Overall Satisfaction with ClickUp
ClickUp helps us organize items from a content marketing standpoint; this is our primary usage case for the app. Artifacts like 'posts', individual pieces of media or lists of actionable items are then assigned to team members and organized by client.
Pros
- ClickUp's dependencies feature allow us to create a built-in hierarchy for related tasks so we don't have to micromanage.
- Time estimates for each tasks give us a way to communicate with team members how long we expect a task to take without having to have that conversation after the fact.
- Folders neatly organize client tasks in a way that is almost seamless, allowing us to compartmentalize our workflow at-a-glance.
Cons
- Adding data to fields such as links or related pieces of media for individual tasks is cumbersome in that it requires a multitude of clicks to get what you need.
- I find that the UX is generally crowded and not very visually diverse. I sometimes find it difficult re-orienting myself to find what I need (my own personal assigned tasks, for instance).
- I sometimes 'lose' tasks where another team member is working with a task that is assigned to me, but I can not find very easily. While the customizability of ClickUp is astounding, I think some small quality of life features such as notifications or more 'grouping' could seriously help this.
- ClickUp has removed the need for frivolous meetings; as our team is entirely digital we can seamlessly assign tasks with built-in dependencies that keep things 'on the rails' without input from the top. I know at-a-glance when things are done, and how.
- The option to include documentation built-in means we're not spending any time whatsoever messaging, "Where's this process/instructions/guide?" It's all there, and linked directly to the task at hand.
- Catching up with my team members takes seconds, as I can easily monitor their progress and determine the next steps in their workflow from a bird's eye view. Client work is assigned faster, and completed quicker than before.
We run a small company, but oftentimes the workflow between my team and the other is almost totally separate. (Such is in the client services sphere). That being said, I don't need to waste time with 'catch-up meetings' to get on the same page when I do need to get involved, I can simply view the progress and all related documentation including client and job details before I step into the fray.
Needless questions and chatter has been cut out so we can more closely and confidently focus on the day's tasks at hand. Team members can easily leave notes on a task at any level to communicate anything unexpected, or recommend areas of improvement. Although, we've found since using ClickUp those have become much less common of an occurrence.

We no longer need to worry about who does or doesn't have Drive access, which email to check or where certain tasks are assigned. From my team member's point-of-view, tasks aren't assigned seemingly at random form different channels. Instead, they're neatly organized in a way that gives them clear-cut expectations with time estimates, dependencies so they don't tackle the wrong thing at the wrong time, and optional data fields to clear up any misunderstanding. We don't spend entire parts of our day discussing the 'how' or 'when' anymore.
ClickUp excels because it is the jack-of-all-trades in terms of productivity functionality and task management. It does Trello's views and task assignment better and easier than they do, it combines collaboration functions and time estimates to give us a bird's-eye view of what's going on with our team in a more comprehensive way (and affordable) way than monday.com does, and it allows us to track tasks related to various stakeholders easily.
