Overall Satisfaction with UltiPro

UltiPro is our core HRS and payroll system which all staff members access to view their biweekly pay stubs and update their personal information themselves. After they make changes the workflow for approvals kicks in and requires HR approval before being committed to their record. We moved to the web interface and SaaS configuration about 3 years ago to reduce down time and increase productivity because the quarterly and tax updates are done after hours eliminating downtime during business hours when I would have to do them my self.

UltiPro has been extremely reliable with a total of no more than 30 minutes unplanned down time in the last 3 years which is extremely reliable. UltiPro continues to listen to customers and they work to implement our suggestions and are continually increasing functionality which makes our jobs more efficient and productive.

  • Payroll - online access from anywhere easy to use
  • Recruiting and onboarding - increased use of job boards and more applications
  • Executive Relation Manager - extremely supportive as our advocate along with the rest of UltiPro support
  • Leadership actions to help train staff they move up from a Direct support role
  • More configurable webpages - some now but need more
They have help reduce cost by allowing us to grow as a company from 450 employees to over 800 employees all with the same amount of HR staff and we have been able to reduce payroll to only 1 staff versus 2 staff previously. The predictive analytics help us identify high preformers at high risk for leaving so we can engage with them sooner which has help improve our retention rates.

We first tried to upgrade our regular ADP to Etime and they failed miserably.
I think they are the best HRS company out there they really care and are always striving to do more and be better at it.

Upgrading UltiPro

Yes - In the early days it could get very time consuming and complex but support was good about finding resolutions to issues. Now we are SaaS we have had no problems at all.

UltiPro Training

Yes using the built in online training in the Ulti user portal. In addition to the build in video that all staff have access to for quick how too's Ulti offers comprehensive in person and instructor led web training. All these training are completely FREE and extremely comprehensive. Multiple locations available Weston Fl, Atlanta Ga, Boston Ma and many others.

The training options are well thought out and easy to participate very comprehensive and many options to choose from for training. Onsite at one of their locations, On line live instructor let or recorded webinars. There are also built in videos for our end user to access and learn on their own. This has allowed for quick adoption of many new features in Ulti so our ROI was realized much faster
Great training department funny and knowledgeable made learning fun. The facilities I have attended in both Atalanta Georgia and Weston Florida are very nice and comfortable which made the learning experience very enjoyable. The classes were well thought out and training materials provided were excellent. They also provide many breaks which allowed for better retention of the material.

UltiPro Implementation

Craig our onsite implementation specialist was outstanding
Yes - UltiPro consultants came and worked with us to implement the payroll system and we continue to work with them as we have continually added more productivity modules which have been previously mentioned.
Change management was minimal
  • Importing the data from the previous vendor because they had previously deleted all our data and it was incomplete when they rebuilt it
  • Maintaining 5 servers onsite it was a blessing when we went to SaaS
  • Converting some of the paper manual process to electronic systems had to be well thought out and we learned to think differently

Configuring UltiPro

Some pages have recently become configurable I would like to see this continue to improve.
Measure twice cut once, in other words take screen shots before and after changes to make sure you can role back if you need to.
Yes - we have customized the interface extensively - Changed colors added logs and buttons and UDF
No - we have not done any custom code
Configuring to auto export to our ETS so it updates demographics in Relias so we don't have to manually maintain them separately.

UltiPro Support

There have been occasions where I have had to contact our ERM in order to escalate a matter to get assistance with urgent support matters and he has always responded very quickly and resolved all matters.

My ERM consistently and proactively works with me to make sure our level of support is exceeding our expectations and on the few times it has not he has stepped in and escalated in a very timely fashion to get the matter addressed.

UltiPro Reliability

Grown from 500 staff to 800 users with out having to increase support staff
There has been less than 30 minutes down time in 3 years.
At first speed was a slight issue but it consistently works at acceptable speeds now.

Integrating UltiPro

We tried to do this ourselves initially but found we didn't have access to certain backend functions that would allow for us to easily do this.

We are actively working on it now so far [it's been] fairly painless. I recommend that when you do the integration you make sure the manner in which you do it does not require additional programing down the road because there will be fees. We added a user defined field and added a mapping code to ensure no additional programing would be needed for example.

Relationship with Ultimate Software

Continually striving to be the best and they are proactive they worked hard to understand our business and opur pain points they were not a hard sale and gave us timely answers to our questions and help to show us the value in their products. The fact that it is maduler design allowed us to start with core components and add on as we were ready.
It continues to get better and better. Just pin down implementation dates - we thought once we signed contracts we would start the implementation process and in fact had to get on a list several months out before the implementation started. My ERN is constantly in contact with our team to help us get ever more out of the software.
They are by far our best vendor when it come to helping us get more value out of their software. They have on going training and they also work with us on specific components to help us help our staff be better leader with the leadership actions and they have help to reduce turn over saving us over 2 million dollars annually using the predictive analytics tools.
The training use to cost but that cost has been now eliminated and [we get] consultant hourly rates because we are not for profit. We also work on beta projects to help test the new functionality which in turn allows Ulti to reduce our rates we help them they help us it is a great partnership.
