Overall Satisfaction with Procore

The integration process can be a bit time consuming in the beginning, in getting everything set up, but it pays off in the end in the time it saves everyday going forward. It is critical for the company / team members to fully embrace change at the outset. However, as was our case, people can still gradually get on board. Procore is user friendly in that way. No matter what stage someone jumps into the process they can quickly get up to speed on the operation of the system. It definitely helps if upper management embraces the integration. If upper management is resistant it's much more difficult to get the rest of the team on board.
We use the Procore Sage 300 integration on a daily basis, and it works well for the most part. There are some occasional issues with information transfer and connection, however I believe that is because of our unique situation of having one account, with three separate companies and separate servers for each.
The one draw back is the limited integration with Sage. I think we could appreciate the integration so much more if the Prime Contract information had the ability to transfer back and forth also.
Procore is being used by the project management team, as well as two of our sister companies, and various subcontractors on our projects.

It meets a multitude of needs including replacement of several different programs that were used previously for project management, document storage and distribution, contract administration, bidding, and subcontractor database management.
  • Contract Administration - Procore is excellent at keeping subcontracts organized, as well as change management. At a glance you can see a snapshot of where your project stands financially. You instantly see what subcontracts are issued, subcontract values, change orders issued etc.
  • Submittal Management - Procore allows you to keep track of your submittals, i.e. items submitted, ball-in-court, review status, etc. Resubmittals are easy and producing submittal logs and reports are a snap. If your submittals are tied to your Prime Contract billing, you can easily track percentages submitted.
  • Drawing Management - This is Procore's strongest tool yet. Procore allows you to easily keep track of all drawings and subsequent versions issued over the course of the project. Like all of Procore's tools, drawings are accessible from multiple devices, so you are not tied down to the office. You can make mark-ups on drawings and distribute them instantly. You can take measurements on the drawings within Procore and you can attach drawings to RFIs, Daily Logs, Change Orders or any other item that is impacted by the drawings.
  • Security - You are in control of any features you allow anyone to see or have access to. You can also track any actions taken by anyone using your Procore system.
  • Insurance Management - Since beginning use of Procore, I've always felt that they could do a better job in tracking insurance documents. It's great that they do have a method to track them at all (since many PM software programs don't), however there is room for improvement. Emails for expired insurance documents should be distributed to those who submitted the insurance docs. Currently, a mass email of expiring insurance documents is distributed only to whomever is assigned as Insurance Manager. I understand they are working on some improvements to be released in the near future.
  • Better tracking of automated emails - Currently there is not a method to track some of the automated email features.
We have used Procore for collaboration between the Owners, Construction Managers, other Prime Contractors and Subcontractors on several projects. The process works very well in allowing the team to access drawings, specifications, RFIs, submittals, documents, etc. You don't have to worry about distribution to bunches of individuals via emails, with the potential of missing someone.

Once you establish what you want each team member to have access to via the "Permissions Table", collaboration is seamless. Each team member can log in and find any documents they are looking for. This is particularly helpful for large project teams. There are no worries that you missed someone.

There are also features in place to automatically notify team members when new information is uploaded. They've pretty muchthought of everything.
  • Procore has saved time on most if not all administrative functions. Creation of subcontracts, RFIs and submittals takes much less time than it used to and the ability to access anything from the Cloud is priceless.
  • Procore has allowed document control to be more organized and easier to actually "control" with much less reliance on outdated information on paper documents. Provides instant access to the latest and greatest documents thus saving time and money.
  • Procore has allowed the field to be able to stay on top of items that effect the building of the projects. Easy access to updated drawings, RFI responses, submittals, and issue tracking through inspections. This has decreased mistakes made in the building process, thus saving time and money, as well.
Procore wins hands down!

