At their core, Microsoft Teams and Workplace by Facebook are collaboration tools designed to improve group or workplace communications.

Microsoft Teams is a popular choice for businesses that use Office 365 products. It is packaged in with the Office 365 suite and syncs up well with other Microsoft technologies. Workplace will feel familiar to Facebook users and it allows businesses to use news feeds and live videos to keep their users informed. 

Both Microsoft Teams and Workplace are excellent choices for businesses of all sizes because they both offer free versions for small teams and can scale to meet the needs of enterprise clients as well. 

Features

Microsoft Teams and Workplace both provide collaborative abilities, but each also has unique features that set them apart.

Microsoft Teams includes a robust chat service that allows users to communicate quickly without setting up a conference. Syncing with Office 365 also makes collaboration easy by allowing file sharing and calendar support as well as integrations with other Microsoft applications. Teams works on all iOS and Windows platforms and Users also enjoy how easy it is to share files and messages in the application. 

Workplace offers many of Facebook’s core features like groups but takes it a step beyond and allows for multi-company groups so businesses can collaborate with external partners or customers. Workplace users also get their own personalized news feed to help keep them aware of what is going on in their company and to have a shared space for encouraging coworkers’ achievements. Workplace also offers integrations for Office 365 and GSuite. Another main benefit of Workplace is that it offers live video broadcasting on-the-fly so users can record themselves and share updates and milestones with their coworkers. 

Limitations

Microsoft Teams loses some of its utility if a business is not using the Microsoft suite of office software. Users mention a lack of customization for notifications as a drawback. Some users have also had issues with statuses (offline, away, busy, etc.) from Outlook syncing correctly.

Workplace is based on social interactions and this may be somewhat of a drawback because some users report it being somewhat distracting while at work. Some users also report difficulty in understanding all of the functions available because there are so many available. Some also lack trust in the platform and have privacy concerns because it is owned by Facebook.  

Pricing

Microsoft Teams is included in Office 365, which has a free version for non-business use and three paid pricing tiers. The cheapest option is $5 per user per month and includes a small number of Office services including Teams and SharePoint. The Office 365 Business Premium plan costs $12.50 per user per month and includes the Microsoft Office Suite (Word, Excel, etc.). Lastly, the Microsoft 365 Business Plan costs $20 per user per month and includes advanced security protection. All Microsoft Team’s plans require an annual commitment.

Workplace by Facebook also offers a free version for small teams. Businesses can then move up to the Advanced tier for $4 per month per user which offers unlimited groups, 1TB of storage per person, and 24/7 support. The highest tier is the Enterprise plan for $8 per user per month and includes unlimited storage, multiple single-sign-on, early access to new features, and priority customer support.

Well suited: - leadership communication. When our CEO posts a video to all company - it always gets the highest engagement - recognition/achievements posts - live streams for education, knowledge sharing - we are a company of 12000 associates and there is no other corporate channel for us to gather more than 500 people in one place. Less appropriate: - sharing some very targetted messages - it's impossible to do at Workplace without creating a group. So we use email channel for such targetted communications - instant communication like in a chat (probably it's less appropriate in our specific case because we use MS Teams for such quick communication instead of WP chats)

  • Workplace Live is a good large-group meeting broadcast platform.
  • It's pretty intuitive to use for anyone who's used Facebook.
  • It provides different levels of "security" for groups, allowing you to have open, closed, and "secret" groups.
  • It's easy to paste images into your posts and comments, without having to necessarily go through the process of saving an image as a file, etc.
  • It has search capabilities for finding old information.
  • It's available for both desktop/laptop and mobile devices.
  • It's secured to allow only those within the company to see company-related info (but it also has a few inter-company groups, which can be useful, too).
  • Workplace Chat has the ability to set it to Do Not Disturb.
  • You can set notifications, including email notifications, if you want to be alerted to new activity in your groups, etc.
  • You can use Markdown to format your text

  • It would be helpful if a review confirmation checkbox was able to be placed by files that needed to be read or reviewed. Along the same line, approve, review again, etc. would be helpful checkboxes to add by files, proposals.
  • The layout is clean but suffers a bit from the center column width with two sidebars and a lot of empty space. It almost looks like a going out of business sale retail store where you notice the empty shelves. Workplace feels a bit bare at times. I think some good design modifications can help. Now on mobile, it is a great layout. I am addressing specifically the desktop browser login.
  • An admin control dashboard would be really effective and even more so with more users on the platform.

Since Microsoft Teams is included for free with our Office 365 subscription, and since we enjoy all the features, benefits, and functionality, there is no question that our team will continue to use the product

If you have the full Microsoft Office suite, it works really well because it's integrated well within its ecosystem, but if not, it can be annoying because it tries to open a shared file in the web versions of the file equivalents. The web version is also a bit slow, and the login is very difficult to handle if you have multiple Microsoft or Outlook accounts.

The overall support provided by Microsoft for Microsoft Teams has been quite good but there is still some room for improvements. Microsoft needs to proactively work on fixing the open bugs in order to provide a seamless experience to the users. But over the service and experience provided by the Microsoft team have been quite satisfactory.

Microsoft Teams offers a much more integrated experience between their chat and video call function compared to Google Chat and Slack. Both other tools are much better for internal communications are they have simpler UI without other features. Whereas Microsoft Teams can be used for more critical conversations, particularly between external companies, and has been very useful in sales conversations which is what we chose it for when speaking to companies that work exclusively through Microsoft.

Workplace by Facebook is so much more than just a project management tool like Basecamp or Slack. The ability to disseminate information to employees is easier and better with Workplace by Facebook. It can also be used for informal messaging and sharing of information. It combines the best features of both with the same look and feel as Facebook.

Honestly, this tool is worth every penny. Yes, it's not free and you pay for the quality of services and the license. But the ROI and the benefits are all there. Also, the renewal, negotiation, and contract terms are all very well explained by our Microsoft account manager, and she's a charm.

  • Because our unit decided to go all in with Microsoft Products, the integration and flow of our communication and files are seamless.
  • Microsoft Teams is very secure. Only those who are logged in with their university credentials can access the files we share and the events we host. Therefore, we don't have to worry about privacy and security for the virtual events we host.
  • If our virtual events are open to the public, joiners outside the organization often struggle to join because Microsoft Teams is not the most familiar tool amongst the public.
