Abacus

Abacus is great for smaller companies that need to automate expense management. It is a very user-friendly system that makes it easy for all employees to understand without any training. We have heard of issues with their AMEX program. Companies that have tens or hundreds of corporate AMEX cards should likely explore other options

Shoeboxed

I'm not sure how Shoeboxed can be used in a large organization, but for our small business, it is perfect. I'm the only one who deals with our finances and works with our accountant and for that Shoeboxed is simply my lifesaver and worth so much more for not just all the time it saves me but all the worries and headaches too.

Shoeboxed

  • Hassle free ways to submit (mobile, snail mail, etc.) with virtually no workload for us
  • Digitalizing business cards to facilitate contact management
  • Categorizing of receipts to make them searchable

Cons

Abacus

  • Reporting is almost non-existent
  • Account reps seem overwhelmed with not enough time to dedicate to each client
  • Pro-active communication regarding new models, etc. could be improved

  • I had some issues with the mobile app in the past - where it crashes or gets stuck uploading. I think they fixed most of that, however, I transitioned to simply mailing my documents off to them.

Alternatives Considered

Abacus

Abacus is a better payment reimbursement program than Expensify, which my company had previously used up until switching to Abacus around a year ago. Abacus has a better, sleeker, and more modern user interface. I can't comment on the price comparison of the two programs, but I can tell that our finance team prefers the new program as well for processing payments.

Return on Investment

Abacus

  • Abacus has reduced the time spent digging through expense reports on a monthly basis. Expenses flow through on a daily basis and both users and management are happy

Shoeboxed

  • It saves me, I would say, at least 2-3 hours each week
  • We probably generate 'better' tax returns - more deductions and save on our accountant in the process, since they have everything perfectly prepped
