Both QuickBooks Online and Sage Business Cloud Accounting include core accounting functions that small businesses need, such as invoicing, income and expense tracking, and reporting. There are also some key features that set them apart. 

QuickBooks Online emphasizes its support for tax preparation, management, and filing, including forecasting taxes ahead of time and streamlining the filing process. It also allows users to automate some routine tasks, reminders, and triggers to improve accuracy and save businesses time. 

Sage Business Cloud Accounting offers features tailored to small businesses primarily needing accessible tools for cash flow management. These features include a mobile app for income, expense, and invoice management. It also provides robust connectivity with your banks to automatically match your transactions and save time on reconciliation and live financial reporting. 

Limitations

While both accounting products offer valuable services for small businesses, there are limitations to each software.

QuickBooks Online’s reporting capabilities scale up with each pricing tier, but some users have struggled to achieve the level of insight they are looking for from the platform. The packaging and pricing structure QuickBooks offers can also leave some users paying for extra functionality that they don’t actually need or use. 

Sage Business Cloud Accounting is more limited in its scalability. It lacks functions for larger organizations, such as multi-user role management. Sage is also very reliant on its marketplace of third-party integrations to deliver expanded functionality. This structure means that users could likely need to pay for third-party products in order to access additional capabilities they need as their business grows. 

Pricing

Both QuickBooks Online and Sage Business Cloud Accounting offer a free 30-day trial. From there, QuickBooks offers 4 pricing tiers, while Sage offers 2 tiers. 

QuickBooks Online’s Simple State base plan, for $25/month, the core accounting functions, as well as tax management and receipt management functions. The Essentials plan, $40/month, gives users 3 seats as well as bill management and time tracking. The Plus plan, $70/month, adds project profitability and inventory tracking. The Advanced plan, $150/month, adds additional analytics and automation capabilities, as well as online training and a dedicated account manager. 

Sage Business Cloud Accounting’s base plan, Accounting Start, lets users create sales invoices, connect their bank, and track owed payments, for $10/month. The Accounting tier, for $25/month, adds on reporting and cash flow statements, estimate generation, and purchase invoice recording.

Quickbooks Online is super well suited for small business owners who are on the go and need access to their bookkeeping across multiple devices. You can leave the desktop and carry your books in your pocket for billing, invoicing, expensing, payroll any time, anywhere. I know there are time tracking plugins as well as other integrations that allow for your staff to submit reports directly to the software which is a brilliant addition.

Sage Business Cloud Accounting

The program is appropriate for use in all business types - especially if the business has many different branches located in different parts of the country/world. The fact that invoicing can be done from a mobile device by use of the friendly Sage One app also makes it easy to quickly conclude a sales transaction by issuing an invoice at the client office - shortens time, leaving more time for business.

Pros

QuickBooks Online

  • The user interface is clean and things are easy to find. This saves us time from having to look for things we need. If we can't find something, the Help and Search features are easy to use.
  • There is a bar graph at the top of my Customers page that shows a breakdown of overdue invoices, open invoices, and those that have been paid in the last 30 days. This is nice because I can see all this information quickly when I need it.
  • We can customize invoices as much as we need to and it is very user-friendly. We can email individual invoices or in bulk to save time. We can send invoice reminders and statements in a flash as well. All of these things help us get paid on time.

Sage Business Cloud Accounting

  • The ability to log in to your accounting data anywhere you have internet. No sending backups to your accountant, no more trying to recover lost data, or having to log in to a server. This cloud hosted solution gives you a lot more freedom and flexibility as I can log in to it from any computer, or mobile device.
  • The ability to send professional invoices or quotes to my customers while still at their location. Also the ability to easily track my receivables and stay on top of them as they are always right at my fingertips.
  • Project tracking is a great feature. With this module you can send tasks associated with a project to your team without giving them access to your financial information. They can report to you where they are at on the project to help you stay on track. You can track the revenue and expenses associated with this project to make sure you are making a profit.
  • Bank integration brings in all the transactions and easily lets you allocate to the appropriate revenue and expense account or match to sales invoices or purchase invoices saving you time in data entry.
  • Sage One integrates with Sage Payment solutions or Paypal. By giving your customers more options to pay helping you stay on top of your receivables.
  • I love how it imports into the Sage 50 Accounting software for those customers who still need the features and functionality of the desktop software.
  • Just released the integration between Sage 50 and Sage One just got easier. The previous versions of Sage One and Sage 50 had the ability to download customer transactions from Sage One including invoicing, other income, bills, expenses, bank transfers and general journal entries to your Sage 50 accounting software.
  • With the latest update for Sage 50 you can now automatically upload and map your Sage 50 customer records, vendors, accounts, inventory items, and tax codes to Sage One for a quick, easy setup and perfect record match every time. This makes things so much easier when setting up new customers in Sage One
  • Now that important client information flows both ways, you can set up a new client in Sage One in minutes by accessing your Sage One connection wizard (under “file tab” in Sage 50 Accountants Edition) For the customers, vendors and accounts and products and services.
  • The other information such as Sales invoices and other income, Bills and other expenses, Bank Transfers, general journal entries flow from Sage One to Sage 50.

