What is FileHold Document Management software?

FileHold is a document management software. It is feature rich, enterprise-grade and affordable. The standard offering includes versioning, file search, tagging, and tracking. A fully documented web services API is included at no charge. With the API, users can search the FileHold repository from any application and add documents to FileHold repository from any application (out of the box). In the enterprise offering, registered users have an individual login and role and concurrent sessions are monitored.

FileHold aims to bring structure, security, and order to the information chaos found in most offices. The vendor says FileHold customers make the decision to implement a structured document management system because in-house systems (Islands of Information) of shared network drives, filing cabinets, document tracking spreadsheets, email messages with attachments, or outdated groupware tools were no longer effective and needed to be replaced.

According to the vendor FileHold can reduce the amount of time spent searching for information and training new hires on procedures for updating documents by simplifying document and record archiving processes.

Manage my documents to have them be accessible to other employees in the group. Sometimes I need to share important information through documents, videos, pictures, powerpoints and this software fit that need perfectly. It also allow users with grant access to edit the documents which is a plus to have.

Scenarios that FileHold Document Management documents are well suited are to store documents, manage them and share them with other employees through the cloud. FileHold Document Management does a good job at all of these in addition to the fast loading time and ample storage space. However, other software such as good drive still remain better due to its ease of use and accessibility.

I selected file storage document because it has better security feature and some employees are used to the software already. Also, I wanted to try out new software to see if there are better software out there than what I'm currently using. Google Drive doesn't offer too much security in term of their file storage feature.

FileHold is used selectively across our organization. It is primarily used by our Human Resources department to document workflow as well as the approval process. It is currently being tested for integration into our software lifecycle. It addresses business problems such as secure transmission (which it solves by using methods such as two-factor authentication and secure URLs) and form consistency and ease of maintenance via electronic forms and integration with Microsoft Office.
  • FileHold scales well and can serve small companies up to enterprises with thousands of users.
  • Powerful workflow and approval processes.
  • MS Office Integration, version control, a powerful search engine, and cloud availability.
  • We could not find a graphical representation of the Workflow designer with drag-and-drop fields.
  • We also could not find any easy, efficient way to import or convert from other storage platforms.
  • The only other comment that my team had was that the color scheme could be tweaked to be more pleasing.
FileHold is great for any size department or organization that is looking to "go paperless." It is a great tool for groups that need to have workflow management and tracking, especially with forms. It is well-suited for groups that are already familiar with Microsoft Office, and not so much for users of other Office Suites.
  • The ability to use the mobile-ready features of FileHold was a big selling point for my team.
  • Optical Character Recognition, Version Control, and Electronic Signatures allowed us to streamline and improve several key processes.
  • It has had a positive impact in that you do not need to be a computer scientist in order to use this system.
We used to use SharePoint but made the move to FileHold because of the additional functionality that it provided, unique to our line of business. We evaluated Laserfiche at the same time and ended up going with FileHold because it seemed to be a more stable platform that offered a more robust selection of tools.
FileHold was easy to implement as well as to configure to meet our organization's business requirements. We all found the search capabilities to be wonderful, reducing the time it takes to find a particular document. FileHold is easy even for the most novice of users to become productive in a very short amount of time.
FileHold is the ideal solution if you are looking for an electronic library with workflow functionality. The ease of use and integration with other tools we already use was also a huge incentive. It also allows us to import and export data. The search features and the ability to accept electronic signatures further made our lives easier.
FileHold was very easy to install and integrate into our current system with a minimal amount of expertise required. It could use some more complete documentation, however. FileHold gave us significant improvements in business processes, workflow, and records management. We also appreciated the vendor being available and supporting us during the initial installation and setup phase.

FileHold was being used in my organization in order to electronically store all of our documents. FileHold also allowed me to submit sourcing documents for approval to my managers and keep track of the approval process. It was only the purchasing department that used FileHold, and I believe it would have been a lot more useful if other departments implemented the use of FileHold. However, some departments that tried using it, did not necessarily like it, but that might be because of lack of training, or them failing to see the big picture of the use in the organization as a whole.

  • Whenever there was an update done to the program, we would run into multiple issues.
FileHold is well suited because it reduces the paper use for approvals. It also allows the managers to track the time employees spend sending files for approval and how many times it takes them to get the approval. FileHold is less appropriate when the approvers of a document are out of office and they did not set up a backup approver.

I find FileHold more useful than SAP at times. It is easier to use, you do not need transaction codes. Both programs allow you to run reports. I am not sure if SAP could be compared with FileHold due to the fact that I use SAP to get approval and funding on tooling contracts. However, in FileHold, all you get is an approval from your supervisors. If all the departments would use FileHold, it would be more efficient and effective.
