We have one individual manage all things Apricot - whether that's pulling reports or creating forms and tracking. She builds the systems we need for the organization to run smoothly and effectively. She also works with all employees to create forms and tracking that they need for their individual job descriptions.

The person administering the database should be detail-oriented and understand the needs of both the staff inputting data and staff running reports. The person should be able to see the big picture of how the data will be used.

To build out the system, the person needs to have a computer science background with database knowledge, ability to construct forms that will be both user friendly and obtain the correct data points needed. They also need to think outside the box and develop ways of obtaining data that has not been thought of before. They need to have excellent communication skills to help guide the end users.

The two of us do not have a IT background and have been able to make changes and build what we needed in the program. There are prebuilt templates that can be used or you can build your own. The forms use drag and drop to insert fields and is easy to use. Apricot also provides support through email and offers a chat feature. They are quick to respond and very helpful.

I am the primary administrator. We did have an intern at the beginning of the year that utilized the system as well. I supported her in training and problem shooting, and this will be my role with future users as well. I was the key player in the implementation process and I have been the one building out the database. So, I hold the most inside knowledge. My background in working with similar systems helps me navigate and troubleshoot.

I know it sounds odd, but I am the only 'support' person in house for Apricot. And, I spend no more than 1/10 of my time performing that function. The initial set up took time and thought, but the ongoing management and support of the system is not challenging. I'm not a database administrator by training or profession, but I'm able (with the support of Apricot Customer Service) to get the job done in an average over the year of 1-2 hours per week.
