Overall Satisfaction with Procore

Procore is the tool we use for the control of all our projects. We are a Construction Management/Consulting firm. Our role is always as either the project owner's representative or supervision.
In all the projects we are hired to manage, we bring Procore as a "must use" tool for all the contractors/subcontractors that are brought into the project.
It is used to keep all our documentation, as well as keeping track of the plans and financials of each project.
  • Keeping track of current drawings and changes. Particularly in large projects, this is extremely helpful as you can get lost between revisions.
  • Manage Punch Lists. Nobody can escape from pending items belonging to them. I've had contractors calling me asking to get rid of the reminder emails. I just tell them, "it's simple...complete the item and document it." Otherwise, it won't go away.
  • Manage RFI's and Submittals.
  • Keep your insurance and bonds updated. If you set your valid dates, the reminders will help you keep your policies updated.
  • Searching for related items across tools. A lot of times during a project, an RFI or a Drawing Revision will trigger a submittal, a change request, change order, etc. A tool or field selector that lets you tie items to others would be very useful in searching for the specific history or timeline of an even. Perhaps using keywords and then allowing for searches of items having that keyword.
  • An Observation or Inspection can become a Punch List item if not attended.
  • Managing the use of this software between colleagues could be improved if the system would allow searching for the logins of a particular user in spans of more than 7 days. In dispute resolution, to make a point of whether a user has been using the tool as requested, it becomes hard to gather the necessary information because you have to go on a week-by-week basis. On a typical construction project going on for 12, 18 or 24 months, this becomes a tedious task that can't be assigned to lower administrative levels, since it can only be performed by people having administrative rights, who are typically high-level managers, whose time is very expensive.
Oracle Primavera is superior in keeping items related. It is very good and helpful in retrieving the reason and history of any particular item or event in the project. Any item can be tied or linked to the others in a very simple way. Procore needs to improve on this.
Procore, on the other hand, has great advantages in both price and ease of use. With very little training, even the less computer savvy people on the job site can use their assigned tools efficiently.
Plus, since everything is web-based, you don't have to worry about maintaining servers and databases, which usually mean additional IT costs.
Having the capability of giving direct access to the owner of the project has been a great advantage since it keeps them informed of what is going on, and when their involvement is necessary. In our business, sometimes only the owner can put pressure on the design team. Procore has helped us in keeping the owner informed of when a reply from the design team is overdue or about to be, triggering immediate responses.
  • Printing costs on the project are reduced significantly: Most current drawings are available online, with markups included. No need for printing submittals with copies, etc.
  • Pending items are rarely "forgotten" since once they are entered in the system, unless issues are closed, reminders keep arriving.

The way Procore helps us the most is by keeping the project documentation simple. Setting the roles of each stakeholder since the beginning of the project makes it very easy to distribute key information to everyone that needs to informed. This is especially critical with the drawings, since it is crucial that everyone works with the right set of plans.
My opinion has to do with integration between the tools. This is an area where Procore needs improvement.
During a construction project, changes don't happen for no reason. Keeping proper integration between the different tools is crucial. To build up the history of a particular item right now, it is necessary to manually go tool by tool trying to identify which items are relevant to the history that is been sought. If the software is provided with a means of relating items between tools (for example, if I'm creating a change request, to be able to mark it as a consequence of the response to an RFI), this process would be a lot more efficient.
For large projects with huge sets of drawings, the software is awesome. It allows all parties involved to keep close contact with all necessary issues. For small projects like renovations, TI's, and projects where the contractor is on the move a lot, is not that versatile.
Of course, if the project is in a remote area with no internet access, Procore cannot be used.

  • We recently completed for one of our clients the construction of an aircraft hangar. The use of Procore was essential in keeping a very detailed record of the plans and specifications since the GC was also the designer. Procore helped us protect our client from changes that in some cases would have resulted in lower quality.
  • One of our clients is a developer that has its own construction design/construction department. They have their own Procore license and it is used in all their projects. In a warehouse construction project we managed for them, an early occupation by one of the tenants caused that the GC could not complete all the punch list items before the space was handed over to the end user. Keeping those items recorded in Procore meant for the client being able to follow up on the completion even months after us leaving the project.
  • At the end of each project, preparing Owner Manuals at closeout usually meant spending many hours printing and binding information. With Procore, preparing the manuals is now a very simple process as it only takes a couple of clicks to download the records of the project and saving them on a pen-drive. No more wasting paper.
  • The bidding tool has made it very easy to update information between the contractors participating in the bids we issue. It has also made it more attractive to contractors as they see a more transparent process.
  • In our country, Spanish is the legal language. In the future, we could use Procore's formats for progress payments, change orders and other documents that require signature as presented by the software, that right now are only in English.
Our organization sees Procore as a standard tool for project management.
