NetSuite
This product is well suited for an organization that is focused on client services, project delivery, time tracking, expense reporting, and revenue recognition. From a pure project management perspective, this product is not as feature rich as say Microsoft Project Server. For organizations that are looking for detailed complex project plan and resource management (along with resource leveling, etc.), this is probably not the best suited product

SAP Concur
SAP Concur is great for large organizations because of it's built in approval process functions. It is great tool for expense reports and any company where employees need to book travel. I imagine that the tool would be more tricky to use for those who are less technically savvy since there are many tabs and it is sometimes tricky to navigate.

Zoho
My work involves projects of 5-15 people with numerous projects running simultaneously. Prior to Zoho, I did not have a central location from which to view all project statuses at once. Zoho looks to provide this and also looks like it will deliver. I am anxious to see how our organization's use of it develops. At this time, I feel I am likely to recommend Zoho Projects because my organization has made great software decisions in the past so I have a level of trust already that the research has been done that Zoho is the best solution for our line of work.

NetSuite
  • Netsuite OpenAir PSA is highly configurable and has a large ecosystem of assets to work with.
  • Tasks are easily designed to automate processes in your business workflow.
  • OpenAir is designed in such a way that it can communicate and receive information from external systems without having to re-engineer your systems to make them work if you are following standard business practice.

  • We use it to manage our sales orders as there are lots of moving parts which are necessary to get client orders done properly.
  • I use it anytime I have a new idea I want to put into motion. As I can create a list for brainstorming, feedback, specific actions necessary in order to test and or implement the idea.
  • Unrelated to business, it's a great way to plan travel in order to make sure you don't forget those important things like passport, flight arrangement, client meeting confirmation, and meeting prep as far as what specific documents or things do you need to bring with you.
  • And since everyone is on the go and expected to keep up with work, the mobile/tablet app makes it a breeze to keep up, work on, and create new projects.

Cons
NetSuite
  • Compared to QuickArrow, setting up reports to reflect the data accurately seemed to require a bit more consultant time and collaboration. Getting the numbers correct is essential, so budget extra time for this iniative. We also learned that certain calculations can not be displayed in the executive dashboards. Ask these questions upfront to ensure your dashboards are complete for your needs (again, working backwards in the preparation stages).
  • Compared to QuickArrow, NetSuite OpenAir PSA falls short in the resource management capabilities. UI, flexibility, and scheduling options all could be improved. This is on their roadmap, timeline yet to be defined. Scheduling is vitally important to our company and this is THE area where we feel is the applications weakest. However, the application does provide everything critical to scheduling and provided the elements we needed in order to be successful. We altered our scheduling process accordingly.
  • During our System Administration 3 day online training, when a question was asked about detailed functionality, sometimes the trainer would share..."Yes, OpenAir has a configuration for that. Just inquire with your consultant and they can flip that flag in your instance." The responsibility for obtaining these special application configurations was placed on the System Admin [in training] to ask and to take notes. If your company needs the application to work a certain way, speak up and ask your OA consultant. There seems to be MANY flags that can be flipped in the background to allow for the system to meet your needs. My complaint is that these are not published, rather made available if one inquires.
  • OpenAir is able to generate invoices directly and we strongly encourage using this feature to keep everything housed under one application. However, this did not work for our organization and we leveraged a financial integration. A bit of a pioneer integrating with Softrax -- the integration works well, however is quite fragile. We do receive appropriate support when needed, but would prefer the integration to be a bit more stable. We recommend integrating with their stated supported financial systems, as staying the course will likely net a more stable integration.

  • For a new user of SAP Concur, it becomes difficult to file the first reimbursement as that person is new to the application and probably, one needs to to go through the instructions to get used to it. So, user interface can be improved and could be tried to make more interactive. Other than that, it's all good to go.

  • There is no ability to add custom fields in the "Bugs" module - for example, if we want to add fields such as Version Number.
  • Reporting is not integrated - its a fairly expensive add-on.
  • There is no easy way to track actual and completed dates for tasks - so historical variance analysis is not easy.

It all depends. We are still looking at moving our consultants to Oracle PAC, in order to get our financial systems in line (we use Oracle Financials currently). We are feeling a lot of pain with integration and segmented systems.

Ultimately,it depends on how much pain is felt there. OpenAir has given us a path to follow on from QuickArrow. I foresee either moving onto Oracle PAC by end of calendar, or staying on OpenAir.

