Considered Both Products
Wrike
Chose Wrike
Asana provides user friendly interface and suitable platform for software engineering teams. But Wrike stood out because it provides good balance of project planning, workflow automation and dashboard functionalities in a single place.
Chose Wrike
Wrike was better in terms of task layout and project setup/organization.
Chose Wrike
Wrike is much simpler to use and customize.
Chose Wrike
Wrike has a broader application than task management apps like Toggl or Todoist. I do use Toggl as a basic time tracking software, however Wrike covers more ground. It is robust and user-friendly, and much less expensive than MS Project.
Chose Wrike
We used RoboHead prior to Wrike for document control and project management. Wrike is by far more advanced and interactive. It gives us so many more opportunities for communication.
Chose Wrike
Wrike's UI, combined with its low-cost solutions, has been the standout factor compared to the other options sought. They have multiple license types suited to different usage, a standout compared to others that don't leave you stuck paying high license fees for licenses you …
Chose Wrike
I utilized basecamp at my last position and I just remember it was extremely limited in what you could do. If I remember correctly there was no workflow integration of the platform, it was essentially just an app that you could create folders in that housed all of the files. No …
Chose Wrike
Cost and functionality. We were able to gain consensus on Wrike across numerous stakeholders. It may not be the best at everything but it's capable at a wide range of things.
Chose Wrike
Wrike was more capable that ProWorkflow (at least when we compared them several years ago) and more team/smaller workflow real time oriented than MS Project - where Project is better for detailed PM work. ClickUp is far more flexible and better value for a similar price at the …
Chose Wrike
our past products have been so hard to customize, streamline, and make work for all types of roles in the company. i feel like wrike is a great fit for everyone to work together well.
Chose Wrike
I don't have experience looking into other similar products.
Chose Wrike
Honestly for me, it depends what you’re utilizing these tools for. In my experience, some of the other project management tools I’ve used the past such as Jira are way too complex for the use case we run into with our business. I feel like the overall goal of Wrike is to …
Chose Wrike
I think Wrike is very similar to other project management platforms such as Monday, Asana and Teamwork that I have used before. As they all provide strong tools for task and project organization, one feature particularly liked by me in TW was its time-tracking functionality, …
Chose Wrike
I've used Airtable for my other marketing job and for other organizational work, but I like how much you can get out of Wrike.
Chose Wrike
I only used Asana pretty briefly, but my recollection is that it was a lot more rigid compared to Wrike.
Chose Wrike
Monday wasn't as customizable as Wrike. Basecamp is great for tracking simple tasks and communicating with outside agencies, but isn't complex enough to track projects. Smartsheet is basically a fancy spreadsheet.
Chose Wrike
We have been using Wrike for over seven years, so I don't recall the specific reason why we chose it over Asana. I recall that the functions were similar, but I think we found that Wrike offered flexibility and structure that we felt would function the best for our department.
Chose Wrike
It wasn't my choice but I do feel like there are more options within Wrike
Chose Wrike
Todoist is great for a personal task manager. However, it can not track time like you can in Wrike. Todoist also continues to rise in cost.
Chose Wrike
Wrike is more robust and suited for enterprise teams. Learning curve is more difficult and involved. Other platforms you can learn in a day or two. Wrike takes a month or two to get the hang of
Chose Wrike
Monday is a easier for project management and task tracking. Where Wrike excels is with the ticketing system for our IT, legal, or other specific teams.
Chose Wrike
Slack has more options for project management than slack. Airtable is more of a events overall CRM than project managements
Ziflow
Chose Ziflow
None - first time using a review software. I have done manual editing/reviews in the past (paper printouts) so this is better for record keeping.
Chose Ziflow
Just as good if not better and so much better value
Chose Ziflow
Ziflow is much faster. The Progress Updates on the dashboard actually work, and automatic status updates without refreshing the browser are a bonus. Ziflow operates more smoothly.
Chose Ziflow
I found Ziflow to be easier to use than the rest. When we were doing research, it was the one that I found had the best features and pricing.
Chose Ziflow
Ziflow had the better user interface and looked more modern. The integration with Adobe products helped our design team as well and setting deadlines and no limits on file uploads where advantages from Ziflow versus GoProof. we had several demos and the ease of use of Ziflow …
Chose Ziflow
Ziflow is way cheaper and my clients and internal team are already familiar with Proof HQ so the transition was seamless.
Chose Ziflow
It's similar, but this other platform allows file storage and sharing with other external teams.
Chose Ziflow
We chose Ziflow because it felt like the perfect fit. Its user-friendly design and powerful features stood out from the rest. It just clicked with our team, making collaboration a breeze and streamlining our content review process like never before. I will mention that Trello …
Chose Ziflow
I only used Workfront for a short time before we switched to Ziflow. I know that pricing was a big thing and there were features that Ziflow had to offer that Workfront did not. One of those being the automated workflow process and being able to set templated workflows. I have …
Chose Ziflow
In my experience, previous programs offered a very bare bones proofing process. Ziflow introduced new features that make things so much easier and faster. Some features I didn't even know I wanted. No contest!
Chose Ziflow
Better value and the right solution for a start-up
Chose Ziflow
Ziflow is similar to Proof HQ, which I have used but never had to implement. I prefer the Ziflow user interface
Chose Ziflow
While Monday.com and Notion are robust project management platforms, they may not offer the same level of optimization and efficiency specifically required for creative reviews. Ziflow's specialization in creative reviews, its simplicity and ease of use, and its targeted …
Chose Ziflow
I found Ziflow to be much better than PageProof in several ways. The tools available for making comments and edits are more intuitive and there is a greater variety of tools and the version control features worked much better as well. Also their customer service was far …
Chose Ziflow
We still use Adobe Acrobat, but only to view pdfs and to create editable forms. Anything proofing-related, we use Ziflow now, and I don't ever see us going back.
Chose Ziflow
Ziflow has a better approval process but we use MarkUp Hero for making changes to CAD drawings as this is a similar but also different system so we use both and keep them for their own unique usefulness. When needing to get approval on a drawing, we use Markup Hero first then …
Chose Ziflow
They are close to the sand functionality but Ziflow is more user friendly and offers more additional options for growth
Chose Ziflow
Before Ziflow, the company had an in house developed version for approval process, which was never fully implemented as Ziflow was available.