Cons

QuickBooks Online

  • Collaboration. I would like multiple members of our team to be able to collaborate better. I have difficulty sometimes tracking what was done by whom at a user level.
  • Making user permissions easier to manage. Setting security options between users. The features may be there but it is not as intuitive to set certain access permissions and differentiate between users as I would like.
  • Integration into Outlook calendars would be a nice add-on for payment reminders. These are setup and scheduled for payment automatically through the app, but a reminder on my personal calendar would be a nice add on. It may even be available but I am not aware of it.

  • Time tracking: Functionality not present, so this would present a disadvantage in industries where billing requires this (ie. law, accounting firms, etc.)
  • Interface could be improved: It doesn't have as user friendly an interface and navigation as competitors in the same category. It is somewhat dated in this regard.
  • Inventory functionality could be more robust: Competitors have created stronger features in this area.
  • Report customization options: Not as strong as competitors.

It's Easy enough to learn the basic for a new user; though if you are required to go more in depth in recording assets or liability accounts it could get somewhat confusing for the every day user who doesn't know double-entry accounting. It's great for a business that just wants profit and loss information available at their fingertips.

I love the convenience of Sage One as I can access it anywhere I have internet. I also love how user friendly it is, my customers who do not have any kind of accounting or bookkeeping background are able to quickly learn systems and procedures that I help set up for them to stay on top of their finances to work towards having a successful business. It has so many features to help make things easy for you to keep track of your finances allowing you more time to work on your business.

There are tab issues. When I tab the field doesn't highlight and I have to backspace or delete what is in the field. Happens on the memo field and sometimes other fields. Very time consuming.

Not that overally impressed with the support when having issues with the app or desktop version. I lost my patience and at times just gave up and tried another process outside of QuickBooks. This is definitely something QuickBooks needs to work on improving as this could lose them customers in the long run. The benefits at the moment outweigh any of the frustrations I face.

They are always there no matter how big or small my issue may be to support me and my customers to come up with a solution. The staff is always there by chat or phone and even remote support to solve any issues. I have noticed that Sage is always training there staff keeping the up to date on all the new releases so they are better able to support us.

QuickBooks Online

QuickBooks Online was much easier to use across a non-profit where we needed people in multiple locations working on different servers to access the financial data at once, it also allowed us to connect our bank accounts to the software which was a huge benefit of the program, these were main differentiators between the online product and the desktop version that we trialed. We have also used Wave in the past for accounting and still use it for it's invoicing features because of the nice invoices it creates for our organization at no cost. Microsoft Excel is what we used before Online version so QuickBooks is much more advanced than that.

Sage Business Cloud Accounting

I have used Wave Accounting, and while it is an excellent cloud accounting software, it doesn't allow us to work collaboratively with our customers. They both allow me to sign in and work with our clients books within the program, but Wave doesn't integrate into Sage 50 which is a must for clients that I know want to continue to grow.

Return on Investment

QuickBooks Online

  • More efficient for small firms with everyone on the same QBO file. No more transferring QB files back and forth with the potential of data corruption issues.
  • Less efficient with larger more complex firms, spend more time on the phone trying to integrate their add-ons, payroll and other systems.
  • Intuit's 99.95% uptime casued some negative events in the past year. Problems occurred during the peak of tax season.

Sage Business Cloud Accounting

  • The product saves us a lot of time in training - everything is very self explanatory and very user friendly.
  • The fact that we can access the client records from our office assists us with many of the problems we had in the past. We no longer need to make copies or backups of client work. We also no longer need to drive out to our clients to provide assistance, assistance is just a phone call and a click away.
  • Employee efficiency has also increased due to the ease of access in the program (quick view).