OpenAir to Oracle integration is not easy. From a reporting and process perspective, there’s been pain from being in different systems

Now that we are fully on Concur, switching is not an option. Concur has become ingrained in our expense reporting process. Furthermore, Concur continues to improve its offering. Each month, they release updates and changes, many of which were client requested. Concur's constant evolution means it is adapting with my business

I've reviewed about 8 other project management solutions and Zoho Projects is the best I've seen without being overly complicated. Zoho Projects keeps getting better! Recent new enhancements makes it even easier to navigate. There are new keyboard shortcuts that cut my time way down. The tools are very easy to use.

Usability
NetSuite
In this day and age I should not have to read a manual to understand a product. It should be intuitive to administrate and perform basic tasks. It feels like a ton of intelligence was poured into making OpenAir feature rich but no where near as much attention was given to the user experience.

I think it is very easy to use, especially once you are acquainted with it. I think the UX could be improved so some things, like accessing old reports, are more intuitive once you learn it though it is not difficult to replicate.

Reliability and Availability
NetSuite
The system up time was reliable and that was never anything we ever had any concerns/issues with.

SAP Concur
In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

Performance-wise, it's good, loads pages quickly, and reports are highly accurate and easy to understand. Also, we can generate custom reports as needed, and we have integrated with a few other apps, and we have not seen any downgrade in performance.

Support Rating
NetSuite
As an admin, I've had more contact with OA support than most. I've found their response to tickets typically timely and helpful, however many of the responses to tickets are "we will file an enhancement request" and then I never hear about it again. So not terrible, but not a very fulfilling experience.

I have never had to use customer support when using Concur Expense - the UX could be a bit nicer on the eyes or easier to understand, but there have never been any problems when using Concur Expense that I have had to ask or reach out to customer support to help me with anything.

Although it might lack intuitiveness, once you get a hang of how Zoho Projects works, you can do a LOT. The impact good project management has on profitability is huge, and it has helped not only improve communication and coordination when working on a project, but more importantly have adequate tracking of time, due dates and potential bottle necks

My Seniors were the ones who taught me about Concur. Concur Support team has sent me training links and answered me in their tickets too. Usually they are helpful and knows their stuff. There are times when webex meetings is conducted for reporting training. They were very patient and took down all the details from me.

Online Training
NetSuite
We did a 3 day online remote course back in April. NetSuite prefers training to occur before migration. We went over the functionality of tool and three months later we migrated. Personally, I didn’t find it that beneficial. Certain parts of it were beneficial as they applied to me – talked a lot about invoicing capabilities that didn’t apply to me. They also have knowledge base / e-learning assets, but I haven’t referred to them

It went fine. Everything came over the way we wanted. In addition to migrating the current projects we wanted to migrate historical data – did that seamlessly. The finished product looked pretty good – just needed to tweak – and they helped us with that

There are different implementation teams for each module of the product you purchase, so implementation is not a 'one size fits all' environment. Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area. A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

Alternatives Considered
NetSuite
OpenAir accurately reflects changes in real-time as well as lends itself to see where a draw is at, when payment is expected and what percentage of the contract has been billed or approved to date. This helps with project billing and tracking as well as cash flow. Quickbooks lacks the ability to show progress draws, approved changes, and pending changes on a given project where OpenAir excels.

Expensify and Zoho Expense work for small and mid-size businesses. Big multinationals do not receive benefits from the apps. Coupa is good as a solution for organizations with non-SAP leading systems. If you plan to use SAP ERP as the main/lending system then SAP Concur is the best solution, mainly for its native integration with SAP ecosystem.

Zoho Projects provides a more limited set of functionality and customization options than other task/bug trackers on the market, but what it lacks in functionality it makes up for in ease of use. It probably has 80-90% of the features of its competitors but takes about a third of the time to get up and running and realizing value.

Return on Investment
NetSuite
  • It covers our requirements for time tracking and project/resource management better than the previous solution we used.
  • Project managers are happier having this tool for their job and also because it is running on the cloud as opposed to running on-prem.
  • It doesn't help in any way improving the "chasing" of the people that don't submit their time-sheets in time. This one stayed the same as before.

  • Concur's automation has produced impressive efficiency improvements, which have decreased the time and effort required for expense management.
  • Manual errors and policy violations have decreased, which has led to cost savings.
  • We now adhere to corporate regulations better, which lowers risks thanks to Concur's policy compliance checker.

  • We needed a system to organize our growing business, so anything was better than what we had, which was nothing.
  • Recording time spend is a huge reason for using project software. It has made me aware of the tasks that are taking too long and where we are not being profitable as a company.
  • It has kept our team accountable for what needs to get completed and when projects are not in motion or completed timely. It's helpful to know in order to get billing out faster.
