Overall Satisfaction with UKG Pro (formerly Ultimate Software UltiPro)

When we went live with UltiPro in 2014, it was being used by approximately 500 home office employees, 100 users in our field force, and 500 retirees. We use it to manage time, process payroll, conduct performance reviews, merit increases, recruiting, on boarding, and most importantly, run reports. More recently in 2020, we went through an additional implementation to bring in commissioned field force to process payroll only for them. This added an additional 3000+ records. This will allow us to offer additional benefits to all employees instead of using IT coding hours to code complex benefit plans into an old system that our agents used to have payroll calculated on.
  • Reporting capabilities are fantastic and relatively easy to use with some training.
  • User friendly and intuitive.
  • Customer Service is outstanding. We may not always get the answer we want but response times and resolutions are quick turnarounds.
  • Ease of adding new earnings and deductions.
  • Business Intelligence reporting could be improved by making the selection of data easier to find. Perhaps including a search function rather than scouting through different tables and items.
  • The Compensation Management module is a bit clunky for administrators. It should function more like the Performance Management module since they are typically tied together.
  • The Time Management module could be spruced up to take out some of the extra information that confuses users - this isn't very configurable.
  • Employee transparency into their own information
  • Cost savings by not needing IT for coding or report building. Additionally, reports are immediate and don't have to process overnight.

We came off of a mainframe so UltiPro was leaps and bounds ahead of what we had. Our top two picks were Ultimate and Workday. We went with Ultimate because they've been around for awhile, have a similar work culture (People first), and had a reputation for great customer service-this was all in addition to what we liked during the product demo and RFP process.
Not only is UltiPro a product of well established company, but they are also abreast of HRMS technology trends and consistently improving their products with the customers in mind. They also are highly receptive to customer feed back, suggestions, and enhancement ideas. The system is fast with a 99.9% uptime, reporting is fairly easy, customer service is extremely pleasant to work with-even on building difficult reports.
We have had tremendous success with our account managers. Most of the support staff is easy to work with and there is a special payroll hotline that is available for immediate issues.
We have a lot of unique set up with Retirees. Our account managers have always been able to get us in touch with the right people when we need extra special, in depth assistance. Additionally, we had a not so great specialist for reporting on our account in the past. After having some conversations, they listened to us and provided us with a better resource.
This is a huge step up from our mainframe environment and has reduced IT resources that were previously needed for reporting. It isn't perfect and can't meet everything we need but we are working with what we have and overcoming challenges.

Upgrading UKG Pro (formerly Ultimate Software UltiPro)

  • New features.
  • No downtime or negative impact on users.
  • We always know well in advance of when it will happen so we can plan if there are any changes we need.
  • More new features. They implement customers' ideas to help make their work easier. I always look forward to what will help streamline processes or give us more functionality.

UKG Pro (formerly Ultimate Software UltiPro) Training

Yes. We didn't have an HRMS prior to UltiPro. I was flying by the seat of my pants to learn it. We had a sandbox we could play in before we went live, so I did that often from different user viewpoints to learn best on how we could train best. I think hands on learning is the best to explore but not be able to "break" anything.

It covers a lot, not everything but the basics. They offer free lifetime training so it can always be accessed. There are some 4 hour online classes, some hour classes, shorter quick tours, and tip guides available.

Don't be afraid to be persistent with your timeline. These are your employees we are talking about! They do push your to a tight timeline but be strong when you need more time to test, reconfigure, etc.

Yes - We noticed a problem with their fall update last year that was applied to our test environment early. It was fixed before the rollout was applied to all production environments.

UKG Pro (formerly Ultimate Software UltiPro) Reliability

UltiPro prides itself on it's uptime. We have had instances where it is down or we are unable to log in using SSO but these have always been short lived. We have had UltiPro since 2014 and it's probably been down a handful of times but have never lasted too long where work couldn't be completed the same day.
Errors are received sometimes. They may be UltiPro problems or our vendor for SSO. Rarely do we have outages. The most common times we receive an error would be after an upgrade to the system or a module. They are quick to move it to development after realizing something might not have been tested thoroughly. Most times, there is still a work around to get to what we need and it's never had too much of a negative impact.

We built two reports (files) in UKG Pro's Business Intelligence. After getting PayFactors' requirements for transmission, we opened a case for UKG assistance and then finished the set up on our side. This was fairly painless.

Relationship with UKG

The sales process was effective and efficient. We had a detailed list of requirements we wanted answered or demonstrated and I feel like all were met. We knew our process would have to adapt somewhat to the system instead of making the system adapt to our process, but we were in a good place for our organization to make those changes and gain new efficiencies or fresh perspectives.
UKG Pro still provides great service. Their customer satisfaction rating was one of the reasons we chose them. They still provide great service but we have seen a dip in responsiveness in the last few years with internal reorgs in their service teams.
Ultimate is terrific at communicating. They have newswires that come via email to tell you about updates. We have biweekly calls with out account rep. We are in at least quarterly contact with our enterprise relationship manager. They are just now ramping up their online communities responses on their Share Ideas portal and the Communities portal. They are on the right track.
Hold consistent meetings with your account rep to review any open cases, ask questions, or hear what's happening or upcoming on UKG's front. We have had biweekly meetings since launch and that seems to work well for us. We cancel or add more based on our needs. We have had different account reps assigned to us but we have asked this every time and this continues to be a key successful relationship.
