What is Notion?

Notion blends everyday work tools into one. Use cases might include a product roadmap, a company wiki, meeting notes, and other use cases.

With Notion, they're all in one place, and customizable to meet the needs of any workflow. It is designed to be a workspace for teams, or entire companies. The goal with Notion is to make it possible for everyone to shape their tools to suit the use case.

Notion can also be customized by hand using a drag-and-drop workflow builder. Everything appearing on a Notion page is a block. These blocks allow users to add various kinds of content, like text blocks, checklists, graphs, etc., without needing to code.

Notion is a hub for asynchronous communication. Collaborative docs make everything go faster. Notion helps users to never miss a message, always know what's next, and edit docs without stepping on each other's toes.

Notion can be tried free, and is available on a perpetually free plan for personal use. The Notion Enterprise plan includes additional security and access features (e.g. user provisioning, audit log, SAML SSO, unlimited version history), as well as a dedicated customer success manager for entities with more than 100 seats.

The major business problem Notion addresses are being able to communicate information and resource lists to our external members/students in an efficient and visually-appealing manner. Another major business problem is being able to communicate and amass other information to be used internally. All this can be done in Notion without building a website. Notion is used almost every day by our coworkers and members.

  • Co-editing.
  • Various views for data sources.
Cons
  • Changing grid shapes.
  • More search function versatility - being able to search a keyword and find it even in grids, lists, etc.
  • Better connections between databases.
Notion is great for compiling shareable lists and resources for our audiences, in an easy-to-use and clear manner. Notion is less appropriate for creating extensive databases and organizing videos.

When we talk about Notion, I love to use the book analogy. Notion is like a page that is easy to manage thanks to the block content. We can arrange those blocks based on our needs, and also, we can have a full search across other pages.<br><br>We basically use it for our internal documentation, like the HR handbook, to explain how the recruitment and onboarding process goes and technical documentation about our software development process. But when you're familiar with the <a href="https://www.notion.so/guides/types-of-content-blocks" target="_blank" rel="nofollownoopener">Database block Type</a>, you can turn Notion into anything. For example, some departments use Notion as task management because the database block type can be viewed using Kanban, Calendar, or Timeline view. You can always look for inspiration on how to use Notion from their <a href="https://www.notion.so/Notion-Template-Gallery-181e961aeb5c4ee6915307c0dfd5156d" target="_blank" rel="nofollownoopener">Template Gallery</a>.<br><br>Another cool feature is the sharing options. You can easily manage other users to view only, comment, or edit on specific pages.

  • Native Windows app is slow and cumbersome - better to use web version.
  • Dynamic embed fields (insert title or dates in page).
  • Block selection for editing sometimes buggy.
Just recommended for example to a business as a custom training tracking/planning/outlining and project management system.

Notion has many easy to use features to take your organization to the next level.

I use Notion to organize my company notes as well as ongoing project tasks. I am the sole user/department. Notion helps me to track all of my notes in one easy place.
  • General organization.
  • Easily changing a word/section into a new note for more details.
  • Creating tables with custom data functions.
Cons
  • Sometimes the data functions are difficult to get working.
  • Wish there was an option for folders to better organized.
  • Formatting does not work well when using copy/paste or exporting to another type of file or document.
Notion has many simple features, but can also be advanced as well. I think if someone was just looking for something simple and never wanted any advanced note features, Notion may be too much.

I think it is only used in my department, not sure about the entire organization. We use it as a place to collaborate and store files. It has a lot of features that make it useful for project management and planning. Personally, I use it to store my notes and compile my research for others to access.

Cons
  • There is a learning curve since there are a lot of capabilities
  • Would like more spreadsheet functions
  • More info/ideas on how to use new features
It is well suited in situations where group work is required because it is a one access point that can keep track of tasks and info. It's very easy to collaborate there because of the comments feature. Although it has a database feature, it wouldn't be appropriate for handling large datasets - it's best for simple spreadsheets.
