Confluence

Confluence works well in a system where a lot of people are collaborating. It keeps everything organized and is located in one easy to access location. It is ideal for working on projects together. Especially projects that require information sharing. Compared to email communication, Confluence holds the information from all users. This is compared to using traditional file folders and email, whereby there are access issues and not all information is shared or searchable.

Evernote

Evernote is not the best for sharing content among team members in a timely fashion the way that many organizations do with email. Slack can be used for even faster results and a streamlined conversation.

Pros

Confluence

  • Collaboration. Confluence allows our entire organization to collaborate together. Instead of storing files and documents in folders, Confluence stores the files including versions, allows comments and context to be added, assigns permissions, and tracks workflows all in one place.
  • Organization. Confluence is great at keeping everything organized. Assuming you set up your structure properly, it is easy to find your place in Confluence. Furthermore, the search engine allows you to search the entire instance for information.
  • Notification. Confluence sends email notifications when you are referenced by someone else, assigned a duty, or any change is made to a page or group that you are subscribed to.

  • Evernote does a great job integrating with other platforms. I use the Outlook, Chrome, and Slack connections, as well as using direct App links from tasks in Todoist.
  • Evernote does a good job of making search work - even inside scanned documents. That saves me time needing to label, tag, and rename files and lets me just store them and move on knowing I'll be able to find them again later.
  • Evernote works well (but not identically) across platforms. Mac and PC are almost identical, but the way it is laid out and offers text formatting and photo capture on a mobile is great for that platform.

  • They could provide support for more languages regarding the document where you have to add source code.
  • When you submit a new ticket regarding an improvement it has to reach a minimum amount of votes and sometimes when they do, they are ignored.

  • It used to automatically capture business card information, but no longer has this feature. It's missed.
  • Allowing a platform for users to create a CRM system would be awesome!
  • Finding your notes and notebooks on the mobile version is a little muddy. Clean up the steps!

I am confident that Atlassian can come with additional and innovative macros and functions to add value to Confluence. In 6 months, Atlassian transformed a good collaborative tools into a more comprehensive system that can help manage projects and processes, as well as "talk" with other Atlassian products like Jira. We are in fact learning more about Jira to evaluate a possible fit to complement our tool box.

It's overall pretty straightforward and intuitive. You get a simple editing window that presents a live view of your formatted document, plus a toolbar for formatting options. If you're familiar with any word processing program (Google Docs, Word, etc) you should be able to master Confluence without much (if any) difficulty.

Generally issues are by connectivity and not Evernote availability but I have had issues in the past with cross-client consistency of data which Evernote Support has ID'd as bugs that are still unresolved as far as I know

I have never seen any performance issue when it comes to page load time or that it slows down Jira. I have noticed that the edit within Confluence feature does not always work and you have to download and re-upload documentation as a new version. To be fair, this may be a localized issue.

I have not had a lot of support experiences with Atlassian, but of the few I have, I wasn't very satisfied with the results. I found that multiple people would respond to the issue at various stages, requiring re-communication (even though the support system stores everything and shows it to both them and you). Often responses came at odd hours, resulting in 24+ hour turnaround on basic responses, even if you respond right away. Support often asks you to do things which require downtime, and don't seem sympathetic if your organization requires that downtime to be done off-hours. This makes it difficult to resolve issues in a timely manner, if at all.I must note that I have not opened a support incident with them in close to 2 years, and it's my understanding from colleagues that there has been much improvement. My comments and ratings reflect my older experiences.

Evernote is the most useful productivity tool in the virtual world. You can make all your notes without physical paper or pen and write your all notes virtually and save them online or offline.

Overall, I would say that I do like Confluence more than tools like Sharepoint and OneNote for the purposes that we are using it for (basic team collaboration, task assignment, and decision tracking). I prefer the document relationship navigation of Confluence over Sharepoint. You can see document titles and their children document titles in an easier way to browse than the folder structure I’m used to seeing in sharepoint. As far as OneNote goes, I find the sectioned page options (or page templates) in Confluence easier to use and manage than the free form OneNote pages I’ve used

Much more flexible and full-featured, although the latest version of notes has gotten much better. Evernote supports tags, multiple notebooks, and the sharing of notebooks.

Return on Investment

  • I work on many different projects at the same time, and it has been easier to find certain assets/documents than previous tools we have used.
  • It has especially allowed me to work much more efficiently with our design team as I don't have to constantly bother them for design updates
  • From a overall business perspective, it is still too early to tell what the ROI is, but I believe it will be positive.
