and pending timesheets which makes weekly timesheet review a simple task. It is much better than Tempo timesheets that I have used in past
  • Timesheet management
  • Resource planning
  • Dashboards
  • Reports
Since we are a growing agency with multiple project and hundreds of resources, it is easy to use Kantata for resource planning, allocation, and following that allocation during execution. We can aim for higher resource utilization with this.
I don't dislike anything in particular but more filter and sorting options on project page would have been more helpful as it takes a while to find what you are looking for in it's current view.

We use it as a way to track project progress, as well as tasks within the project. It also allows us to track to easily track the time spent on every specific task.
Another use for Mavenlink is the ability to communicate efficiently regarding individual project. This avoids a lot of wasted time and confusion.
  • User-friendly and intuitive interface
  • Clearly displays project status
  • Tracks time spent on individual tasks to better estimate total duration of a project
It is appropriate and even exceeds expectations 90% of the time. It makes project tracking very easy and visually accessible for most cases. The only occasion where Mavenlink came slightly short was for a special project that required more interaction options among project members. I am certain there are ways to work around that issue, but we did not find them.

My company offers our proprietary marketing SaaS solutions to other businesses and we use Mavenlink to manage implementation projects. We use it mostly in one department - professional / client services and it is deployed across the globe as we have 15 offices worldwide. Mavenlink is integrated with Salesforce and it allows us to instantly create projects from templates as soon as a new opportunity is closed. Since we started using Mavenlink, our projects are moving quicker and customers are happier. In addition to that, we are able to track resource utilization and make hiring decision better better. All our projects are very transparent and organized so no stakeholders have to question the status of their projects at any time. That builds trust and creates a better collaborative environment with our clients.
  • Friendly user interface - very modern and clean, easy to use even for a non-experienced project managers or clients. It also comes with a mobile app and even browser add-ons.
  • Robust feature set - variety of alert settings, project templates, permission system, detailed analytics and reporting, billing, estimates, and planning modules.
  • Integrations - Salesforce, JIRA, and many other which is possible thanks to Mavenlink API.
  • Customer service - very helpful and available 24/7. Easy to access from the user interface which is great.
Mavenlink is perfect for software integration and deployment projects. We have evaluated other tools like Celoxis, Sciforma, Workfront, Pro Workflow, Eclipse, and others against our criteria list and so far Mavenlink score the highest. I wouldn't recommend Mavenlink in case you are doing software development projects since it's not the best for issue tracking (maybe look at JIRA or Redmine).

Improves the operational and financial performance of the organization.

We used Mavenlink for a couple of things. For example, timesheets and expenses report. With the timesheets, it would let us create time entries for all projects and expense reports that would track expenses for projects. It also had the capability to filter by category and see project receipts. Very handy and easy to use. I had 2 ladies use this program and had no complaints.

Mavenlink has very well helped my affiliates to effectively manage and organize projects, resources, invoices, timesheets, and expenses. Its easy-to-use features and user interface is what we love. It helps in a critical part of the business cycle from project management through customer invoicing management. It automates a lot of manual tasks like scheduling and assigning the resources on the projects based on their availability.
  • Project Management
  • Resource Assignment and Scheduling
  • Integrations
Mavenlink can be actually used by any organization irrespective of its size. Someone might want to use it for automating project management and client invoicing. Or the larger organizations might take advantage of resource scheduling and assignments based on their availability. You can also consider it when you have got documentation to maintain.

It is being used as a project management tool to drive client implementations for professional services. It is being used to structure our project plans and governance, resource client implementations, and provide reporting to management. We have found Mavenlink provides a good means to collaborate across our professional services function. Its activity feed is useful to provide regular updates and keep everyone informed. The task tracker enables Project Managers to assign deliverables to the team and thus helps the team collaborate towards client deliverables. The Gantt helps communicate the delivery plan to the client and enables collaboration with client resources. Customized reports allow management to see the progress of projects and take strategic decisions. The resource planning module allows resourcing coordinators to plan resource assignment for client projects. Tracking of time through timesheets allows Project Managers to manage the project budget. Upstream and downstream integration with tools such as SalesForce and Netsuite enables the organization to coordinate amongst functions such as Sales and Finance. Overall the tool remains a one stop shop for our function and business to align on client implementations.
  • It's activity feed is useful to provide regular updates and keep everyone informed
  • The task tracker enables Project Managers to assign deliverables to the team and thus helps the team collaborate towards client deliverables.
It is a useful collaboration tool to work on projects together as a team. Functionality to plan projects at a detailed level and report on it could be improved. The Gantt chart does not allow for baselines to be stored. Schedule does not allow planning off holidays. Creating project plans using templates is easy however it would be nice to have the ability to upload an excel sheet to create a task tracker. The roll up of budgets is not available at a milestone level that inhibits ability to track budget at milestones. It would be good to have a status report generated for clients that could be either available as a standard report or as a custom report.

