Considered Multiple Products
Asana
Chose Asana
We selected ASANA based on the feature set, and ease of rollout. monday.com had very good workflow automation but we found that ASANA was quicker and easier for staff to build a task eco-system that worked for them.
Zoho Projects was a very strong contender but was much more …
Chose Asana
In comparison to other Project Management software tools that I have used, Asana is the most user friendly platform without compromising any advanced capabilities.
TOPdesk
Chose TOPdesk
We have selected TOPdesk as the best all-round option. On other parts there are better / more extensive applications but TOPdeks combines it in 1 package. In addition, more than 600 practitioners from participating municipalities were already used to working with TOPdesk, so we …
Chose TOPdesk
Our TopDesk users like it better than the Cerebrus ticketing system that we were previously. It has more options for routing tickets and is easier to organize.
Zoho Projects
Chose Zoho Projects
We were testing out Asana at the time we moved on to Zoho. Zoho seemed to have more features that met our needs. Asana was not quite developed to the point of our liking. Zoho has an awesome calendar function that I loved, which Asana did not.
Chose Zoho Projects
MSP - Windows based. Not collaborative. Complex UI. Cannot be shared with people outside the organization easily. Cannot set security levels for users to access projects based on the rights granted to them.
Trello and Asana - Expensive subscription plan. Limited …
Chose Zoho Projects
Zoho has attractive pricing. Additionally, it really gives a 10,000 foot view of long term projects and that was something we needed.
Chose Zoho Projects
I used Zoho projects initially because it was easy to setup and gets going for FREE. The best thing you can get out of Zoho projects is that it needs zero setup time. It is also a great tool for manage projects, however not that suitable for product management, I believe. JIRA

Asana
The usability of Asana is broad since it's available in a variety of platforms that are widely used nowadays. I think that it would be great for people who are constantly on the move and switching devices, since it has allowed me to work from my phone, too. I also think that Asana has proven itself to handle a large quantity of work

TOPdesk
We had a smaller team of 6-7 people and for us it was perfect. It was very easy for us to book time per ticket and keep track of what we were spending the most of our time on. Escalating tickets was easy because of the prebuilt emails and message saving features. The typical features are all there of course such as incident, project management, etc. TOPdesk is highly customizable and we felt like we always had a good oversight of the KPI's, time management and customer satisfaction ratings. Our management liked the reporting features, the customizable dashboard and the data visualization. In my personal experience, TOPdesk also had the best search feature, and with the tags we were also very easily able to find the tickets we needed.

My work involves projects of 5-15 people with numerous projects running simultaneously. Prior to Zoho, I did not have a central location from which to view all project statuses at once. Zoho looks to provide this and also looks like it will deliver. I am anxious to see how our organization's use of it develops. At this time, I feel I am likely to recommend Zoho Projects because my organization has made great software decisions in the past so I have a level of trust already that the research has been done that Zoho is the best solution for our line of work.

Pros
Asana
  • Through it, we were able to communicate and cooperate with the rest of the team to complete the work in the required manner and at the appropriate time.
  • Available for free on Android and iPhone.
  • Asana has a simple and easy user interface

TOPdesk
  • TOPdesk's UI is pretty intuitive. Its often not needed to explain colleagues new functionalities as they are self-explaining.
  • TOPdesk is visually cleaner compared to interfaces of other ITSM tools
  • TOPdesk offers a lot of UI's that are easy to customize, like the home dashboard
  • TOPdesk support is really good. Once we notice we do not get an answer that works for us, the issue is escalated directly to a specialist on demand.

  • We use it to manage our sales orders as there are lots of moving parts which are necessary to get client orders done properly.
  • I use it anytime I have a new idea I want to put into motion. As I can create a list for brainstorming, feedback, specific actions necessary in order to test and or implement the idea.
  • Unrelated to business, it's a great way to plan travel in order to make sure you don't forget those important things like passport, flight arrangement, client meeting confirmation, and meeting prep as far as what specific documents or things do you need to bring with you.
  • And since everyone is on the go and expected to keep up with work, the mobile/tablet app makes it a breeze to keep up, work on, and create new projects.

