My virtual business works smoothly because of Dropbox

Use Cases and Deployment Scope

When starting my virtual tax service this year, I needed document transfer and storage and electronic signing platforms, and decided to try Dropbox and Dropbox Sign for those purposes. I have been extremely pleased with the ease of use of the Dropbox products. With Dropbox I use File Request for my clients to send me documents, and when I have completed their tax returns, I use File Transfer to send PDF copies to my clients. On the main Dropbox platform I created separate files for each client to store their documents securely. I also use Dropbox Sign for all electronic signing of documents. Dropbox has proven to be easy to use and highly efficient. I would recommend Dropbox products at any time.

Pros

  • Dropbox has the ability to create files within files, which for my business is very useful.
  • Dropbox allows me to send File Requests to my clients to upload documents to me, which is necessary for my business.
  • Dropbox Sign has great ease of use, and allows you to add additional signers for multiple-signature documents.
  • My clients love how easy it is to use Dropbox and Dropbox Sign.

Cons

  • An improvement could be made in Dropbox Sign. When it first opens it shows the signature requests you have made, and whether they have been signed or are pending signatures, however, it does not show who the signature requests were sent to on that page, which is quite annoying because I send a lot of signature requests in my business and I have no idea who they belong to. So I literally have to type in the client's name alongside the title of the document every time, so that I can see whose they are. An improvement here would be to show the email address of the person you have sent the signature request to.
  • Another improvement for Dropbox Sign would be on the first page that opens. In order to create a signature request, it doesn't show you where to do that. I discovered through clicking on various tabs that it was located on the Home page, so that tab should be renamed Signature Request. Also I have to click on the Home tab twice before it actually takes me to the signature request page. The first time I click on it, it keeps me on the signed or pending signatures page, and then after another click it will take me to the signature request page, so definitely this needs improving.

Return on Investment

  • Dropbox has had an enormous positive effect with my virtual business, and I wouldn't be able to function without having the platforms that it provides.

In my organisation Dropbox is mainly used for large files transfer securely and can be accessed at the same time with multiple members which are granted access to the files. Also password vaults majorly used to keep the secret passwords safely on Dropbox and can be easy accessible from anywhere. External sharing is the best feature of Dropbox. Remote and cross device access feature makes Dropbox a most valuable product. Easy Backup and Data Security is the reason due to which my company is using Dropbox. Some Business problems addressed and scope of Dropbox are centralized file store and version control, provide backup, recovery and access control. Some Cases are used across multiple teams for document storage, project collaborations, and client deliverables.

  • Dropbox's positive impact is its seamless syncing and fast client delivering data feature, which makes it very impressive many times. Client can easily access my data without any hurdles.

I am a solo freelance composer for film and TV and also work as a studio manager at a local large scale recording studio. Dropbox is my cloud based solution for sending WIP and final files for review and download as well as a my portal for receiving files from clients and contractors. it also gives me some peace of mind for backing up important intermediate project files before I have a chance to do my cold backup process.

Pros

  • Modern and responsive UI
  • Integrated tools like review via Replay and Dropbox sign, so I don't need other services at the small scale I'm working at
  • The 'suggested for you' tab gets me quickly to my most recent projects and drop folders
  • Desktop sync

Cons

  • It would be nice to have an plan similar to Backblaze for disaster recovery backup or B2 for long term cold cloud storage
  • A way to easily and visually see how much data I am storing, similar to daisy disk
  • Logs or notifications when someone accesses my share links and files

Return on Investment

  • I haven't lost any files and been able to deliver on my contracts
  • Clients have all been able to access, not requiring alternate delivery methods that take more time
  • Saved on paying for a Google suite or other cloud review platform like Frame.io

I use Dropbox on a daily basis to transport files between myself and the contractors I work with. I can deliver content with a simple link, and Dropbox's document reader and video player functions make it so that, often, the files don't even need to be downloaded. This really speeds up the process, and the people I send files to can keep referring back to the link.

  • Sometimes I've found that uploads file to complete, although this has not been the case so much in recent years