We also have integrations with our finance system so ACV is automated. For each project we track pace, margins, and workload balance.
  • Logging time
  • Outstanding/upcoming project tracking

We use Mavenlink across every department of our organization. We use it for scheduling, billing, time tracking, capacity management, client communications, among other things. It's a real beast of a tool that really does solve a lot of problems which we were previously solving using several different pieces of software, all of which were not terribly great at communicating together.
  • scheduling
  • time tracking
  • communications
I think that our company is using Mavenlink in the most perfect scenario. It's able to consolidate project management with finance, which is exactly what we need. We thought about using it for our QA purposes, as in logging and ticking off QA items, but it feels a bit cumbersome to try to use it for that. So instead we use a much more simple, lightweight software.

Mavenlink is used across our entire organization. We use it as a project management tool. We manage monthly, recurring marketing projects/services as well as one time, web development projects. Mavenlink helps us manage budgets and timelines in real-time. Mavenlink also provides insights into our bottom line and helps us project future needs to continue growing our business.
  • Real-time view of budgets/burn rate
  • Time entry is easy
  • Integrates well with Google Drive
  • Provides a central location for all project information
  • Helps us to accurately forecast how long it takes to do things
Before Mavenlink, our organization used several disconnected softwares to manage time, budgets, tasks, etc. We wasted so much time trying to find and connect time entries to project budgets and were constantly going over budgets but not knowing early enough to keep it from happening. Mavenlink has made our organization more efficient and has helped us deliver projects on time and within budget.

Mavenlink is our entire company's project management solution. As a music production company, we struggled to find different solutions that would work for our team. We needed a highly customizable tool that did not come off as too cumbersome or "corporate" looking for our creative departments to be able to utilize. Mavenlink provides a simple and clean user interface that is easy to navigate, has clear data visualization tools, and lets our project managers see the exact information they need.

We use it across all our departments. Our operations team sets up the backend information, from budgets to planned hours, and goes over it with our creative and account teams. The account team manages the project hours and milestones, where our creatives manage their own expenses. We've set it up in a way that allows for checks and balances for approving invoices, and have also customized several reports ourselves. Mavenlink even provided me with their training tools they give to report building employees so I can learn and create them on my own.
  • Graphical User Interface - it's extremely easy and intuitive to navigate
  • Customization
  • Rate Cards and Budgeting
  • Integrations
Mavenlink would be well suited for smaller companies I feel since it does seem to lag a bit when it's having to process a lot of information. With individuals who only have a smaller number of projects, this might work well. But Mavenlink seems to be constantly pulling from all the data from the company and not just what's relevant to that specific user.

  • Sorting of active projects using the project cards
  • Estimation and management of project resources using the profit margin modeler
  • Timesheets and expense reports to track time and expenses
Mavenlink helps any size of a business in managing projects, team activities and collaborating with clients globally especially in the services industry. Kimble has been brought into our organization in the past year to address a number of business problems. We decided that we needed an 'all in one' system for Operations, Project Management, Finance, and Reporting. Not only is it a platform that we use specific department issues but it is also a company single truth of data across the board.
  • Operations, timesheets
  • Reporting
  • Project management
I would score Kimble at an 8 for recommendation, but, truth be told, it would definitely vary depending on what department is using the system. Since we use Kimble throughout the entire organization, I can see the benefits it has in other departments. For example, our resourcing team has become more efficient in timesheet control and the delivery team more aware of their ongoing projects.

We are able to provide a breakdown of utilization hours for the client and also identify internally where the majority of hours are being spent (ie. troubleshooting, integrations, etc.).
  • Track hours granularly
  • Provide detailed project plans
  • Easy timesheet view for hours tracking

Mavenlink is being used to track time within a large portion of our sales and support organization to track time, both productive and nonproductive, for all projects, both internal and external. Management uses it to determine if a given team is being utilized well and/or needs additional head count.
  • Doesn't require page refresh.
  • Works in Safari.
  • Text input is flexible.
As far as time tracking software goes, this is on the better side. However, like most time tracking software, it's focused (in terms of UX) on the folks consuming the data, not the folks entering the data. It's still a royal pain to use. So it's above average for what it does, but there's an extremely low bar for this type of software

We use Mavenlink to manage our client services projects across the whole team. Mavenlink does several key things for us:
  • Systemises the customer experience, so that it's delivered consistently across the team.
  • Helps us manage due dates, deadlines, and dependencies.
  • Tracks job cost vs budget and reports on margin.
  • Schedules team and tracks utilization.
  • Manages team capacity so we know when and what to hire.
  • Client billing.
  • Project margin reporting. We really know the profitability of projects, clients and portfolios, and can track where things WENT wrong when we don't.
  • Team utilization. We can schedule and control when and what people are working on, so the team is highly profitable and efficient.
  • Automating and productizing the delivery of our services with templates gets us away from time billing into value-based, high margin services.
  • The best reporting stack of any project management platform I have ever seen.
  • Visual, drag and drop capacity planning makes life very easy.
Suited to any services-based business, particularly marketing, consulting, IT and engineering services.
Teams over 5 will start to take advantage of the resource planning, and teams over 30 will find it the most valuable tool in their toolkit.

