From simple lists to complicated projects, ClickUp software has been used to get things done as expected. It is a very effective software when addressing task management problem and tracking the progress of organization ongoing tasks and projects.

I enjoy the ease of use of the system from logging in to inputting your information. The ability to be able to tag an employee if they are waiting on a task to be completed is a nice function. Previously we were tracking this in excel and only one person could be in the checklist at a time without causing errors. With Monday.com, multiple users can be in the checklist at any given time with no issues.

Pros

  • RECURRING TASKS - Their recurring tasks are great. There are all kinds of customizations you can use for how often tasks recur. Also, comments on recurring tasks get carried every time the task recurs, so you never forget anything. This was a big reason why we picked ClickUp over other tools.
  • TASK STRUCTURE - It's very easy to use and keep everything into the correct tasks. Mentioning other tasks makes it easy to string things together. Also, it's great that we can assign comments, that makes it so we don't have to create quite as many tasks. Also, when a manager needs to review work, staff can just say "finished this draft, can you review?" and assign their manager. Their manager can mark it as complete once they've reviewed it. SO EASY
  • CHROME EXTENSION - I love their chrome extension. I can click a button and create tasks in ClickUp without ever leaving my email, it also puts the email in the task as an attachment. I can also attach emails to tasks, which is great.

  • Pop-up windows - It would be nice to see subtasks, etc. without having to have the entire window pop up. Being able to glance at it quickly by hovering your mouse over it would increase efficiency.
  • Differentiating the typography of headings, tasks, etc. The layout all looks quite similar and distinguishing between it visually would be great.

  • This may already exist - but I would love a video that tells us about all the latest features.
  • I would recommend a cheaper plan for single-person use (or perhaps for a family?) I could see a teacher using this for their classroom planning.
  • A group for similar companies to connect with each other and share their use-cases would be awesome! I haven't seen any other property mgmt companies on here, but I would love to chat with any that might also be using Monday.
  • The ability to upload an excel spreadsheet *after* you've made the board and set up the automation & integrations. This would be a great time-saver for us.

With previous tools we used, we had to conduct a fairly extensive onboarding process with any new employees we hired. ClickUp is so simple to use that we really only need a 30-minute meeting to show new employees how to use it and they're off to the races. The drag/drop function is nearly universal which makes it extremely easy to move things around and stay organized.

The UI makes the app feel like it is a less capable system, most controls and interfaces seem unprofessional.Several features make no impact on my workflow, namely the inbox. Some of the UI elements take more screen real estate than they need. The sidebar for example: I'm on a project with 5 boards and I really don't think an entire sidebar is needed to display those, I usually collapse the sidebar because it gets in my way.The task detail view is also a bit odd to me. The only relevant information on it is the task title, but if you want to know the status, ID, author, or anything else about a task you will have to go back to the board view because the detailed view won't have those fields available.

We signed up for the accounts. Created the accounts. Ran the trial version and tested it live while we were running multiple projects and found that it was fitting our needs perfectly. When the trial ended and we were asked to purchase the full version, we did. We have found other ways to use it and it's a breeze.

Alternatives Considered

There are some very powerful task management apps out there, but they are complex to configure and quite heavy-weight (not mentioning expensive), so probably the team will need to spend time to familiarize, and the person managing the task management tool has to spend significant effort to even set up a decent functional baseline. On the other side of the scale, there are some very easy to use task management apps (normally free and/or open-source) but they don't really have many features, and managing tasks using these tools can be quite limiting. ClickUp I think strikes a correct balance between the two extremes, especially with the ability to customize Task Management style to wide extends, without having to configure complex stuff. It is also very easy to get familiar with, as what our Team has witnessed.

ClickUp is a competitor but Monday's design is much better and user experience is superior. Also, export functions are a class above those of ClickUp. Asana is trying to compete with a lot more project management apps by picking the best features and making them available to users. In this regard, it is somewhat better than Monday and can perform most if not all the functions of Monday but it comes down to personal preference and pricing in the end.
