Overall Satisfaction with UltiPro
Over the course of the past six years we have implemented various components of the Ultipro system. We started with payroll processing and HR for overall employee tracking. We then systematically worked on implementing the UTM Time and Attendance system incorporating time clocks at various site locations, mobile technology for sites without networking and then finally developing electronic time sheets throughout the organization. The automated time and attendance system has allowed us to eliminate all paper forms for leave requests which are now fully automated. Other components that have been implemented include Open Enrollment and the new Recruiting Portal. We are now in the process of implementing workflow in order to further eliminate paper forms for employee changes, salary increases and terminations. We envision having the entire organization utilizing the Ultipro system for all payroll and HR processes by year end.
- Has allowed us to automate processes that previously required lengthy manual tasks that included a multitude of forms.
- The system maintains historical data in an easy and efficient means to gather information needed for reporting purposes.
- We require a lot of cost allocations and the Ultipro system does an exceptionally good job along with providing an easy means to make adjustments as needed.
- The system has an exceptionally powerful ad hoc reporting system using IBM Cognos which has allowed us to build customized and detailed reports as needed.
- The system is still not fully migrated to the web and there are aspects and tasks which can easily be done in the backoffice which cannot be done as easily or at all on the web. This is frustrating and you would hope that when components transition to the web the same or increased functionality would be available.
- System upgrades and enhanced features do not always roll out and become accessible to all end users as timely as we would like. This is especially true towards year end when updates are needed for open enrollment or year end processes and we always seem to be in the one of the last groups to get the needed upgrades.
- Adding components can be a costly investment. Better pricing options would be beneficial especially for non profit organizations such as ours.
Using UltiPro
750 - The total usage encompasses all employees and functions within the organization. All employees utilize the system for pay data, managers utilize for day to day functions for managing their teams and HR and Payroll utilize for payroll processing, recruiting, onboarding, time and attendance and benefit administration.
3 - There are three primary administrators for the Ultipro system, the VP of HR, HR Manager and Payroll manager. We monitor systems being utilized and roll out new components to end users.

- We are able to utilize the mobile app technology for our work sites that do not have network infrastructure so those employees can punch in and out from the mobile app

Cost savings is always an ongoing analysis as to whether adding new features is going to be cost effective for us as a not for profit organization. Definitely have achieved time savings and streamlined HR administration and payroll processing. Security systems are very good and we are comfortable with the processes in place
We moved to Ultipro eight years ago after being an ADP client for over 20 years. The Ultipro system has delivered on the processes and innovations we were seeking in an HRIS system and payroll provider along with strong customer service and response to our needs that we felt had been lost over time with our prior vendor

One of the most critical components for us at the time we made the decision to change vendors was the ability to accurately process cost allocations. The system delivered this process with 100% accuracy from the start which we had always struggled with our prior vendor

Yes - We implemented the core system component first and then implemented the time and attendance system and recruiting portals
Change management was a minor issue with the implementation - When implementing it is key to anticipate who will be impacted as an end user and ensure that you plan for proper training and advance notification of changes
- In retrospect we set a too aggressive implementation schedule and should have taken a bit more time
- Although we hit our implementation date it was quite stressful getting everything in place and ensuring accuracy

There is a lot of guidance and training modules built in to the core system which provides the ability to research aspects of the system easily. The system is fairly easy to use and get an understanding of.

Yes - Yes, whenever we have system issues the support team works with us to resolve issues
Just the other day we had issues with the set up in our time and attendance system and the customer support team member worked with us to research the issue and help get the matter quickly resolved. It was not immediately evident why the process wasn't working and they took the steps to expedite finding the solution so we could get the processes back up and running for end users.