Cons
Asana
  • Asana is not really a project management tool, it is good for simple projects only
  • UI has some glitches (doesn't save preferences, etc.)
  • Integration with other tools (Office 365, MS Project)
  • No reminders if the working period you entered is on holidays

TOPdesk
  • assigning rights is too extensive, making it very complex to manage this up to date.
  • Topdesk has gained so many features that it is difficult for a new user to become familiar with it.
  • action sequences remain tricky and certainly not for everyone to understand.

  • There is no ability to add custom fields in the "Bugs" module - for example, if we want to add fields such as Version Number.
  • Reporting is not integrated - its a fairly expensive add-on.
  • There is no easy way to track actual and completed dates for tasks - so historical variance analysis is not easy.

  • Mobile + Desktop capabilities - Able to use it anywhere, anytime.
  • Task management - Easy to view projects and their progress.
  • Time management - Easy to see what elements require time / how they interrelate and manage the project on an overall basis.
  • Company management - Be able to see from a master dashboard perspective where each project is in its stages of completion.
  • Clear communication - It's visually documented who is doing what at what time so that the whole project gets done.

It just works, has some continuous development and an easy-to-use interface, which is important especially because not all our colleagues are technical experts (or in other words, "capable of more than switching on and off the computer"). We use a large range of functions and therefore it would be really hard to replace TOPdesk in our company.

I've reviewed about 8 other project management solutions and Zoho Projects is the best I've seen without being overly complicated. Zoho Projects keeps getting better! Recent new enhancements makes it even easier to navigate. There are new keyboard shortcuts that cut my time way down. The tools are very easy to use.

Usability
Asana
It is very user-friendly. Takes a new employee an hour to start figuring out how the system works. That's an important factor. You don't want to encounter the issue where employees need a week to understand how the system works. For example, JIRA, I tried using it for a week and I still don't understand the complicated layout. Asana has a simple interface. Once you see it, you get it type of program.

In short, we've been able to remove many pain points, automate multiple things, and empowered the end-user by being able to manage more items via the Self Service Portal. We've been able to do more than we were able to do with our previous ITSM platform. The TOPdesk development team added some things recently that will allow us to make some other things more efficient.

Although being a SAAS solution, TOPdesk performs pretty fast. One can imagine that any SAAS solution is slow or has hiccups, but we have not experienced such with TOPdesk. Pages load quickly, logging in goes smoothly. We have made reports on premise in the past - that always took some time, as you might expect with such complex tasks. It seems that in the SAAS solution TOPdesk somehow has managed to make it even faster!

Support Rating
Asana
I haven't had to use their support so I can't rate it. The fact that I haven't needed them reflects the ease of use of the product. I would recommend that any new users schedule a complete demo of the product to ensure that they are using it to it's fullest (there's a lot of useful features).

Most if not nearly all questions are answered within the same or a few days. The helpdesk is very knowledgable about their product and are always willing to help. The only downside is that for more difficult questions it can take a while due to the experts being further removed from the helpdesk. But they are always willing to answer questions, even if they are not directly related to a problem with the service.

We had Topdesk in-house here training staff for almost a month (2-3 hour meetings 3x a week.) It was invaluable and we were able to take that training and share with the rest of our IT staff. Asana is a top-tier project management software that helps us organize and track projects from start to finish. It allows us to apply tasks/to-dos to multiple projects without duplication, divide complex projects into smaller tasks, and track project progress. It also helps us organize work on Kanban boards or linear lists. It stands out from the crowd in a big way compared to the competition.

  • It has kept our team accountable for what needs to get completed and when projects are not in motion or completed timely. It's helpful to know in order to get billing out faster.