We use it across our entire organization to track progress and work on projects, track time, and keep track of expenses. Mavenlink is absolutely vital to our daily functioning as an organization. In my role, I use it to track various tasks related to deals I'm working on, expenses in my department, and even for some prospecting of prior clients/deals. It is a really solid tool.
  • Project Management: dashboard to see all activity in your project and task
  • Expenses: easy to find categories and attach receipts
  • Resource Management: know who is on what task, and assign tasks only as needed
If your team works on a variety of projects and has to manage a budget, this product is great. It shows people where they should be spending their time, updates them on what others are doing, and provides a great shared work space. If you don't work in the services industry, I have a hard time seeing where this software makes sense, though.

Mavenlink is being used as our team collaboration, resource management, time tracking and reporting tool. It is used by everyone in our company from the creative team to business operations to finance. The business problem it addresses is not being able to make more informed scoping and hiring decisions. Now with looking at actuals through time tracking and making weekly resourcing adjustments, we're able to make better decisions for our business. We pull reports that allow us to analyze this data in different ways and pivot in real time; empowering us to have productive conversations with our internal team and clients.
  • Customized business insights reporting
  • Easy to use Master Planning view to see resources capacity in real time based on individual's work weeks
  • Easy to use time tracking tool
Mavenlink is well suited in areas like resource management, time tracking and reporting. If you want to understand how to scope a similar project, using the actuals from timesheets through reporting is a huge help. If you want to understand your company's forecast utilization to know where there is capacity and what types of work you should get, Mavenlink allows you to do that. In scenarios where Mavenlink is less appropriate is very complicated web build projects where predominately the work would be managed in JIRA and even a more robust gantt chart tool.

We adopted Mavenlink as our global project management system and our time tracking system for billing our services. Every project is broken down into its component parts. Mavenlink allows us to track hours spent on tasks AND projects by individuals and our entire agency. We require our entire agency to ONLY communicate through Mavenlink so we can see the entire process, every question, every answer, every iteration of deliverables, and more. Finally, we copy/paste links (from Dropbox) to all files related to each project so anyone who needs to find out about the project can do so from Mavenlink.
  • Allows quick tagging of other team members so you can bring them into the conversation.
  • Connects with automation software tools so that exports and imports from other programs run seamlessly.
  • Clone functionality throughout so creating similar tasks or projects is super easy and fast.
Mavenlink is best suited for a team tackling LARGE projects together. Large projects have sub-projects and tasks as part of the plan. Mavenlink keeps the team connected, communication flowing, time tracked and helps the team check off the completion boxes for a sense of collective satisfaction that the work is getting done.

For the last two years, our company has utilized Mavenlink as it's primary Project Management tool. Unfortunately, this tool fails in a poor user experience, bloated software, dated UI and very poor support from the professionals over at Mavenlink. We were met with promise after promise about exciting new features that are not detailed in any form of roadmap. We gave it two years and in the end, Mavenlink just couldn't keep up with modern day project management software.

It's incredibly slow and it's difficult to get the information that you need quickly and efficiently. As a person who has used it for 2 years, I can safely say that it lacks any real support. It hasn't received any kind of facelift since we adopted the program. Also, ITS INCREDIBLY EXPENSIVE! I'm talking tens of thousands of dollars a year to get your company utilizing this system. It's simply not competitive and does not justify the cost.
  • Offers visuals on project budget
  • Has a decent interface for managing your team
  • Email notifications, though difficult to filter can be good indicators of tasks starting and finishing
I honestly am not sure where Mavenlink would be suited. Perhaps in the manufacturing industry, but not a service based industry. It's just too convoluted when it comes to getting your settings, project bill rates and reports out. I consider it a glorified spreadsheet that hasn't been updated in some time.

All in all, we were ultimately really just frustrated with the slowness of the system. It just didn't make sense that page load was over 5 seconds for projects. Everything just felt bloated.

Mavenlink is used for tracking time and projections. It is used by the Customer Success department mostly, but Sales also uses it. Before Mavenlink, we would spend a variable amount of times on projects and so it was difficult for management to decipher why this was happening. We used to use Salesforce before in order to track updates for all the projects.
  • It allows a lot of customization in regards for projects if you want them to be extremely detailed on tasks
  • Master planning feature gives a great overall view for me planning my projects out
  • The design looks better than Salesforce, color coding certain projects indicating for their statuses
Probably well suited from an analytics perspective for a management team. Asking questions like how many hours have each team member in a project spent in total? Are the hours being spent on certain projects optimal?

From a worker's perspective, it's a nightmare. Every single day I have to go into the timesheet and mark my time. If the project's task is not on there, I have to click "Projects". I have to search for my project. I have to go to the tasks. I have to add the task. Then I have to go back into my timesheet. Then, sometimes I'm not even assigned a project, so I have to ask someone to assign it to me.

It's possible that my company hasn't fully optimized Mavenlink to the point where it's not annoying to workers anymore. But it should just be easier, I don't know how to help there.