The fact that Procore is cloud based makes it so much easier to disseminate information. The different components (Budget, Commitments, Change Events, RFIs, Drawings and Specifications, Submittals, Documents, etc.) just make Procore a joy to use.
  • The ease of collaboration has made every aspect of Project Management easier.
  • The mobile app allows access from virtually any device with an internet connection.
  • The storage capabilities and ability to distribute larger files without limitation are immeasurable assets.
  • The ability to mark-up drawings and to connect RFIs, Change Events Submittals , etc. to the drawings save so much time at closeout of a project.
  • The daily reports, photos, observations, and punchlist features make field management run like clockwork and holds all parties accountable.
Procore is constantly updating the program based on user feedback, as well as expanding the program's capabilities, unlike some of the other programs that I have used in the past. In the almost 5 years that I have used Procore, I have witnessed great improvements, some of which I have had input in helping to implement, by participating in webinars, providing user feedback and product beta testing.



Procore is a very well rounded program suited for general contractors, construction managers and subcontractors. I believe some architectural and engineering firms would find great value in using Procore also. They are constantly upgrading and expanding their features. I can't think of any construction related companies that would not benefit from some, if not all, tools that Procore has to offer.

Using Procore

1 - The skills needed to support Procore are mostly basic computer skills and data entry. Most areas just require entry of information.
The only time more skill is required is when someone encounters a problem, which isn't very often.
I find most issues are related to user error, due to not reviewing the instructions or videos.
  • Time management - Using Procore frees up time previously dedicated to producing hard copies and distributing documentation / information.
  • Record keeping - Since 85% of the project information is stored in Procore, it's much easier to keep track of documents.
  • Collaboration - Since Procore is cloud based, everyone has real-time access to documents and information.
  • We were able to convince the teams on a few projects to abandon use of their preferred programs, in favor of using Procore. Now they are excited about procore and are investigating using Procore for other projects in the future.
  • We don't use the scheduling functions yet. There's a possibility for future usage there.
The entire team is pretty much hooked on Procore. I can't see any possibility of switching to another program. There's nothing else out there that has all that Procore has to offer.

Evaluating Procore and Competitors

Yes - Prior to Procore we were using a combination of Word, Adobe, Quantum and Timberline (Sage) to create subcontracts. And using Timberline for submittals, MS word for and excel for basic project management logs and reports. All of those functions and so much more are now integrated in Procore, and they are managed much more concisely and efficiently.

Product Features and Product Usability were two of the biggest factors in the decision making process. We wanted to streamline many of the wasteful processes we were encountering in the office and field, as well as have greater accountability for the entire team.
Procore has been instrumental in helping to achieve those goals.
I wouldn't change a thing.

Procore Implementation

Change management was a minor issue with the implementation - I learned that many people have an "if it isn't broken, don't fix it mentality", particularly when they are not the ones performing the required functions.
I also learned that many people are adverse to change, even when the changes will benefit them in the long run. It is critical that upper management is 100% behind the change, as it makes the rest of the team accept and implement the changes much quicker.
  • The most significant issue encountered was realizing that we had not been managing information properly for quite some time. There were outdated databases and improper cost coding information that had to be cleaned up before they could be integrated into Procore.
  • The second item was convincing so many people to make themselves available for the training sessions and to take the training seriously.

Procore Support

Procore has instant customer support via chat. If you particular issue cannot be resolved via the chat feature, they automatically notify customer support and you are notified through out the process that they are working on your issue. If your issue is very involved they will reach out to you via email and /or by telephone to walk through the issue and what is being done to resolve it. I've never had an issue just go to a black hole with no follow up.

Our system is integrated with Sage 300, and every so often there are hiccups with the integration, since it's done through a third party. Procore has always responde quickly and usually has the problems resolved within a few hours.

  • Uploading and distributing Drawings are done with only a few clicks.
  • Submitting RFIs - This is the easiest program for RFI submission and response.
  • Daily Logs - It takes minimal effort to produce quality RFIs because layout and most of the information is already at your fingertips.
  • While the change events process is necessary and convenient, it can be a bit cumbersome.
  • Initially, some people find the submittal process a little difficult to navigate. But once you do a few of them it becomes second nature.
Yes - The mobile interface works very well. You can perform many of the same functions that you would perform on your desktop computer, on a phone or tablet.