I believe it's well suited if you have multiple jobs/projects that you need to keep organized. We work with multiple job types from print/creative to web, copy and digital ads so it helps us stay organized. I don't think it would be suitable for a company that doesn't have a lot of jobs to manage. We average over 1,200 requests a year.

Ziflow is a great program for all our proofing needs. Creating a proof is as easy as dragging it over. To add someone, you can just start typing an email and it'll pick up from an address book and you can click the name. You can also add multiple people to one tag and have them all added at once to a proof. You can also create templates with people already added to various stages to really speed up the process of adding people to proofs. The stage function itself is also great for having multiple approvals from multiple stages instead of creating new proofs after each person approves.

Pros
  • Keeps projects on track
  • Provides tools that make editing and reviewing tasks much easier
  • Helps our team work effectively and efficiently despite many of us being remote workers
  • Visually accessible on multiple platforms which makes it easy to do work from anywhere

  • Simple and user friendly interface with little if no learning curve.
  • Accurate and specific change requests are especially enhanced when using the markup tools.
  • Nice to be able to assign who the decision maker is and also be able to change project participants easily, like when someone goes on holiday or sick leave.
  • SOCD (sent, opened, comment, decision) progress indicators provide an awesome 'at a glance' view of project participants activity.
  • Email notifications and integration with ASANA is brilliant.

Cons
  • Email alerts sometimes send too slowly.
  • If you put a project on hold, it can be hard to find it once you are ready to return to it.
  • Sometimes there are too many steps/tasks and the main page can get cluttered.
  • Software bug when updating one of many document status. Sometimes, Ziflow displays a document as "pending" even after being approved unless you manually refresh the page.
  • When a comment is too long, the email notifications are displayed incomplete.
  • When using "compare mode" with comments, Ziflow leaves little space to look at the actual document. Thecomment section of both proofs combined can easily take up to 50% of your screen.

I wish that Wrike had more drag and drop functionality that would be connected to assignee and also I wish that the finish date of a task would update to the date where you checked completed. It does not do that. Also finishing a task doesn't move the start date of the next task it "protects your time in that way", but our management team wants us to quickly see what we have down the pipeline rather than having to scroll down the list of upcoming tasks.

Ziflow is easy to use, efficient and now is also part of our daily lives. Hence, the teams are already adapted to the tool and willing to work with it. The features are according to all what was expected and we had a great experience until the moment with the tool

Usability
It does take some time and work to really understand and use it properly, but I think the accessibility to help and documentation make that completely feasible. Once you know how to use it, I find it to be very user-friendly, and have very few complaints.

The tool is easy to use for digital oriented people. For the ones not used to this kind of environment, it could look a bit complicated at the beginning, but following the instructions and tutorials and performing it once makes you get a grip of it in just one use.

Reliability and Availability
Over two years of (almost) daily usage without outages. Don't remember any errors. I give it 9 only because some Wrike plugins (for online document edit) are based on NPAPI architecture. These types of plugins are being phased out in new browsers, and NPAPI plugins are disabled by default in recent versions of Chrome so you have to do some browser adjustments when you switch browsers or move to another computer.

Performance
Wrike tasks loads fine, but I hate clicking files and wait for a bit of time since it is powerpoint or word, Wrike assumes I want to open those on Wrike. My suggestion is to link it to office 365 so we do not need Wrike based decoder for PPTX and DOCX

Time and time again, Wrike has proved that they listen to their customers and put us first. From sales to support - they are quick to respond, encourcage community engagement and I never feel like i am callling a help center

The ZIflow support team has always been very responsive to my questions, issues and other problems. The good thing is I have never had to use their support team all that much because Ziflow has been for the most part trouble free. If it had been error prone, we would have dropped it long ago.

Online Training
I love the Wrike training options. Wrike Discover has tons of courses, learning plans, certifications, etc. This is an area where Wrike definitely shines! I wish these resources were more in your face for new people, because it seems like a lot of coworkers didn't know all of this training was available to them.

Implementation Rating
There are a lot of bells and whistles in Wrike, and not all of it is easy or intuitive to understand once it's plopped in your lap. It's easier when there are a few choice people who understand Wrike as a platform and articulate it in such a way where it makes it easy to pass it along to others in the group

Scalability
I’d go with a 9/10. It scales really well across teams and use cases, especially once you set things up properly. The only reason it’s not a full 10 is that it can take some effort to structure everything cleanly at the start.

  • We used to do all reviews by email, but it was hard to consolidate, and sometimes the wrong version was referred back to. This has saved countless manual hours of management and tracking.
  • Now we can see the status of each proof at a glance, no need to read email chains!
  • Version comparison is a LIFESAVER.
