QuickBooks Online - a force with which to be reckoned

Overall Satisfaction with QuickBooks Online

As a firm that exclusively uses QuickBooks Online across a diverse client base—including nonprofits and service businesses—we’ve historically found the platform reliable and efficient. However, recent updates have significantly disrupted that experience.
The latest user interface overhaul is a major step backward. What was once intuitive and streamlined is now clunky, visually overwhelming, and far less navigable. Tasks that used to take minutes now require double the time due to poor layout decisions and unnecessary complexity.
Intuit’s integration of AI has only added to the frustration. The automated suggestions are frequently inaccurate, forcing bookkeepers to spend more time correcting errors than completing actual work. Instead of enhancing productivity, these changes have introduced inefficiencies and confusion.
A specific recurring issue: when transactions are matched, the original entries remain visible until the page is manually refreshed. It’s a minor bug, but one that reflects a broader pattern—features that previously worked well are now unstable or unreliable.
Overall, QuickBooks Online is no longer the user-friendly solution it once was. Intuit’s tendency to release sweeping changes without adequate testing or user input has made the platform cumbersome and counterproductive for professionals who rely on it daily.

Pros

  • Classes
  • Budgeting
  • Reconciliations
  • Rules

Cons

  • New "Improvements"
  • Matching (lately)
  • QuickBooks Online deciding what transactions are
  • Rules not matching (order is not an issue)
  • New AI is horrible!
  • New User Interface is absolutely terrible!
  • Lately, it takes 2x as long to get things done on QuickBooks Only - the New AI User interface is Horrible!
  • All clients are in QuickBooks Online in some level of subscription
QuickBooks Online was very user friendly before the updates. Intuit also offers "Test Drive" so that a user can test how something will work within the software and see the outcomes prior to actually doing it in their own subscription and it not working. I have found that support for issues is also outstanding on the rare occasion I have to contact them for assistance. Lately from technical issues (screens strobing); issues with interface not working, etc. have been more frustrating.
I used to like the reconciliations, flow and visual appearance of QuickBooks Online much better than all others. The only issue with Intuit products was pricing. Intuit is far higher than others but I believe it does more and used to do it better than others.

QuickBooks Online has several versions from QuickBooks Online Ledger on up. There are subscriptions priced for everyone and the needs can also be met by different subscriptions. The smallest company can use Ledger for basic bookkeeping and a huge organization can use Advanced for all of it's needs. There really is something for everyone.

Using QuickBooks Online

2 - Myself, the owner of the firm who does all bookkeeping and an Intern whom I am training.
2 - Knowledge of how the software works is paramount. That is what I am training my intern to do.
  • Software used for all Client Bookkeeping
I do not have the subscriptions, my Clients do. Most of my Clients are nonprofits and have their subscriptions through TechSoup. There are no other options that offer discounted software for comparable programs so we are stuck with QuickBooks.

Evaluating QuickBooks Online and Competitors

  • Other
Again, Clients receive their QuickBooks Online Plus subscriptions through TechSoup.org which offers severely discounted annual subscriptions.
Would not unless other comparable software was available through TechSoup at the same discounted prices.

QuickBooks Online Implementation

Everything has been fine for years until this last updated User Interface. Intuit does not understand if it is not broke, don't fix it. They keep trying to change what works, effectively breaking it.
  • Implemented in-house
  • Third-party professional services
TechSoup.org
Yes - Different phases and software for each client.

QuickBooks Online Training

Yes, very easy to learn without training. Unsure, as everyone is different and learns differently.

Configuring QuickBooks Online

Many limitations with new interface. Horrible. Can't change nor customize.
No - we have not done any customization to the interface
No - we have not done any custom code

QuickBooks Online Support

Very good as my ProAdvisor level is high. I have always received knowledgeable and helpful representatives that have assisted me with whatever issues arose.
ProsCons
Quick Resolution
Knowledgeable team
Problems get solved
Kept well informed
No escalation required
Immediate help available
Support cares about my success
Quick Initial Response
Need to explain problems multiple times
No. Everything is fine as-is.

Using QuickBooks Online

ProsCons
Technical support not required
Familiar
Do not like to use
Not well integrated
Inconsistent
  • Unsure of specifics
  • AI interface
  • Matching transactions correctly
  • Rules not working correctly
  • Overall usage of new interface is far more cumbersome than it was. Horrible idea/changes.

QuickBooks Online Reliability

Lates rollout of new user interface is absolutely horrible and not recommended for any business with multiple departments. If not for the TechSoup subscriptions, I would move all of my clients to Xero.
Most of the time, no availability issues. Lately some freezing but not horrible.
Everything process has its bugs lately with the new interface. Nothing has worked smoothly since this all began last month.

Integrating QuickBooks Online

Relationship with Intuit

Upgrading QuickBooks Online

Yes - No. Many issues with new release and user interface. Impact of new release has caused many issues for most/all bookkeepers. Intuit does not care how we utilize the software or how our clients are impacted.
  • Absolutely NONE!
  • Based on the most recent, more work and more issues.
