Use Cases and Deployment Scope

Our conference services team utilizes Accruent EMS for managing conference space for our client's entire footprint. We use it to reserve space and detail events for the client as well as using it for statistical reporting. We are able to provide accurate reporting on a variety of topics that help the client better understand their space usage.

Pros and Cons

Accruent EMS is very easy to use. It has a straight forward approach to entering information, making us very time efficient.
It has a great ability to create personalized reporting to focus on specific needs requested by our client.
We utilize the API to work with digital signage on our account. This has been a very helpful feature for our team.

Would like more flexibility with utilization reporting criteria.
Auto-triggered notifications are a nice feature but would like the ability to edit the outgoing messages a bit more.

Return on Investment

There seems to be a positive impact on our ROI. Our team is able to enter information quickly into the system, allowing our team to function very efficiently and focus more on our client than with entering information into a system.

Alternatives Considered

I haven't utilized any other reservation systems so it is hard to compare systems. I have seen demos of other systems but feel EMS offers a more robust system well suited for professional event planners. Some of the demos seemed to be more focused on client facing booking systems which isn't how our team would use the system.

Scalability

Accruent EMS can be utilized for more than just conference rooms so you can use it for different department needs, whether it be facilities teams or vehicle rental. It is a system that is easily adjusted to meet departments needs.

Product Configurability

Our team has found multiple ways to use EMS to capture details for events. We use packages, individual resources specific to certain rooms, and multiple statuses. It has allowed our team to get granular in how we report specific details to our client or to our internal team.

Likelihood to Recommend

Accruent EMS is great for booking (rooms, resources, people) and detailing events. It is a very robust system that allows you to capture and report on multiple areas (daily utilization, attendee count, utilization by the hour).
Changes are captured almost immediately so information is kept up to date in real-time, making information available to our entire team instantly.
